CRM Outlook and Gmail Integration Compared (2026): What Syncs in 7 CRMs
We read the email and calendar sync documentation for HubSpot, Salesforce, Dynamics 365, Zoho CRM, Pipedrive, monday CRM and GoHighLevel on October 20, 2026. All seven connect to Gmail and Microsoft 365. They differ on past email, shared mailboxes, which emails sync, calendar limits and the plan you need. Only Zoho CRM and Pipedrive document importing older email.
Key takeaways
- All seven CRMs connect to both Gmail and Microsoft 365 / Outlook. The differences are in the details: which emails sync, whether past email comes in, whether a shared mailbox like sales@ works, and which plan you need for it.
- Only two document importing older email. Zoho CRM lets you pick 6 months, 1 year, 2 years, everything, or a start date; Pipedrive lets a personal account go back up to 2 years and a team account up to 1 month. GoHighLevel says past emails cannot be synced, and HubSpot and Pipedrive calendar syncs only pick up events created after you connect.
- Shared mailboxes split the field. Pipedrive supports team accounts such as sales@ on email sync; HubSpot does not accept a Microsoft 365 shared mailbox as an individual inbox; GoHighLevel does not document shared mailboxes.
- Plan gates: Pipedrive email sync starts on Growth; monday CRM's two-way email starts on Standard, and its Outlook integration needs a Microsoft 365 Business Premium licence for the person connecting; Salesforce Einstein Activity Capture runs in Lightning Experience only and covers up to 100 users on the standard licence.
- GoHighLevel syncs one-to-one email only. Bulk and workflow emails still go out through the sub-account's email provider, and Gmail sends from the CRM count toward Google's 500-a-day limit, per HighLevel's article.
Every major CRM now connects to Gmail and Microsoft 365, so “does it integrate with Outlook?” is the wrong question. The useful questions are narrower: will last year’s emails come in, can the team share sales@, do automated emails show up, does the calendar sync both ways, and which plan do you need for any of it. We read the email and calendar documentation for seven CRMs on October 20, 2026 and put the answers side by side.
What this page adds: vendor pages describe their own integration. None compares backfill, shared mailboxes, which emails sync and plan gates across CRMs, and those are the four things that cause most complaints after go-live. Where a vendor’s documentation does not state something, we say “not stated” instead of guessing.
How do the 7 CRMs compare on Outlook and Gmail integration?
| CRM | Gmail | Microsoft 365 / Outlook | Past email on connect | Shared mailbox (sales@) | Plan or licence gate |
|---|---|---|---|---|---|
| HubSpot | Direct connection; send, log and track from the CRM | Microsoft 365, Exchange 2010 SP2+, IMAP | Not stated for email; calendar: no | Not as an individual inbox; use team email | Users on a View-Only seat cannot connect an inbox |
| Salesforce | Gmail integration (Lightning and Classic) plus Einstein Activity Capture | Outlook integration plus Einstein Activity Capture | Not stated in the docs we read | Not stated | Activity Capture: Lightning only, up to 100 users on the standard licence |
| Dynamics 365 | Server-side sync with a Gmail OAuth profile (up to 100 users per profile) | Server-side sync with Exchange Online; App for Outlook on desktop, web, mobile | Not stated | Mailboxes yes; distribution lists no | Customer engagement apps (Sales, Customer Service and others) |
| Zoho CRM | OAuth, IMAP or POP; also an API connection for Google | OAuth for Office 365 and Outlook, or IMAP | Yes: 6 months, 1 or 2 years, all, or from a date | Not stated | Standard and Administrator profiles by default |
| Pipedrive | Email sync; Gmail aliases supported | Office 365 / Outlook, Exchange (EWS), IMAP | Yes: up to 2 years (personal), 1 month (team); calendar: future events only | Yes: team accounts | Email sync on Growth and higher |
| monday CRM | Emails & Activities two-way sync | Emails & Activities; Outlook integration needs an online Exchange mailbox | No backfill documented | Not stated | Standard and up; Outlook integration needs Microsoft 365 Business Premium for the connecting user |
| GoHighLevel | Two-way sync per user (one-to-one email only) | Two-way sync per user; on-premises Exchange not supported | No: "past emails... cannot be synced" | Not documented | No plan gate stated; set up inside each sub-account |
Will my old emails come into the CRM when I connect?
Mostly no, and this surprises teams more than anything else. The CRM usually starts logging from the moment you connect.
- Zoho CRM is one exception. Its IMAP and POP3 setup lets you choose to sync from the last 6 months, 1 year, 2 years, the beginning, or a specific date.
- Pipedrive is the other. A personal email account has a “sync start date” of 3 days, 1, 3 or 6 months, 1 year or 2 years ago; a team account offers 3 days or 1 month. Changing it later does not delete mail already synced.
- GoHighLevel says in its Gmail two-way sync article that incoming emails from existing contacts populate under the contact, “but past emails (prior to the integration being connected) cannot be synced over.”
- HubSpot says calendar events created before you connect will not sync to the contact timeline, even when the guests are already contacts.
- Pipedrive says only future events sync from your calendar provider.
- monday CRM’s Outlook integration syncs only meetings and events created after setup, and its Emails & Activities documentation does not mention older email.
If history matters, for example for an account handover, export the old threads before go-live or pick a CRM that documents a historical import, and test it with one mailbox first.
Can the whole team use one shared inbox like sales@?
| CRM | What the documentation says |
|---|---|
| Pipedrive | Email sync supports a team account that lets several users manage one address such as sales@. Shared emails show on linked deals, leads and contacts, not in other users' inboxes. |
| HubSpot | Microsoft 365 shared mailboxes are not supported as an individual work email, and one address cannot be both an individual and a team email. |
| Dynamics 365 | Only mailboxes can be synchronized; contacts and distribution lists are not supported. Each user maps to one mailbox. |
| GoHighLevel | Shared mailboxes are not documented; each user connects their own Gmail or Outlook in the sub-account. |
| Salesforce, Zoho CRM, monday CRM | Not addressed in the articles we read. |
Which emails actually sync?
People expect “everything to and from the customer”. The documentation is narrower:
- GoHighLevel syncs one-to-one email. HighLevel’s article says bulk email “will continue to be sent from the sub-account level email provider” and workflow emails are “dispatched from the defined sub-account level providers”, so neither appears in Gmail. Emails from contacts who are also sub-account users are skipped on purpose. Individual sends through Gmail count toward what HighLevel describes as Google’s 500-a-day limit.
- HubSpot lets you send, log and track one-to-one email from the CRM. Its Gmail disclosure says the connection grants access to contacts, emails, calendar, distribution lists, subject lines and tracked link URLs.
- Pipedrive lets each user mark synced email as shared, private or team-only. Sending limits are shared across the company account, so all users and features draw from one limit.
- Dynamics 365 server-side sync handles email, appointments, contacts and tasks with Exchange, but email only with POP3 or IMAP servers.
- Salesforce Einstein Activity Capture adds sent and received emails to related account, contact, lead, opportunity and quote records automatically, and syncs contacts and events.
How do calendar syncs differ?
- HubSpot syncs the user’s primary calendar only, and you can connect Google Calendar or Outlook Calendar, not both.
- Pipedrive offers two-way or one-way sync with Google, Exchange, Outlook or Office calendars, not IMAP or POP. In two-way mode, deleting an activity in Pipedrive deletes it from the calendar too.
- GoHighLevel syncs Outlook calendars both ways; HighLevel says appointments created while disconnected sync after you reconnect, and writer access is needed to send events to Outlook.
- Dynamics 365 syncs appointments through server-side sync with Exchange.
- Salesforce Einstein Activity Capture syncs events between Salesforce and Google or Microsoft.
Which CRM fits a Gmail team, and which fits a Microsoft 365 team?
- Do you need past email in the CRM on day one? If yes, shortlist Zoho CRM or Pipedrive and test the historical import with one mailbox. If no, continue.
- Does the team work from a shared address like sales@? If yes, Pipedrive’s team accounts are the documented option; with HubSpot use its team email feature instead of a shared mailbox.
- Are you all-in on Microsoft 365 with IT support? Dynamics 365 server-side sync is the deepest Exchange integration; check that your users have the right Dynamics licences.
- Are you on Gmail and want each rep to connect without IT? HubSpot and Pipedrive connect per user through a Google or Microsoft sign-in screen (Pipedrive email sync needs Growth or higher).
- Using monday CRM with Outlook? Check that whoever connects has Microsoft 365 Business Premium and an online Exchange mailbox, and budget integration actions: monday’s pricing article says the Gmail and Outlook integrations “can consume a lot of actions” and suggests Pro or Enterprise.
- Using GoHighLevel? Expect only one-to-one email in Gmail or Outlook; marketing and workflow email stays on the sub-account’s sending domain.
Whichever you pick, connect one mailbox, send five test emails each way (one-to-one, from a workflow, and a reply from the customer), and check what lands on the contact record before rolling out to the team. Our CRM integrations guide covers testing order, and the CRM comparison matrix covers the rest of the platform decision.
