How Do I Connect Outlook to monday.com?

Quick answer

There are four Outlook paths in monday.com. On monday CRM, open Emails & Activities on any contact, click the cog, choose Add account and connect Outlook for two-way email. Outlook recipes and the Outlook Calendar integration run from Integrate on a board, and monday's help pages say they need a Microsoft 365 Business Premium licence and an online Exchange mailbox.

Key takeaways

  • monday.com has four separate Outlook paths: Emails & Activities (two-way CRM email), the Outlook recipes on any board, Outlook Calendar sync, and a third-party Outlook add-in. Each one is set up in a different place.
  • On October 17, 2026, monday's Outlook integration and Outlook Calendar help pages both said the user who connects needs a Microsoft 365 Business Premium licence and an online Exchange mailbox. Not everyone on the monday account needs that licence, only the people who connect Outlook.
  • Both pages also say personal and on-premise accounts are not supported. The Emails & Activities page does not state a Microsoft licence requirement for Outlook, so we cannot say it is the same.
  • Emails & Activities is listed for monday CRM Standard, Pro and Ultimate. Email open tracking is Pro and Ultimate only. The CRM Outlook Calendar timeline sync is also Standard, Pro and Ultimate.
  • If an Approval required screen appears while connecting, monday's help pages say a Microsoft tenant admin must approve the connection. If monday.com is missing from the Microsoft Entra admin center, start the connection from inside monday.com first.
  • None of the syncs backfill. The Outlook integration page says only meetings and events created after setup sync, and Emails & Activities does not reference email from before you connected.

monday.com connects to Outlook in four different ways, and you set each one up in a different place. For two-way email on a CRM record, open any contact, lead, account or deal, open Emails & Activities, click the cog icon, choose + Add account, pick Outlook and click Connect. For recipes or calendar sync on any board, click Integrate and choose Outlook or Outlook Calendar. monday’s help pages say the person who connects needs a Microsoft 365 Business Premium licence and an online Exchange mailbox for the board-level paths.

Checked on October 17, 2026. We opened monday.com’s help articles for the Outlook integration, the Outlook Calendar integration, the monday CRM Outlook Calendar integration, Emails & Activities (and how it works), the Outlook security article and the Microsoft Teams integration, plus monday’s CRM pricing page, its app marketplace listings and Microsoft Learn on admin consent. Microsoft’s AppSource page loaded only in part, and we say below where that matters.

Which Outlook integration does monday.com have?

monday.com has four, and they do different jobs. The first question to settle is whether you want email on a CRM record, email-driven automation on a board, calendar sync, or a panel inside Outlook.

Path What it does Direction Where you set it up Plan and licence per monday’s pages
Emails & Activities Send, receive and log email on contacts, leads, accounts and deals; templates; meetings on the timeline Two-way for email Item > Emails & Activities > cog > + Add account monday CRM Standard, Pro, Ultimate. Open tracking: Pro, Ultimate. Microsoft licence not stated on the page
Outlook integration (recipes) Triggers on incoming email, sends pre-written emails when a board changes Email in to a board, and email out from a board Board > Integrate > Outlook Microsoft 365 Business Premium for the connecting user, online Exchange mailbox. monday plan not stated on the page
Outlook Calendar integration Syncs board dates and Outlook events Two-way with two recipes, or one-way by subscribed link Board > Integrate > Outlook Calendar, or Date column settings for one-way Same Microsoft requirement as the recipes
monday CRM Outlook Calendar Shows Outlook meetings with a contact on that contact’s timeline, and lets you schedule meetings from the CRM Calendar events onto the CRM timeline Emails & Activities > Integrate > Outlook Calendar monday CRM Standard, Pro, Ultimate, and an Outlook account
Outlook add-in (third party) Create and edit items, leads and contacts from inside Outlook Both ways, from the inbox Microsoft AppSource or monday’s app marketplace Separate trial and tiered pricing from the publisher

monday.com’s own FAQ draws the main line. The Outlook (and Gmail) recipes “send out pre-made email templates” and “function in the same way as an out-of-office reply,” while Emails & Activities “gives you the full flexibility of an email client.” If your reps sell from monday CRM, Emails & Activities is the one you want. Our Gmail version of this guide covers the same split.

Why does monday.com need a Microsoft 365 Business Premium licence for Outlook?

monday.com does not explain why. Its help pages state the requirement and leave it there. The Outlook integration page says: “Users who connect Outlook must have a Microsoft 365 Business Premium license. Not everyone on your monday.com account needs this license, only the user(s) who connect Outlook.” It adds that the integration “only works if you have a Microsoft online exchange inbox and not on Premise,” and that an unsupported account gets an error when it tries to connect.

Here is what each monday page says, side by side. This answers the account-type question people ask on Reddit, including the r/mondaydotcom thread titled “Why is M365 Premium required for Outlook integrations”. We did not open that thread, so we cannot report what its replies say.

Page (checked Oct 17, 2026) Microsoft licence or account rule it states
Outlook Integration (last modified Oct 15, 2026) Microsoft 365 Business Premium for the user who connects. Online Exchange only. “Personal or on-premise accounts aren’t supported.” The email domain cannot be hosted through another email provider; check the MX record
Outlook Calendar Integration Microsoft 365 Business Premium. Online Exchange only. Personal and on-premise accounts not supported
monday CRM Outlook Calendar integration Monday CRM Standard, Pro or Ultimate, and “an Outlook account.” No Microsoft licence named
Emails & Activities Gmail or Outlook can be connected. No Microsoft licence named. Notes the Entra admin and Approval required steps

The gap in the last two rows matters. We found no monday page that states the Microsoft licence for connecting Outlook inside Emails & Activities. Do not assume it is the same as the board integration, and do not assume it is different. Connect one real inbox in a test first. To check an account type, monday’s page says to open Outlook, click the Settings icon, open Account, then Email account. If your address sits next to a Microsoft 365 icon, it will work with the Outlook integration.

How do I connect Outlook to monday CRM (Emails & Activities)?

Open a contact, lead, account or deal, open Emails & Activities, and add your Outlook account from the cog menu. Emails & Activities is preinstalled on every monday CRM entity board.

  1. Open a Contacts, Leads, Accounts or Deals board and open any item. Emails & Activities shows in the Overview tab. You can also add it as its own view: + > Item views > Emails & Activities.
  2. Click the cog icon in the top-right corner of the app.
  3. Click + Add account and choose Outlook.
  4. Click Connect, sign in to Microsoft and choose Allow when asked to share data with monday.com. The page says Emails & Activities does not work unless you allow it.
  5. Send a test email to a colleague whose address is in the item’s Email column. Confirm it shows on the timeline and in your Outlook Sent folder.
  6. Reply from the colleague’s side and confirm the reply appears on the item and in your Outlook inbox.

Mail is sent through your email provider’s server, so it appears in your Outlook Sent folder. Replies arrive on the item and also in your Outlook inbox. To use Emails & Activities in the mobile app, connect on a computer first.

On what gets logged, the rules match the Gmail setup: a thread is logged when it is sent from the item’s composer, or includes both your connected address and an address in the item’s Email column. An address used in more than 250 Email columns across the account is not logged, and neither is an address that is itself connected to Emails & Activities. Full logic is in monday’s “how it works” article, and we summarise it in the Gmail guide.

Set privacy before the team connects. By default, logged communication is visible to any full member of the account. Guests and viewers cannot use Emails & Activities. The privacy options are in the Emails & Activities settings.

monday CRM prices checked October 17, 2026 on monday’s CRM pricing page, with 10 seats selected and yearly billing: Basic $12, Standard $17, Pro $28 per seat per month. Plans start from 3 users. The page lists a “Centralized comms hub” (the unified email, call, meeting and note timeline) under Standard. Our monday CRM pricing calculator works out your seat bucket.

Does monday.com sync Outlook calendar events to the CRM timeline?

Yes, with the separate monday CRM Outlook Calendar integration, on Standard, Pro and Ultimate. To set it up, open a Contacts or Leads board, open the Updates section of an item, click Integrate, choose Outlook Calendar, click Connect and allow the permissions. After that, a new event appears on a contact’s timeline when the contact is an attendee, or when the contact is the creator and your connected account is an attendee. Only events created after setup appear. Recurring events show only if they are in the past or a single future event.

You can also schedule from the CRM: in Emails & Activities click + Add Activity and choose Schedule meeting, then Save event. monday asks whether to send invitations. Control who sees the events with Share options on the calendar connection in the Emails & Activities settings.

How do I set up the Outlook integration recipes on a board?

Open the board, click Integrate, find the Outlook banner and pick a template. The recipes cover incoming email (for example, creating an item or an update from an email that meets your conditions) and outgoing email (sending a pre-written message when a column changes).

  1. Open the board and click Integrate at the top right.
  2. Search for and select the Outlook integration banner, then click a template.
  3. Click to connect, sign in to your Microsoft 365 account and accept the permissions screen.
  4. Fill in the recipe’s fields and turn it on.

Details from monday’s page:

  • The permissions requested are user.read, mail.send, mail.read and offline_access. monday says mail.read lets it trigger automations from basic information such as recipients or the subject line.
  • You can email several people at once by putting addresses in a Text column separated by semicolons. Each person gets a separate email.
  • The email integration does not support files. monday’s workaround is to send a file to a board or item through email-to-board.
  • The integration runs on monday’s servers, uses OAuth 2.0, and monday says it never has your Outlook password. It fetches messages only from relevant inboxes, not Spam, Deleted or Sent.
  • To unsync, an admin can remove the connection from monday’s Outlook page, and you can also revoke monday’s access in your Microsoft account.

Every recipe run counts toward your plan’s automation and integration allowance. On the CRM pricing page, Standard lists 250 custom automations per month and Pro lists 25K. Our Slack, Gmail and Zoom integrations guide explains how that allowance runs out, and the plan limits research has the numbers by plan.

How do I sync my Outlook calendar with monday.com?

Use two recipes for a two-way sync, or a subscribed link for a one-way view. The board needs a Date column (with times) for the two-way route.

Two-way sync

  1. Make sure the board has a Date column with start and end times set. The recipe will not work without a time on the start and end dates.
  2. Click Integrate, then the Create tab, then Outlook Calendar.
  3. Add the first template, which creates an Outlook event from an item. Connect your account and map the event fields. In monday’s example, the event uses the item’s start and end dates, the item name as the subject and the Item ID as the description.
  4. Add the second template, “When an event is created in Outlook Calendar, create an item, and sync future changes from Outlook Calendar”, and map the item fields.

Supported fields are title, start time, end time, attendees and description. An integration column is added automatically with a link to each event.

One-way sync

  1. Open the three-dot menu on a Date or Timeline column, then Settings > Customize Date column.
  2. Click Sync next to Other Calendars, choose “Items assigned to me” or “All the items on this board”, and click Sync.
  3. Copy the link. In Outlook open the calendar, click Add calendar > Subscribe from web, paste the link and click Import.

monday warns that Outlook’s automatic refresh of a subscribed calendar can take more than 24 hours and that there is no setting to control it.

Is there a monday.com add-in for Outlook?

Yes, but monday.com does not publish it. The monday marketplace listing called “Outlook Integration” is by Unitask Ltd, launched November 2021, shown with 16,308 installs and a 4.5 rating from 30 reviews on October 17, 2026. Its description says the add-in lets you manage items, boards and CRM leads from your inbox, create items from email content, log email into a lead’s updates on monday CRM, and link your latest Outlook email to a Link column. It says it works on mobile.

Microsoft’s AppSource listing for “monday.com for outlook” repeats that description and adds that it has a 14-day free trial for your monday.com account with “pricing tiered based on the number of user licenses”, and lists a Unitask support address. The page also states the add-in can read and modify personal information in the active message, such as body, subject, sender, recipients and attachment details. Read the publisher’s privacy policy before installing.

monday.com also has two first-party marketplace apps called Outlook and Outlook Calendar, both launched February 2026, which describe the board-level email and calendar recipes and say they can be used as action blocks in the workflow builder. We treat them as the same integrations the help pages cover.

How is Outlook different from Gmail in monday.com?

The CRM feature is the same, and the requirements are not. Emails & Activities works with both. For the board recipes, monday’s Gmail pages describe a Google sign-in, while the Outlook pages add the Microsoft 365 Business Premium and online Exchange requirements above. The Gmail route also has a Chrome extension that saves senders as contacts. We found no equivalent first-party Outlook extension, which is the gap the third-party add-in fills.

For a wider view of how these integrations share one action allowance, see our Slack, Gmail and Zoom guide. If you run GoHighLevel too, does GoHighLevel work with Outlook shows how that platform handles it.

Does monday.com work with Microsoft Teams?

Yes, as a separate integration. monday’s page says the Office 365 Global Administrator must connect the account first, after which any user can add it to boards. It posts to Teams channels only, not group chats.

Outlook and monday.com connection errors: symptom, cause, fix

What you see Likely cause Fix
“Approval required” screen while connecting Your Microsoft tenant requires admin approval for apps Ask a Microsoft tenant admin to approve monday.com. They can grant consent in Entra ID > Enterprise apps > All applications, open the app, Permissions, Grant admin consent
monday.com not listed in the Microsoft Entra admin center The app has not been provisioned in your tenant yet Start the connection from inside monday.com first, then the admin can find and approve it
Error during setup of the recipes or calendar integration No Microsoft 365 Business Premium licence, or the mailbox is not online Exchange Connect with a user who has the licence, or use Emails & Activities if it works for your account. Check the account type in Outlook Settings > Account > Email account

Red error connecting in Emails & Activities The address is already connected to another monday account or user profile Remove monday.com’s third-party access in your Microsoft account, then connect again. monday points to the revoke steps on its Outlook page
Old meetings or emails missing The sync does not backfill Expected. Only events created after setup sync. Add a summary note to live deals
Calendar changes slow to appear in Outlook One-way link is a subscribed calendar, which Outlook refreshes on its own schedule Wait, or move to the two-way recipes. monday says refresh can exceed 24 hours
Recipes stop working after a password change or sign-out Microsoft invalidated the saved token. monday lists password change, force logout and added MFA as causes Reconnect the account. monday’s Outlook page says you can check the connection in the Autopilot hub

Errors and fixes from monday.com Support (Outlook Integration, Outlook Calendar Integration, Emails & Activities, monday CRM Outlook Calendar integration, Security & IT: Outlook Integration) and Microsoft Learn, checked October 17, 2026. monday does not publish exact error wording for most of these, so the first column describes the symptom rather than quoting a message, except Approval required.

Microsoft’s documentation says granting tenant-wide admin consent needs an account with a role such as Privileged Role Administrator, or Cloud Application Administrator, AI Administrator or Application Administrator for most permissions. The admin signs in to the Microsoft Entra admin center, browses to Entra ID > Enterprise apps > All applications, searches for the app, opens Permissions under Security and selects Grant admin consent. Microsoft says to review the permissions first, because tenant-wide consent applies to the whole organisation. An admin who prefers to limit user consent can do so at Identity > Applications > Enterprise apps > Consent and permissions > User consent settings, which is what produces the Approval required screen for ordinary users.

To confirm the fix worked, reconnect from the monday side and send a test email or create a test calendar event. It should show within a few minutes. If it still fails after approval, contact monday support from the help article and give them the exact error text, the account type and whether the user is on Exchange Online.

What does “integrates with Outlook” actually mean for your team?

It depends on the word. A team that wants to stop double-entering email will only get that from Emails & Activities, which logs threads against records and lets reps send from the CRM. A recipe is closer to an automated rule than an inbox. A calendar sync moves dates, not conversations. The r/CRM thread titled “When a CRM says it integrates with Outlook, what should that mean before your team stops double-entering everything?” asks this question. We did not open the thread, but monday’s pages give a clear answer by integration, set out in the table at the top.

When to bring in help

One person connecting one inbox rarely needs help. Bring someone in when a whole sales team will connect, when your Microsoft tenant blocks user consent, when Outlook must feed several boards with routing rules, or when you are weighing monday CRM against other CRMs on email depth. Our monday.com implementation service covers CRM rollouts, and you can book a 30-minute call to talk through your setup. The CRM integrations guide and the automation recipes guide are good next reads.

FAQs

Does monday.com integrate with Outlook?

Yes, in several ways. On monday CRM, Emails & Activities connects an Outlook inbox for two-way email on contacts, leads, accounts and deals. On any board, the Outlook integration runs recipes and the Outlook Calendar integration syncs dates. A separate Outlook add-in from a third-party publisher lets you work on items from your inbox.

How do I connect Outlook to monday.com?

For CRM email, open any contact, lead, account or deal, open Emails & Activities, click the cog, choose Add account, pick Outlook, click Connect and allow the permissions. For recipes or calendar sync, open a board, click Integrate, choose Outlook or Outlook Calendar, pick a template and connect your Microsoft 365 account.

Can monday.com sync with my Outlook calendar?

Yes. The Outlook Calendar integration can run a two-way sync with two recipes, one creating Outlook events from items and one creating items from new events. It syncs title, start time, end time, attendees and description. A one-way option shows a board's dates in Outlook through a subscribed calendar link.

Can you link monday.com to an Outlook calendar for free?

The one-way route does not use an integration recipe. From a Date or Timeline column, open Settings, choose Customize Date column, click Sync next to Other Calendars, then paste the link into Outlook using Add calendar and Subscribe from web. monday warns that Outlook can take more than 24 hours to refresh a subscribed calendar.

What is monday.com for Outlook?

It is an Outlook add-in listed on monday's app marketplace under the name Outlook Integration, published by Unitask Ltd, not by monday.com. It lets you create and edit items, add notes and attach files from your inbox, and on monday CRM it can create leads and contacts. The AppSource listing says it has a 14-day trial and tiered pricing.

Why does monday.com say Approval required when I connect Outlook?

Your Microsoft 365 tenant is set to require administrator approval before users can consent to an app. monday's help pages say a Microsoft tenant admin must approve the connection. Ask your admin to approve monday.com in the Microsoft Entra admin center, or start the connection from inside monday.com first if the app is not listed there.

Do I need a Microsoft 365 Business Premium licence to connect Outlook to monday.com?

For the Outlook integration and Outlook Calendar integration, monday's help pages say yes, for the user who connects. Not everyone on your monday account needs it. The Emails & Activities page does not state a Microsoft licence requirement, so test one inbox before rolling out. Personal and on-premise accounts are not supported.

Does monday.com sync old Outlook emails?

No. monday's Emails & Activities page says emails sent or received before setup are not referenced in the app. The Outlook integration page says it only syncs meetings and events created after the integration is set up. If past conversations matter, add a summary note to live deals before you connect.
