monday CRM Alternatives: Which One to Pick Based on Why You Are Leaving

monday CRM alternatives organised by the reason you are leaving: seat minimum and price, automation caps, deeper sales features, marketing automation, a free tier or regulated data, with published prices checked October 21, 2026.

Part of the guide: monday CRM guide

Key takeaways

  • The right monday CRM alternative depends on the reason you are leaving: Zoho or Freshsales for price, Pipedrive for a sales-only pipeline, HubSpot for marketing and a real free tier, GoHighLevel for texting and flat pricing at larger headcounts, Salesforce for deep enterprise control.
  • monday CRM lists $12, $17 and $28 per seat billed yearly with a 3-seat minimum and 250 automations a month on Standard (monday.com pricing page, checked October 21, 2026). Those two limits, the minimum and the automation cap, explain most of the searches for alternatives.
  • There is no free monday CRM plan, only a 14-day trial. The free CRM tiers we verified are HubSpot (2 users) and Zoho (3 users); Freshsales offers a 21-day trial on its pricing page.
  • Switching is not free. A new CRM adds its own implementation and migration work, and for a team that also runs delivery and onboarding in monday, staying and fixing the plan is often cheaper.
  • Salesforce Pro Suite ($100) and HubSpot Professional ($90 plus a $1,500 onboarding fee) cost five to six times monday Standard per seat, so move there when you need what they add, since they will not save money.

What is the best alternative to monday CRM?

The best alternative depends on which limit made you search, and the table below gives the verdict for each one. We checked monday’s own pricing page on October 21, 2026: Basic $12, Standard $17 and Pro $28 per seat billed yearly, a 3-seat minimum, no free plan, and a quote required above 40 users. Most people who look for monday.com CRM competitors hit one of six walls, and each wall points to a different tool.

What do the main monday CRM alternatives cost?

Published list prices run from $9 to $100 per user per month for the first two paid tiers, and the order is the reverse of what most people expect. The table below puts every price we could verify in one place with the check date.

CRM Free tier Entry paid tier Second paid tier Checked
monday CRM None (14-day trial) Basic $12 Standard $17 Oct 21, 2026
HubSpot Sales Hub Free, up to 2 users Starter from $7 shown on the page Professional $90 plus $1,500 required onboarding Oct 21, 2026
Zoho CRM Free, up to 3 users Standard $14 Professional $23 Oct 6 and Oct 21, 2026 (free tier)
Pipedrive None found Lite $14 Growth $39 Oct 6, 2026
Freshsales 21-day trial Growth $9 Pro $39, Enterprise $59 Oct 21, 2026
Salesforce Sales Free Suite $0 Starter Suite $25 Pro Suite $100, Core $195 Oct 21, 2026
GoHighLevel 14-day trial Starter $97 per account Unlimited $297, Agency Pro $497 Oct 21, 2026

Source: monday.com CRM pricing, HubSpot Sales Hub pricing, Salesforce Sales pricing, Freshworks CRM pricing and GoHighLevel pricing. All per user per month billed yearly except GoHighLevel, which is per account per month. HubSpot’s page shows $20 beside the $7 Starter figure without a label, so treat Starter as $7 to $20 until you see your own quote.

Two things stand out. The cheap tools (monday, Zoho, Freshsales, Pipedrive) sit well below Salesforce and HubSpot Professional, so a move to either of those two is a capability decision. And GoHighLevel is priced on a different axis, so it only wins above a certain headcount, covered below.

Which monday CRM alternative is best if the seat minimum and price are the problem?

Zoho CRM is the cheapest well-known option at $14 per user for Standard, with a free edition for up to 3 users, and Freshsales starts at $9 per user on Growth. monday’s price per seat is already low, so the real pain is usually the 3-seat minimum and how the bill steps up with tier. A two-person team still pays for three seats on Basic ($36 a month), where Zoho’s free edition costs nothing.

Our CRM pricing comparison shows that monday Standard stays cheaper than most rivals per seat, so if the complaint is price alone, check that you are not paying for Pro when Standard would do. The monday CRM pricing calculator shows what your headcount costs, and monday CRM pricing explained covers seat blocks and the plan-wide tier jump. If monday is still the wrong fit, Zoho and Freshsales are where the savings are. One caution on Freshsales: its pricing page showed no free plan today even though its meta description mentions one, so we list only the 21-day trial.

Which alternative is best if monday’s automation limits are the problem?

GoHighLevel is the strongest answer when the automation cap hurts, because its plans do not meter workflows by a monthly action pool. monday Standard lists 250 custom automations a month and Pro lists 25,000 (pricing page, checked October 21, 2026). A CRM that fires a handoff on every stage change can use 250 in under two weeks.

GoHighLevel charges per account: $97 for Starter, $297 for Unlimited and $497 for Agency Pro, with unlimited users and contacts on every plan, per its pricing page checked today. Texts, calls and email are metered separately through its wallet, so budget for usage on top of the plan. Our research shows the $297 plan costs less than monday Standard from 18 users, and less than Pipedrive Growth from 8. Below those headcounts a per-seat tool is cheaper.

Before you move, read the monday CRM automation recipes and the monday CRM plan limits; some caps disappear by moving from Standard to Pro. If the move still makes sense, see GoHighLevel vs monday and our GoHighLevel pricing guide. If you want it set up for you, see our GoHighLevel setup service.

Which alternative gives deeper sales features than monday CRM?

Pipedrive is the closest pipeline-first alternative: Lite is $14 and Growth is $39 per user (our research page, checked October 6, 2026). It is built around the deal pipeline and rep activity rather than around boards, so a team of reps working leads all day tends to get more out of it than out of monday.

A team that wants a power dialer, SMS sequences or call recording will usually look at a dedicated sales tool or GoHighLevel, since we found none of those listed on monday’s CRM pricing page. Pipedrive also publishes an API budget that scales with seats (CRM API rate limits compared), which matters if you sync it to other systems. Read monday vs Pipedrive and our Pipedrive guide for the full comparison.

Salesforce is the deep option beyond that. Its Starter Suite is $25 and Pro Suite is $100 per user, with Core at $195 and Agentforce for Sales from $125 per user on top (Salesforce pricing page, checked October 21, 2026). It is five to six times the price of monday Standard, and it needs an admin. Choose it when you need custom objects, territory rules and reporting that monday cannot model, and compare against is monday a real CRM first.

Which alternative is best if you need marketing automation?

HubSpot, because its CRM sits inside a marketing platform with forms, email and workflows, and its free tier covers up to 2 users. The Sales Hub pricing page, checked October 21, 2026, lists Professional at $90 per seat with a required one-time $1,500 onboarding fee, and Enterprise at $150 with $3,500 onboarding.

That is the price of the jump. HubSpot Professional costs about five times monday Standard per seat, and the break-even against GoHighLevel’s $297 plan is four users. If marketing email and forms are the reason you are leaving monday, HubSpot Starter or its free tier is the cheaper way to test the fit before committing to Professional. Our HubSpot pricing and limits page tables workflow, pipeline and API caps by tier, and HubSpot vs monday.com compares fit.

Is there a free alternative to monday CRM?

Yes: HubSpot’s free tier (up to 2 users) and Zoho’s free edition (up to 3 users) are the two we verified on the vendors’ pages. monday CRM has none, only a 14-day trial with no credit card, per its pricing page. The free plan people remember belongs to monday work management, with 2 seats, 3 boards and no automations (see is monday.com free).

If you are a nonprofit, monday offers a separate nonprofit discount, which may beat any competitor’s free plan. A free tier caps users and features, so test with real records before you migrate. For a solo owner or a pair, HubSpot free is the lower-risk start. For three people, Zoho free covers all of them.

What if your data is regulated, such as health information?

Check the Business Associate Agreement before price. monday offers HIPAA on its Ultimate tier (custom priced) once an admin signs the BAA, and third-party integrations sit outside it (monday HIPAA answer). HighLevel states in its HIPAA support article that accounts are not compliant by default, the add-on is $297 a month on top of any plan, and it cannot be disabled once enabled.

We did not verify HIPAA terms for HubSpot, Zoho, Pipedrive or Freshsales today, so we do not rank them here. Ask each vendor for its BAA and the tier it needs, then price that tier, not the entry plan. Our HighLevel compliance page covers the HighLevel side in more detail.

When should you stay on monday CRM?

Stay when the CRM is tied to onboarding and delivery boards, when your team is between 3 and 40 people, and when the pain is a limit that Pro fixes. monday’s strength is the cross-board link from a closed deal to a delivery project, and a standalone CRM can only reproduce that with an integration and a second subscription. The cost comparison in monday CRM pricing explained reaches the same conclusion: the right tool depends on whether you need that cross-team design.

A migration also has a cost that no price table shows. Our CRM implementation cost benchmark puts published small builds at roughly $2k to $5k and mid-market builds at $10k to $15.5k, checked October 2026. Switching to save a few dollars per seat rarely pays that back. Switch when the replacement fixes something an upgrade cannot.

How do you move from monday CRM to another CRM?

Export first, then import in stages. Follow these steps so no record is lost.

  1. Export every board you rely on to a spreadsheet (how to export a monday board to Excel), including the contact, deal and activity boards.
  2. Clean the data: merge duplicates, standardise status names and drop dead deals before they reach the new tool.
  3. Map each monday column to a field in the new CRM, and note which automations need rebuilding by hand.
  4. Check the new CRM’s import limits first; our CRM import limits page lists them for each vendor, including monday’s own 8,000 row cap.
  5. Run both systems in parallel for a short period, then cancel monday. Read how to cancel a monday.com subscription first, because annual plans generally do not refund unused months.

If you want help scoping the move or fixing the monday plan instead, our monday.com CRM implementation service is the starting point, or contact us with your seat count and the limit that is hurting.

Founder’s note, Alpit Patel. Most people who ask me about alternatives are leaving over one specific limit, and it comes up often. I’d name that limit first and price only the tools that fix it. Sometimes the honest answer is to stay on monday and change how the boards are built. I founded aibrevo in San Francisco in 2021, and through autoesta I have overseen 320+ GoHighLevel implementation projects across med spas, real estate, healthcare, dental, home services, SaaS and professional-services clients in the US, UK and UAE. FAQs

What is the best alternative to monday CRM?

There is no single best one. Pipedrive suits a sales-only team that wants a simple pipeline, HubSpot suits teams that need marketing and a free starting tier, Zoho and Freshsales are the cheapest paid options, GoHighLevel suits texting-heavy teams that want flat pricing, and Salesforce suits large teams that need deep customization. Match the tool to the reason you are leaving.

What is the best monday CRM alternative for small business?

For a team of two or three, HubSpot's free tier (2 users) or Zoho's free edition (3 users) costs nothing to start. For 4 to 15 people who need paid features, Zoho Standard at $14 per user or Pipedrive Lite at $14 per user are the usual picks. Both prices were last checked against our October 6, 2026 research.

Is there a free alternative to monday CRM?

Yes. HubSpot's Sales Hub free tier covers up to 2 users and Zoho CRM's free edition covers up to 3 users, per their pricing pages. monday CRM itself has no free plan, only a 14-day trial, though monday work management has a limited free plan. Free tiers cap users and features, so check limits before migrating data.

Why do people leave monday CRM?

The common reasons are the 3-seat minimum and the per-seat price as headcount grows, the 250-a-month automation cap on Standard, the 15-column cap per board, sales features that are lighter than a dedicated CRM, and a missing free plan. Each has a different best alternative, which is why this page is organised by reason.

Is HubSpot better than monday CRM?

For marketing automation, email, forms and a free starting tier, HubSpot is stronger. For cross-team boards that connect sales to onboarding and delivery, monday is stronger. On price, monday Standard at $17 per seat is far below HubSpot Professional at $90 per seat plus a required $1,500 onboarding fee, so the gap needs to be worth it.

Is Pipedrive cheaper than monday CRM?

Not at the entry tier. Pipedrive Lite is $14 per user against monday Basic at $12, though monday Basic has no automations and a 3-seat minimum. At the second tier Pipedrive Growth is $39 per user against monday Standard at $17. Pipedrive costs more per seat but is built entirely around the sales pipeline.

Which CRM has no seat minimum?

monday CRM requires at least 3 seats. HubSpot, Zoho and Pipedrive list per-user prices without a stated seat minimum on their pricing pages, and HubSpot's free tier works for one or two people. GoHighLevel charges per account with unlimited users, so a solo owner and a 20-person team pay the same $97 or $297 a month.

Can I use a CRM that is HIPAA compliant instead of monday?

monday offers HIPAA on its Ultimate tier, which is custom priced, after you sign its Business Associate Agreement. HighLevel's HIPAA add-on is $297 a month on top of the plan and cannot be turned off once enabled. Whichever vendor you pick, get the BAA signed before any patient data goes in.

When should I stay on monday CRM instead of switching?

Stay when your CRM is wired into project delivery and onboarding boards, when your team is 3 to 40 people and fits within Standard's limits, or when the pain is a plan limit you can solve by upgrading. A migration costs setup time and data cleanup, so switch only when the replacement fixes a problem a plan change cannot.

How much does it cost to switch from monday CRM to another CRM?

License price is only part of it. Our benchmark of published agency and partner price pages, checked October 2026, puts small builds at roughly $2k to $5k and mid-market builds at $10k to $15.5k, before data cleanup. HubSpot Professional adds a required $1,500 onboarding fee. Export your boards to a spreadsheet first so nothing is lost.

Does monday CRM have enough sales features for a sales-only team?

It covers pipelines, contacts, quotes and automations, but a team that wants a power dialer, SMS sequences or call recording will find a dedicated sales CRM or GoHighLevel closer to the job. If your reps live in the CRM all day and nobody else touches it, the board-based design offers less than a pipeline-first tool.
