How Do You Connect Gmail to monday.com?
Quick answer
On monday CRM, open Emails & Activities on any contact, lead, account or deal, click the cog, choose Add account and connect Gmail. On other boards, use Integrate > Gmail to run email recipes. The two are different features.

Key takeaways
- monday.com has two Gmail features. Emails & Activities is the CRM inbox on contacts, leads, accounts and deals: send, receive, track and log email. The Gmail integration runs recipes on any board, such as turning incoming email into items.
- Emails & Activities only logs email sent or received after you connect. It logs threads that include both your connected address and an address in the item's Email column.
- A Gmail address can be connected to only one monday.com account and one user profile at a time. The red connection error usually means it is still connected somewhere else; remove monday.com's access in your Google Account and reconnect.
- By default, logged email is visible to every full member of the account (not guests or viewers). Change who can see or write from your inbox in the Emails & Activities settings before the whole sales team connects.
To connect Gmail to monday CRM, open any contact, lead, account or deal, open Emails & Activities, click the cog icon, choose + Add account, pick Gmail and click Connect, then allow the permissions Google asks for. That gives you a CRM inbox on each record: send, receive, track opens and log every thread with that contact. On a board that is not a CRM board, the Gmail option is the Gmail integration under Integrate, which runs automation recipes instead.
Most “gmail to monday” setups go wrong because people install the second feature when they wanted the first. This page sets out which is which, how logging decides what shows up on a contact, and how to fix the errors people hit. Everything is from monday.com’s help center, checked on October 12, 2026.

monday.com puts it plainly in its own FAQ. The Gmail integration sends pre-made templates, like an out-of-office reply, while Emails & Activities “gives you the full flexibility of an email client.” If your team sells from monday CRM, you want Emails & Activities. The monday CRM vs monday work management page explains why that feature only exists on the CRM product.
How to connect Gmail to monday CRM (Emails & Activities)
- Open a Contacts, Leads, Accounts or Deals board and open any item. Emails & Activities is preinstalled and shows in the item’s Overview tab. You can also add it as its own view with + > Item views > Emails & Activities.
- Click the cog icon in the top-right corner of the app to open its settings.
- Click + Add account and choose Gmail.
- Click Connect, sign in to the Google account and choose Allow on the permissions screen. Emails & Activities does not work without this permission. Mail is still sent from Google’s servers, so it appears in your Gmail Sent folder.
- Send a test email to a colleague whose address is in the item’s Email column. Check that it appears on the timeline and in Gmail.
To use Emails & Activities in the monday CRM mobile app, connect the inbox on a computer first. monday.com’s CRM pricing page lists two-way Gmail and Outlook integration from the Standard plan, so check your plan before rolling it out; our monday CRM pricing calculator shows the cost by team size.
Set privacy before the team connects. By default, communication logged in Emails & Activities is visible to any full member of the account. Guests and viewers have no access. If reps should not read each other’s threads, change it under Emails & Activities settings first.
What gets logged on a monday CRM contact?
This is where most “my email isn’t showing” questions come from. Emails & Activities connects through OAuth and logs a thread on an item when:
- It was sent from the composer on that item, even if the recipient is not in the item’s Email column.
- It includes both your connected address and an address in any of the item’s Email columns, as sender, recipient, CC or BCC.
- It includes your address and the email of a connected item, such as the contact linked to a deal. The timeline shows where the connected item lives.
- It is part of a thread already logged. Replies and forwards keep logging, even if the original contact is removed from the thread.
Two exceptions stop logging:
- An address used in more than 250 Email columns across the account is not logged. That covers generic addresses like info@ that sit on many records.
- An address that is itself connected to Emails & Activities is not logged as a contact. Your teammates’ work addresses do not create history on each other’s records.
One more rule surprises teams: history does not backfill. Emails sent or received before you connect are not referenced in the app. Plan go-live for a Monday morning, not halfway through a deal cycle, and add a short note to live deals summarising the conversation so far.
Because logging follows the Email column, the same contact on three items gets the thread on all three. The Item related activities filter hides threads that belong to connected items, but not threads from the same address on unrelated items. Duplicate contacts are the real fix, so clean them before connecting inboxes. The CSV import guide shows how to skip duplicates on import.
How to use the Gmail integration on any board
The Gmail integration fits boards that are not CRM boards, such as a support intake board or a project board.
- Open the board and click Integrate.
- Click the Gmail integration banner and choose a template, for example “When an email is received, create an item” or “When a status changes, send an email”.
- Click Connect and choose the Gmail account.
- Fill in the template’s fields and turn it on.
You need permission to add integrations to the workspace and the board. Emails sent through these recipes are limited to 256 KB including attachments. Files from a Files column go out as links that only signed-in account members can open. A Text column can hold several addresses separated by semicolons, and the recipe emails each one separately.
Every recipe run counts against your plan’s monthly automation and integration actions. Our Slack, Gmail and Zoom integrations guide covers how that shared allowance runs out. The automation recipes guide shows recipes worth spending it on.
Save Gmail senders as contacts with the Chrome extension
The monday CRM Chrome extension works inside Gmail itself. After you add it from the Chrome Web Store, a monday CRM icon appears next to the sender of any email you open. Click it to:
- save the sender as a new Contact or Account,
- associate the contact with an account and one or more deals,
- add a note that shows on the contact’s Emails & Activities timeline.
In the extension’s settings you choose the workspace and the boards new contacts and accounts go to. It pairs well with Emails & Activities: the extension creates the contact, and Emails & Activities logs the conversation from then on.
Gmail and monday.com errors, and how to fix them
| What you see | Cause | Fix |
|---|---|---|
| Red error when connecting Gmail in Emails & Activities | The address is already connected to another monday.com account or user profile | In Google Account > Security Checkup > Third-party access, remove monday.com’s access, then connect again |
| “The connection to your Gmail account has been deactivated” | The Gmail connection behind your recipes was disabled | Autopilot hub > Connections > Gmail > three dots > Reconnect > Use another account > Connect (same login is fine) |
| Email sent but not on the contact | The contact’s address is not in the item’s Email column, or it sits in 250+ Email columns | Put the exact address in the Email column; give generic inboxes a different logging approach |
| Old conversations missing | Emails before the connection date are never logged | Expected behaviour; add a summary note to live deals |
| Recipe stops when sending many emails | Google’s sending limits for the account were reached | Spread sends out, or use monday CRM’s mass email feature for campaigns |
| Incoming-email recipe never fires | Gmail auto-forwarding or a filter moves the mail first | Turn off the forwarding or filter and test again |
| The same email fires again and again | An “update created, send email” recipe loops, because each sent email creates an update | Board Automations > Manage > switch that automation off |
| Wrong sender name on recipe emails | Gmail’s display name | Gmail settings > Accounts > Send mail as > edit info |

To disconnect cleanly, delete the connection inside monday.com first (Integrate > Integrations Center > Gmail > open any recipe > trash icon next to the account), then remove monday.com’s access in your Google Account. Removing an account inside Emails & Activities only stops new logging. You can add it back later.
When to get help
A single rep connecting their own inbox needs no help. Bring someone in when you are rolling Emails & Activities out to a whole sales team: privacy settings, shared inboxes, duplicate contacts and the go-live cut-over all need deciding first. Bring someone in too when Gmail has to feed several boards with routing rules. Our monday.com implementation service handles CRM rollouts, including email, and the monday.com vs HubSpot comparison covers how monday CRM’s email tools compare if you are still choosing.
