AI CRM Data Cleanup and Enrichment Agent: Dedupe, Standardise and Fill Gaps With Approval
Written scope and quote after the call. NDA on request. You own the code.
Quick answer
An AI CRM data cleanup agent finds likely duplicates and proposes merges, standardises names, phones, countries and job titles, fills missing company data from public sources, and flags bad emails and phone numbers, with a person approving every merge. This page sets out the native dedupe and enrichment tools in HubSpot, monday CRM, Pipedrive and GoHighLevel (sourced, checked Oct 31, 2026), where they stop, and how our in-house engineers build a custom agent.
Builds like this
Part of the guide: CRM AI agents
Key takeaways
- Every native merge tool we checked is permanent or close to it: HubSpot and Pipedrive say merges cannot be reverted, GoHighLevel says a completed merge cannot be reversed, and monday's undo is manually unarchiving the merged items (vendor docs, checked Oct 31, 2026). That is why our agent proposes merges and a person approves them.
- Native duplicate matching is mostly exact-match on one or two fields: monday needs identical values in the column you pick, GoHighLevel scans by email, phone or name, Pipedrive flags people by name plus phone, email or organization and never flags deals. Airtable's Dedupe extension is the one with similar and fuzzy text matching.
- Native enrichment exists in HubSpot (off by default, business emails and domains only) and Pipedrive (Premium and up, powered by Surfe, 1 credit per organization, 2 per email, 5 per phone, empty fields only). monday and GoHighLevel need an agent, an AI field or a third-party app.
- A custom agent adds fuzzy and cross-field matching with a confidence score, standardisation rules you define, enrichment from sources you choose with the source stored on each value, and a review queue with a log of every change.
- Clean before you automate and before you migrate. An AI data entry agent or a migration run on top of duplicates multiplies them.
An AI CRM data cleanup agent works through your existing records and proposes fixes: these two contacts are probably the same person, this phone number is missing a country code, “VP Sales”, “V.P. of Sales” and “Vice President, Sales” are one title, this company has no industry or employee count and here is what its website says, this email address will bounce. A person approves the merges and the risky changes; the safe, rule-based ones can run on their own once tested. On HubSpot, monday CRM, Pipedrive and GoHighLevel, some of this is built in, and the built-in tools are where we start. A typical custom build covers one CRM, contacts and companies (sometimes deals), a matching rule set, a standardisation rule list, one or two enrichment sources, and a review queue.
Sources: HubSpot, Merge records (checked Oct 31, 2026; see our HubSpot duplicates guide); HighLevel, Manage and merge duplicate contacts; Pipedrive, Data enrichment; monday.com, Manage duplicates. What does an AI CRM data cleanup agent do?
It runs four jobs. Each one has a clear output you can review, which is how we test it.
| Job | What the agent looks at | What it proposes | Who approves |
|---|---|---|---|
| Duplicate detection | Name variants, email, phone in normalised form, company domain, address, owner, activity dates | Groups of likely duplicates with a confidence score and a suggested surviving record and field values | A person, for every merge |
| Standardisation | Free-text fields like job title, country, state, industry, lead source; name and phone formatting | A mapped value from your agreed list, a formatted phone, split first and last names | Rules you sign off run automatically; anything outside the rules goes to review |
| Enrichment | Records missing industry, size, website, LinkedIn page, address | Values from public sources you approve, with the source URL stored | Auto-fill empty fields only; never overwrite without review |
| Validity flags | Email syntax and domain, phone length and country, placeholder text like “test” or “asdf” | A flag or a tag, and a suggested action (verify, suppress, delete) | A person, for anything that suppresses or deletes |
The judgement call in all four is the same: how sure is the agent, and what does it cost if it is wrong? A wrong job-title mapping is cheap to fix. A wrong merge of two real customers combines their emails, deals and history and, on most CRMs, cannot be undone. So merges always wait for a person, however confident the model is.
What do the native tools in each CRM already do?
All five have a duplicate tool and two have native enrichment. The limits differ more than the feature names suggest.
| CRM | Native dedupe | How it matches | Undo | Native enrichment and standardisation |
|---|---|---|---|---|
| HubSpot | Manage duplicates in the data quality tools, AI-detected pairs | Default properties such as name, email, phone, company for contacts; domain, name, country for companies | No; 250 combined-merge limit | Data enrichment (off by default, business email or domain needed); formatting-issue fixes, with automated rules on Data Hub Pro or Enterprise |
| monday CRM | Manage duplicates from the board menu | Identical values in one column you choose | Manually unarchive merged items | No native enrichment for existing records found; AI Lead Agent sources and enriches new prospects |
| Pipedrive | Tools and apps, Merge Duplicates | People: same name plus phone, email or organization. Organizations: name plus address. Deals never flagged | No | Data enrichment via Surfe, Premium and up, empty fields only, credit based |
| Airtable | Dedupe extension, all paid plans | One or more fields, with exact, similar or fuzzy text matching | Non-primary records are deleted | No dedicated enrichment; field agents and Omni can fill or clean with AI credits |
| GoHighLevel | Manage Duplicates (admins only) and a Merge Contact workflow action | Email, phone or name; the workflow action uses email, phone or both | No | Contact deduplication preferences prevent some duplicates at entry; no native enrichment found |

A few details from those pages that change how you plan a cleanup:
- HubSpot: the tool sits on Professional and Enterprise per its help pages. HubSpot also notes that a record corrected by the formatting tool and later changed back by hand is not flagged again. The full merge walkthrough is in our guide to finding and merging HubSpot duplicates.
- monday CRM: when you merge, files in the Files column are not kept and data from apps such as Emails & Activities and Quotes & Invoices is not transferred. Export those first if they matter.
- Pipedrive: enrichment fills only empty fields, bulk enrichment handles up to 100 records at a time, and unused or top-up credits expire at the end of each billing cycle. Deals are never flagged as duplicates, so deal cleanup is manual or custom.
- Airtable: the Dedupe extension warns that it may be slow or unable to finish on large bases, and that fuzzy matching produces false positives.
- GoHighLevel: on a merge, a custom field from another contact is added only when the master’s field is blank. The Merge Contact workflow action always merges the newer contact into the older, and HighLevel warns that “wait for reply” steps can misbehave for a merged contact.
When is the native tool enough, and when do you need a custom agent?
The native tool is enough when duplicates share an exact email or phone, your fields are mostly pick-lists already, and the record count is small enough to review by hand in an afternoon. Run it first; it costs nothing extra on the plans that include it.
A custom agent is worth it when:
- Duplicates do not match exactly. “Jon Smith, Acme Inc, +1 415…” and “Jonathan Smith, ACME, 415…” will not pair on an identical-value tool. Our matching normalises phones and company names, compares across several fields and scores the pair.
- The data is large. Tens of thousands of records with a few percent duplicates is too many groups to review one by one without ranking and batching. Airtable’s own extension warns about large bases.
- You need standardisation rules the CRM does not have. A mapped job-title list for segmentation, a single country format across forms and imports, consistent lead-source values.
- You need enrichment on fields or CRMs the native tool does not cover, or you want to choose the source and keep it on each value.
- Deals and custom objects need cleaning too, which Pipedrive’s flagged list and most native tools do not handle.
- You are about to migrate. Cleaning once in the source is cheaper than cleaning in two systems. Our CRM data cleaning before migration guide covers the order of work.
How do we build a CRM data cleanup agent?
Our in-house engineering team, led by co-founder and CTO Shivam, builds it on the CRM’s API with a review queue your team uses. Nothing is merged or deleted on the first pass.
1. Snapshot and profile
A full export, then a profile of every field: fill rate, distinct values, formats, likely duplicates. You can check: a data-quality report with counts per issue.
2. Agree the rules
Matching rules, the surviving-record rule, standard value lists and which sources enrichment may use. You can check: a one-page rule sheet you sign.
3. Dry run
The agent proposes every change against the snapshot without writing anything. You can check: a sample of 100 proposed merges and fixes to spot-check.
4. Approve in batches
High-confidence groups first, ranked so reviewers clear the easy ones fast; uncertain pairs stay in the queue. You can check: the approval log with who approved what.
5. Keep it clean
The agent runs on new records on a schedule, so imports and forms do not re-create the mess. You can check: a weekly count of new issues found.
Merges use the CRM’s own merge function where the API offers one, so activity history and associations move the way the vendor intends. Before any write, we keep the snapshot so values can be restored even where the CRM itself has no undo. Writes are paced inside each CRM’s API limits; on monday.com, for example, a daily call cap by plan means a large cleanup runs over several days, as shown in our CRM API rate limits comparison.
What about bad emails and phone numbers?
The agent flags them in three tiers and never deletes on its own. Format checks catch invalid syntax, missing country codes and placeholder values like “test@test.com”. Domain checks catch email domains that do not accept mail. Behaviour checks use what the CRM already knows: hard bounces, unsubscribes, and numbers that failed SMS delivery. Each flag carries a suggested action, and suppress or delete always needs a person. If you send email from the CRM, cleaning these before a campaign protects your sender reputation as well as your reports.
What does it cost to run?
There are three running costs: native enrichment credits, AI credits or model usage for matching and standardisation, and any third-party data source. What we could verify on Oct 31, 2026:
| CRM | Native cost for cleanup or enrichment |
|---|---|
| HubSpot | HubSpot’s enrichment help page does not state a credit cost; smart properties used for AI fills consume HubSpot Credits per record per run. Formatting automation and duplicate alerts need Data Hub Professional or Enterprise |
| monday CRM | Manage duplicates has no stated credit cost; AI columns use AI credits per action (see monday AI credits) |
| Pipedrive | 1 credit per organization, 2 per email, 5 per phone; monthly allowance by plan; top-ups from 100 to 1,000 credits, non-refundable |
| Airtable | Omni lists creating or updating records, including cleaning existing data, as free; field agents use AI credits (15,000 a month per billable collaborator on Team) |
| GoHighLevel | Manage Duplicates and the Merge Contact action are part of the platform; enrichment needs a third-party source |

For a custom agent, the one-time cleanup of the backlog is the expensive part and the ongoing run on new records is small. We estimate both from your profile report before the build. The build itself is scoped and quoted after a free 30-minute call; there is no aibrevo price list for agent work.
How long does a cleanup take?
As a scoping range: a single-object cleanup (contacts only) with exact and fuzzy matching and a short standardisation list is usually two to three weeks including review, and contacts, companies and deals with enrichment and an ongoing schedule usually runs four to six. Review speed sets the pace more than build time, because every merge waits for a person.
What should you check before you start?
- Export everything first, including notes, files and app data the merge tool may drop.
- Decide the surviving-record rule in writing: oldest, most active, or the one owned by the account manager.
- Pause automations that fire on record creation or update during the bulk run, or a cleanup can trigger hundreds of emails. GoHighLevel and HubSpot both note that merges affect workflow enrolment.
- Fix the source of duplicates, usually imports without a unique identifier and forms that do not match existing records. Our guides to HubSpot import errors and importing contacts into Pipedrive cover the import side.
- Check your legal basis for enrichment. Pipedrive’s enrichment page puts the data controller duties on you, including informing people and honouring opt-outs.
Who is this for, and who is it not for?
It fits teams with thousands of records on HubSpot, monday CRM, Pipedrive or GoHighLevel, where duplicates do not match exactly, fields were filled by several forms and imports over the years, or a migration is coming. It also fits teams about to add an AI CRM data entry agent, because that agent matches new emails and calls against existing records and needs one clean copy of each.
It is not for a database of a few hundred contacts with exact-email duplicates; the native tool and an afternoon will do. And it is not a replacement for deciding what your fields mean: if nobody agrees on the lead-source list, the agent has nothing to standardise to.
