CRM Setup Services: Implementation and Migration on GoHighLevel, HubSpot, monday.com and Pipedrive

Quick answer

CRM setup services from aibrevo: we pick the right platform with you, then design, build, import, train and document a CRM on GoHighLevel, HubSpot, monday.com or Pipedrive. This hub covers a platform picker by team size and use case, what every setup includes, the week-by-week process, dated vendor plan prices, our published GoHighLevel prices, market implementation ranges for the other four, migration out of Salesforce, Zoho and Dynamics 365, and when a custom CRM makes more sense.

Key takeaways

  • CRM setup is the work between buying licences and a team that uses the CRM daily: data model, pipelines, fields, automations, integrations, data import, permissions, training and documentation. We do it on four platforms only: GoHighLevel, HubSpot, monday.com and Pipedrive.
  • Platform choice comes first. GoHighLevel fits texting, calls and booking for local and service businesses and agencies; HubSpot fits marketing-led B2B teams; Pipedrive fits a sales-only team; monday.com fits ops-led teams already on monday; a custom CRM fits teams whose records do not look like contacts and deals.
  • Our published GoHighLevel CRM setup price is $1,499 to $4,999, white-label SaaS $3,999 to $6,999, and multi-location is quoted by number of locations. HubSpot, monday.com and Pipedrive setups are scoped and quoted in writing after a free call.
  • As market data, the median of published agency prices for a small-team setup is $3k to $6k on HubSpot, $2k to $5k on monday.com CRM and $1.5k to $3.5k on Pipedrive, checked Oct 15, 2026. Licences are separate: for 10 users on the second paid tier, $2,040 a year on monday CRM up to $12,300 in year one on HubSpot Sales Hub Professional (vendor pages, checked Oct 6, 2026).
  • We migrate data out of Salesforce, Zoho CRM and Microsoft Dynamics 365 into the four platforms we implement. We do not set up or support those three platforms themselves.

CRM setup services cover everything between buying CRM licences and a team that actually works in the CRM every day: choosing the platform, designing the data model, building pipelines, fields and automations, connecting your other tools, importing and cleaning your data, training the team and writing down how it all works. aibrevo does this on four platforms only: GoHighLevel, HubSpot, monday.com and Pipedrive. Our GoHighLevel CRM setup is published at $1,499 to $4,999; HubSpot, monday.com and Pipedrive setups are scoped and quoted in writing after a free 30-minute call. For a single team with a clean import, our scoping range is two to four weeks.

This page is the hub for all of it: which platform fits you, what a setup includes, how the weeks run, what licences and setup cost, and how we move data out of Salesforce, Zoho and Dynamics 365.

Which CRM should you choose?

Pick the platform from how you sell, not from a feature list. The table below is the shortcut we use on discovery calls. “Typical setup cost” for HubSpot, monday.com and Pipedrive is market data (median of published agency prices for a small team, checked Oct 15, 2026, from our implementation cost benchmark), not our quote.

Your situation Team size Typical setup cost Best fit Service page
Local or service business; leads arrive by call, text, form and booking; you want follow-up automated 1 to 50, any size because pricing is per account Our price: $1,499 to $4,999 GoHighLevel /services/gohighlevel/
Agency that wants to resell a branded CRM to its clients Agency plus client sub-accounts Our price: $3,999 to $6,999 (white-label SaaS) GoHighLevel /services/gohighlevel/
B2B company where marketing and sales share one funnel, with email, forms and reporting 5 to 500 Market: $3k to $6k small, $10k to $30k mid HubSpot /services/hubspot/
Sales-first team that needs a clean visual pipeline and activity tracking, little marketing 2 to 50 Market: $1.5k to $3.5k small Pipedrive /services/pipedrive/
Ops-led team already running projects on monday.com that wants sales in the same place 3 to 200 Market: $2k to $5k small, $10k to $15.5k mid monday.com CRM /services/monday/
None of the above fits, your records are not contacts and deals, or the CRM is part of a product you sell Any Scoped per project Custom CRM /software/custom-crm-development/

If two rows fit, the head-to-head pages help: GoHighLevel vs HubSpot, HubSpot vs Pipedrive, HubSpot vs monday.com and monday.com vs Pipedrive. The CRM platform picker asks the same questions interactively, and how to choose a CRM covers the reasoning in full.

Two rules of thumb settle most close calls. First, count the people who will edit records: GoHighLevel’s flat $297 a month Unlimited plan costs less than Pipedrive Growth from 8 users and less than HubSpot Sales Hub Professional from 4 users (license cost only, prices checked Oct 6, 2026). Second, ask who will administer it. A platform your team cannot maintain after launch is the wrong platform, whatever it costs.

What does every CRM setup include?

Every setup we deliver, on any of the four platforms, includes the same seven parts. The depth changes with the project; the list does not.

  1. Pipelines and stages. One pipeline per sales or service motion, with stage names that match what actually happens (not “Stage 3”), entry and exit rules, and the required fields at each stage.
  2. Data model and custom fields. Objects, fields and relationships on one page, in plain language, signed off by you before we configure anything. Field types, picklist values and naming rules are set here, because changing them after an import is slow.
  3. Automations. Lead assignment, follow-up tasks, reminders, stage-change actions, speed-to-lead texts or emails, and internal alerts. On GoHighLevel this includes workflows and missed-call text back; on HubSpot, workflows and sequences; on Pipedrive, workflow automations; and on monday.com, board automations.
  4. Integrations. Email and calendar sync, web forms, phone and SMS, payments or accounting, and the tools you already run. Native connectors first, Zapier or Make where they fit, custom API work where they do not. Our CRM integration services page covers how we decide.
  5. Data import. Export from spreadsheets or your old CRM, deduplication, field mapping, a test import on a sample, then the full load and a check of record counts.
  6. Training. Live sessions for users and a separate session for whoever administers the system, recorded so new hires can watch them later.
  7. Documentation. A written admin guide: what was built, why, which automation does what, and how to change it safely.

Permissions, dashboards and reports are part of the build too: each role sees what it needs, and the first dashboard answers the questions the owner asked on the discovery call.

How does the CRM setup process work, week by week?

The weeks below are our scoping ranges for a single-team setup on one platform. A migration or several integrations stretch the middle phases; a multi-team rollout is phased by team.

Phase Typical timing What happens What you approve
1. Discovery Week 1 Free call, then a working session on how you sell, your current data, tools and reporting needs Scope and written quote
2. Design Week 1 to 2 Data model, pipeline stages, automation map, permissions plan, integration list The design document
3. Build Week 2 to 3 Configuration, automations, integrations, dashboards Walkthrough of the build in a test or sandbox space where the platform allows
4. Data migration Week 2 to 4 Export, cleaning, mapping, test import, full import, count check Sample records before the full load
5. Testing Week 3 to 4 Real scenarios run end to end: a new lead, a won deal, a lost deal, a support request A written test log
6. Training and go-live Week 3 to 4 User and admin training, cutover date, old system set to read-only Go-live date
7. Review 2 to 4 weeks after go-live Fix what real use exposed, adjust automations, check adoption Final sign-off

Scoping ranges from our project planning, not a promise. Multi-team rollouts with a migration and two or three integrations usually take four to eight weeks.

For the client-side preparation that shortens all of this (who owns which decision, which data to bring, which to leave behind), see our CRM implementation checklist.

How much does CRM setup cost?

Two separate bills: the vendor’s licences, paid every month or year, and the one-time setup work. Our only published setup prices are for GoHighLevel:

GoHighLevel service Our price What it covers
CRM setup $1,499 to $4,999 A complete GoHighLevel build: pipelines, automations, calendars, forms and reporting for one business
White-label SaaS $3,999 to $6,999 Your own branded platform: SaaS configurator, billing, onboarding funnel and a starter snapshot to resell to clients
Multi-location Quoted by number of locations Multi-account rollout with shared snapshots, centralised reporting and per-location configuration

Source: aibrevo pricing, Oct 31, 2026. The GoHighLevel setup cost estimator shows where a build lands in these bands.

HubSpot, monday.com and Pipedrive setups are scoped and quoted in writing after a free call, because the range of work is too wide for one number. For a reference point before the call, this is what published agency price pages show (market data, not our quote):

Platform Small team (up to about 25 users) Mid-size (about 25 to 150 users) Evidence
HubSpot $3k to $6k $10k to $30k Good for small and mid
monday.com CRM $2k to $5k $10k to $15.5k Fair; monday.com’s own fixed packages start at $10,500
Pipedrive $1.5k to $3.5k $5k to $10k (earlier estimate) Small band only verified

Median of the low ends and of the high ends across published USD price pages, checked Oct 15, 2026. Full method and every source: CRM implementation cost benchmark 2026. Per-platform guides: HubSpot, Pipedrive, monday CRM, GoHighLevel.

What moves a setup price up or down: the number of pipelines and teams, how much data comes in and how messy it is, the number of integrations (and whether any need custom code), texting compliance work such as A2P registration on GoHighLevel, and how much training is needed. The CRM implementation cost calculator lets you test those levers.

What do the CRM plans themselves cost?

Licences are paid to the vendor, not to us. These are list prices per user per month, billed yearly, from each vendor’s own pricing page:

Platform Entry paid tier Second paid tier 10 users, second tier, per year Notes
monday CRM Basic $12 Standard $17 $2,040 3-seat minimum; seats sold in set buckets
GoHighLevel Starter $97 per account Unlimited $297 per account $3,564 (flat) Unlimited users and contacts; texts, calls and email billed as usage
Pipedrive Lite $14 Growth $39 $4,680 Premium $59, Ultimate $79
HubSpot Sales Hub Starter $20 Professional $90 $12,300 in year one Professional needs a one-time $1,500 onboarding fee

USD, billed yearly, from the monday CRM, HighLevel, Pipedrive and HubSpot Sales Hub pricing pages, checked Oct 6, 2026 (Pipedrive re-read Oct 22, 2026). HubSpot’s page showed Starter discounted to $7; $20 is the list price. Check the live page before you buy. Full comparison with 5, 10 and 25 users: CRM pricing comparison 2026.

The real year-one number is licences plus setup plus usage. A worked example for a 10-person team on HubSpot Sales Hub Professional: $10,800 in seats plus the $1,500 onboarding fee is $12,300, before any setup work. The same team on GoHighLevel Unlimited pays $3,564 in plan fees, plus text and call usage that depends on volume (GoHighLevel pricing calculator). Neither number is “better”; they buy different products.

Can you migrate us from Salesforce, Zoho or Dynamics 365?

Yes, into GoHighLevel, HubSpot, monday.com or Pipedrive. We migrate data out of Salesforce, Zoho CRM and Microsoft Dynamics 365; we do not set up, administer or support those three platforms. The move has three parts: get everything out before access ends, fit it to the new CRM’s limits, and rebuild what does not transfer.

Getting the data out. Each source system exports differently (vendor docs, checked Oct 21, 2026, in our CRM export guide):

  • Salesforce: the Data Export Service in Setup produces a zip of CSV files, with an option to include attachments. Weekly exports need Enterprise, Performance or Unlimited; monthly works in other editions. Files are deleted 48 hours after Salesforce’s email, so download them straight away.
  • Zoho CRM: module exports of up to 200,000 records as CSV, or Data Backup for the whole account, with daily export caps by edition (100 on Standard, 250 on Professional). See how to export data from Zoho CRM.
  • Dynamics 365: no downloadable full backup. Export to Excel works per table, up to 100,000 rows at a time, or through Azure Synapse Link to a data lake.

Fitting the target’s import limits. The target platform decides how many files and passes the import takes (vendor help docs, checked Oct 6, 2026, in CRM import limits): HubSpot paid plans take up to 1,048,576 rows per file; Pipedrive up to 200,000 rows under 50 MB; monday CRM under 8,000 rows per Excel import; GoHighLevel 10,000 rows per CSV. A 40,000-contact database is one file for HubSpot and four for GoHighLevel.

Rebuilding what does not move. Records, fields and most history move. Workflows, flows, email templates, page layouts, permission sets and reports do not move between vendors; they are rebuilt in the new platform, which is a good moment to drop the ones nobody uses. We map every object and field in a sheet you approve, run a test import, check counts against the source, and keep the old system read-only until the new one is signed off.

When do you need custom software instead of a CRM setup?

When the CRM is the product, or when your process fights every platform’s data model. Signs we look for on the discovery call:

  • You are building a CRM to sell to your own customers, or the CRM sits inside a portal your clients log into.
  • Your core records (a deal with ten parties, a charter booking, a property with tenants and inspections) need custom screens and logic that no-code automations cannot hold.
  • Per-seat licences for a large field team cost more over three years than a build.
  • You need data to stay in your own infrastructure for compliance reasons.

In those cases our software team builds it. One example from our engineering team is EdgeBase, a VC deal-tracking CRM delivered in 6 weeks. See custom CRM development and the wider software services. A middle path also exists: keep the CRM and extend it, with HubSpot app development, monday.com app development or a customer portal.

Should you hire a CRM consultant or set it up yourself?

Set it up yourself if you have one pipeline, under a few thousand clean records, no integrations beyond email and calendar, and someone with a few weeks to learn the platform. Pipedrive, monday CRM and HubSpot’s entry plans are built for that.

Hire help when any of these are true: you are migrating from another CRM, you need more than two integrations, several teams share the system, texting compliance applies (A2P 10DLC, TCPA consent), or the first attempt already stalled. The cost of a setup is usually smaller than the cost of a CRM the team stops using. Our CRM consultant vs DIY setup post goes through the trade-off with numbers.

Why aibrevo for CRM setup?

  • In-house engineers. aibrevo is a software and CRM company based in San Francisco, founded in 2021 by Alpit Patel. Our 16-person in-house engineering team is led by co-founder, COO and CTO Shivam Pujara, with 30+ specialists who work with us remotely. Our in-house engineers deliver every HubSpot, Pipedrive and monday.com project, including custom CRM apps, integrations and AI agents.
  • GoHighLevel with our partner company. aibrevo works with its partner company autoesta, the GoHighLevel and AI automation team Alpit Patel also founded. autoesta’s team delivers GoHighLevel account builds. aibrevo’s CRM team, led by co-founder and CTO Shivam, is separate and handles CRM implementation, custom CRM apps, integrations and AI agents in-house.
  • Four platforms, so no single-vendor bias. Because we implement four CRMs, we can tell you when the one you came in asking about is the wrong fit.
  • Architecture before configuration. The first deliverable is a data model and permissions plan you sign off, not a configured pipeline.
  • Built to be handed over. Documentation and recorded training on every project, so you are not dependent on us.
  • Software when you need it. Our engineering team has delivered 200+ software projects, so a CRM that outgrows configuration does not mean changing firms. See our work.

FAQs

What are CRM setup services?

They are the configuration work that turns a new CRM account into a working sales or service system: designing the data model, building pipelines and custom fields, writing automations, connecting email, calendar and other tools, importing and cleaning existing data, setting permissions, training the team and documenting what was built. aibrevo does this on GoHighLevel, HubSpot, monday.com and Pipedrive.

How much does it cost to set up a CRM?

Two costs: licences and setup. Our GoHighLevel CRM setup is $1,499 to $4,999 (white-label SaaS $3,999 to $6,999). For the other four platforms we quote after a free call; as market data, small-team setups run about $1.5k to $3.5k on Pipedrive, $2k to $5k on monday.com CRM and $3k to $6k on HubSpot (median of published agency prices, checked Oct 15, 2026). Licences for 10 users on a second-tier plan run $2,040 to $12,300 a year across these platforms.

How long does CRM implementation take?

For a single team on one platform with a clean import, our scoping range is two to four weeks. Several teams, a migration from another CRM and two or three integrations usually take four to eight weeks. Large multi-team rollouts take longer and are phased. These are scoping ranges, not promises; the data and the number of decisions you need to make set the pace more than the software does.

Which CRM should I choose?

Start with how you sell. If leads come in by phone, text, forms and bookings for a local or service business, GoHighLevel usually fits. If marketing and sales share one funnel in B2B, HubSpot. If you only need a clean sales pipeline, Pipedrive. If your team already runs on monday.com, monday CRM. If your records do not look like contacts and deals, a custom CRM. The picker table on this page maps team size and use case to each.

What does a CRM consultant do?

A CRM consultant turns your sales and service process into a CRM design: which objects and fields exist, which stages a deal moves through, what should happen automatically, who sees what, and how data gets in. A good one will also tell you when a platform is the wrong fit. On aibrevo projects the engineers who scope the work also build it.

Can I set up a CRM myself?

Yes, if your process is simple, you have a few weeks to iterate and someone on the team will own it. Entry plans on Pipedrive, monday CRM and HubSpot are built for self-setup. Hiring help pays off when you have several pipelines, data to migrate, integrations, compliance rules for texting, or nobody with time to design the data model before importing.

What is included in CRM onboarding services?

On our projects: a discovery session, a written data model and pipeline design you sign off, configuration, automations, integrations, data import with a test load, user permissions, live training sessions that are recorded, a written admin guide, and a support window after go-live. Vendor onboarding, such as HubSpot's required onboarding fee, is a separate thing sold by the vendor.

What are the steps of CRM implementation?

Discovery, design, build, data migration, testing, training and go-live, then a review a few weeks later. The design step is the one teams skip, and it is the most common reason a CRM ends up with duplicate fields and automations that break when someone edits a dropdown.

How do I migrate from Salesforce, Zoho or Dynamics 365?

Export everything first: Salesforce Data Export in Setup, Zoho CRM's export or Data Backup, and Dynamics 365 Export to Excel per table (it has no downloadable full backup). Then map objects and fields to the new CRM, clean duplicates, run a test import, and rebuild automations by hand, since workflows do not transfer between vendors. We do the export, mapping, import and rebuild into our four platforms.

Do you set up Salesforce, Zoho or Microsoft Dynamics?

No. aibrevo implements GoHighLevel, HubSpot, monday.com and Pipedrive only. We do move data out of Salesforce, Zoho CRM and Dynamics 365 into one of those four when a team is switching.

Why do CRM implementations fail?

Mostly for non-technical reasons: nobody owns the system after launch, the data model was never agreed, old data was imported without cleaning, or the CRM asks salespeople to do more typing than the spreadsheet did. Each one costs less to fix before the build than after it.

What is the difference between CRM setup and CRM migration?

Setup builds a CRM from scratch or from a spreadsheet. Migration moves records, history and process from one CRM to another, then rebuilds what does not transfer, such as workflows and templates. Most migrations include a setup, because the target CRM still needs pipelines, fields and automations designed for it.

Do you offer CRM setup outside the US?

Yes. We are based in San Francisco and our in-house team works remotely with clients in other countries.
