Method. We read the US pricing page of each vendor on October 6, 2026, took the per-user (or per-account) price with yearly billing, and multiplied by team size and 12 months. Required one-time fees are added to year one. Usage fees, add-ons, tax and implementation are not included in the totals; they are covered separately below. Where a vendor’s page could not be read directly, the note in the sources says how the price was checked.

How much does each CRM cost per user?

Each vendor sells a free or entry tier, then a second paid tier that most growing teams end up on once they need automation, reporting or more pipelines. Here are both, per user per month, billed yearly.

Prices in USD, billed yearly, from each vendor’s pricing page on October 6, 2026. HubSpot’s page currently shows Starter at $7 per seat with $20 struck through; we use the $20 list price because the lower figure is presented as a discount. Check the live page before you buy.

Two things stand out. First, the CRMs split into two price bands that barely overlap: Salesforce, HubSpot and Dynamics 365 at roughly $90 to $105 per user for the second tier, and Zoho, Pipedrive, monday CRM and Airtable at $17 to $45. Second, the jump between tiers varies a lot. Moving from Zoho Standard to Professional adds $9 per user. Moving from HubSpot Starter to Professional adds $70 per user plus the onboarding fee.

What does a CRM cost for 5, 10 and 25 users?

This is the table most buyers actually need. It is the yearly license cost on the second paid tier, with required one-time fees included in year one.

The entry tier tells a different story for small teams. For 10 users on the entry paid tier, yearly cost runs from $1,164 (GoHighLevel Starter, flat) and $1,440 (monday CRM Basic) up to $3,000 (Salesforce Starter Suite) and $7,800 (Dynamics 365 Sales Professional). Entry tiers are fine for a pipeline and contacts. They usually fall short once you need multi-step automation, custom reporting or several pipelines, which is why the second tier is the more honest budget line.

When is a flat-rate CRM cheaper than paying per user?

GoHighLevel is the only CRM in this set that charges per account rather than per person. Its Starter plan is $97 a month and its Unlimited plan $297 a month, and both include unlimited users and contacts, according to HighLevel’s pricing page. That makes headcount the deciding variable.

The catch is that the cheaper license is not the same product.   2. Price the second tier unless you are sure the entry tier covers your automations.
