CRM QuickBooks and Xero Integrations Compared 2026: Native, Marketplace or Zapier
Which CRMs connect to QuickBooks and Xero natively, which rely on a marketplace app or a third-party sync, what each integration syncs and how often, and the plan needed where the vendor states it, from vendor pages and help articles checked October 22, 2026. Covers Capsule, Insightly, Keap, GoHighLevel, Zoho Bigin, Copper, Attio, Less Annoying CRM, Nutshell and more.
Key takeaways
- Capsule's help pages list both QuickBooks Online (all plans) and Xero (all paid plans) as built-in. QuickBooks syncs hourly and Xero every two hours, and a Xero contact reaches Capsule only after it has an authorised invoice.
- Insightly's QuickBooks Online connector is a view, not a sync: its own help article says the integration does not provide a sync between the two systems. The Xero connector also lets users create invoice drafts from Insightly.
- GoHighLevel's QuickBooks integration is two-way, but it will not sync invoices created before you connect, and draft invoices do not sync. HighLevel's article states no plan requirement.
- Less Annoying CRM and Attio rely on third-party apps: QuickBooks Sync (from $9 a month) for LACRM and Attibooks by Craftt for Attio.
- We could not verify a QuickBooks or Xero integration for Close, Freshsales, Vtiger or SugarCRM from a readable primary page. Treat those as unconfirmed rather than missing.
Capsule connects to both QuickBooks Online and Xero without an extra app. Insightly connects to both but its QuickBooks link is a read-only view. Keap says it syncs invoices to QuickBooks, and Less Annoying CRM and Attio need a third-party app. That spread is typical: the same words, “QuickBooks integration”, cover everything from a live invoice sync to a sidebar that shows status. This page sorts the CRMs by what each integration does, from vendor pages and help articles checked October 22, 2026.
Method. We read each vendor’s own help article or integrations page where one loaded, and recorded what it syncs, how often, and which plan it is on if the page says. “Native” means built and supported by the CRM vendor. “Marketplace or third-party” means another company’s app. Where a page was blocked or showed nothing readable, we say so instead of guessing. The five searches this page answers are “keap quickbooks integration”, “insightly xero integration”, “capsule crm xero integration”, “vtiger quickbooks integration” and “sugarcrm quickbooks integration”.

Source: vendor help articles, pricing pages and integration pages listed under Sources, checked Oct 22, 2026. “Not verified” means we could not read a primary page that confirms or denies it, not that the integration does not exist. HubSpot, Pipedrive, Salesforce, Dynamics 365 and Airtable were not re-verified for this page.
Does Capsule CRM integrate with Xero?
Yes, and it is the best documented Xero link in this set. Capsule’s help page lists it on all paid plans. It is switched on from Account Settings, Integrations, and an initial sync brings Xero’s invoice information and any contacts not already in Capsule. After that, syncs run about every two hours. The page lists the behaviours that cause trouble:
- A Xero contact reaches Capsule only once it has a new authorised invoice, not a draft.
- A small spelling difference between the two systems makes the sync treat the customer as new and create a duplicate.
- Deleting a contact must happen in Xero first and then in Capsule, or it returns at the next sync.
- Capsule treats its own address data as the record, so fix addresses in Capsule before you enable the sync.
- Disabling the integration keeps the contacts it created but stops displaying invoice history.
The QuickBooks article follows the same pattern with hourly syncs, an initial match between QuickBooks Display Names and Capsule contacts, and a push of new contacts when you are ready to invoice.
Does Insightly integrate with Xero or QuickBooks?
Both, with different depth. Insightly’s Xero article says an administrator with a Xero login can connect one Xero organization, the login needs at least Standard access in Xero, and Insightly then adds a Xero subtab to contacts, organizations, opportunities and projects. Designated users see invoice and bill totals and can create new invoice drafts from Insightly.
The QuickBooks Online article is plainer: an administrator with an Intuit login connects one QuickBooks account, and users then see a customer summary with estimates, invoices and payments. The companion article says it directly: “The integration does not provide a sync between the two systems.” For automated transfers, such as raising an invoice when an opportunity is won, Insightly points to AppConnect, its integration tool, which is licensed separately. Its pricing page lists AppConnect task packs from $249 for 25,000 tasks, with a $3,000 required technical setup on its published plans.
Does Keap integrate with QuickBooks?
Keap says so in its own blog: invoicing in Keap can sync to QuickBooks, and to Xero with a plug-in. We could not read Keap’s help article on QuickBooks Online invoice sync, which sits on a support site that returned only navigation text, so what syncs and on which plan is unverified here. Keap’s pricing is by contact count with 2 users included and $39 a month per extra user, which matters when you decide who needs a login for invoicing.
What about Vtiger and SugarCRM?
The demand is real, but the primary evidence is thin. Vtiger’s QuickBooks integration page returned 410 Gone on October 22, 2026 and its pricing page lists no accounting integration in readable text. SugarCRM’s pricing page lists prices and no accounting connectors, and its marketplace page did not render listings. If either is on your shortlist, search the vendor’s marketplace for the exact accounting package you use, and note whether the listing is vendor-built.
How does GoHighLevel’s QuickBooks integration work?
It is two-way. HighLevel’s article describes customers created in QuickBooks for contacts with activity, payments from order forms, subscriptions, memberships and calendar bookings recorded as sales receipts matched by contact email, and invoices created in QuickBooks when sent in HighLevel. QuickBooks contacts import and keep syncing. Limits to know: it will not sync existing invoices, only new ones, unless you enable the Import invoices toggle at connection; draft invoices do not sync; edits to imported invoices do not sync back. Which CRM should you pick if you need QuickBooks or Xero sync?
Pick by the depth of sync you need
- You use Xero and want contacts and invoice status in the CRM: Capsule (all paid plans) or Insightly.
- You use QuickBooks Online and want the invoice status on the contact record: Capsule, Insightly (view only), Copper (view) or Zoho Bigin Express.
- You want invoices created from the CRM automatically: GoHighLevel’s two-way sync, Insightly’s Xero draft invoices, or a third-party app such as Attibooks (Attio) or QuickBooks Sync (Less Annoying CRM).
- You use QuickBooks Desktop: none of the pages we read confirm Desktop support for these native links; check before buying.
- You want email inside the CRM as well: compare the Outlook and Gmail integration page.
When to get help
Accounting syncs fail in boring ways: duplicate customers from a spelling difference, drafts that never sync, invoices from before the connection that never arrive. Mapping chart-of-accounts items to CRM products and deciding which system owns the customer record is the real work. aibrevo implements Salesforce, HubSpot, Dynamics 365, Zoho CRM, Pipedrive, monday.com, Airtable and GoHighLevel, and quotes per project for any other CRM. If the accounting link decides your CRM choice, book a short call or send a message, and see the Zoho service page or HubSpot service page. For fee comparisons, the small business CRM pricing page lists yearly seat costs.
