Does GoHighLevel Work With Outlook? Email Sync, Calendar Sync and Teams Links
Quick answer
Yes. GoHighLevel connects to Outlook three ways: two-way email sync per user, two-way Outlook calendar sync for Microsoft 365, Exchange Online and Outlook.com, and Microsoft Teams links on bookings. It doesn't support on-premises Exchange, shared mailboxes aren't documented, and workflow emails never send through your Outlook account.
Part of the guide: GoHighLevel automation
Key takeaways
- Email: each user connects Outlook under Settings > My Profile > Email (2-way sync). One-to-one emails and replies sync; bulk and workflow emails don't (HighLevel article updated August 21, 2026).
- Calendar: two-way sync with Microsoft 365, Exchange Online and Outlook.com accounts under Settings > Calendars > Connections. On-premises Exchange isn't supported (updated August 27, 2026).
- Teams: bookings can get a unique Teams link, but only with a work or school Microsoft account, and Teams is connected separately from the Outlook calendar.
- A 'Need admin approval' screen means your Microsoft 365 tenant restricts user consent; an admin approves the app in Microsoft Entra.
- Shared mailboxes such as sales@ aren't documented as supported; there is an open feature request for them.
Yes. GoHighLevel works with Outlook in three separate connections: two-way email sync for each user, two-way calendar sync with Microsoft 365, Exchange Online and Outlook.com, and Microsoft Teams links on bookings. Each is set up on its own. Two limits matter most for businesses: on-premises Exchange isn’t supported, and workflow and bulk emails never send through your Outlook account.

What connects where?
How does Outlook email sync work?
Each user connects their own mailbox under Settings > My Profile > Email (2-way sync) > Outlook > Connect, per HighLevel’s two-way email sync article.
| Syncs | Doesn’t sync |
|---|---|
| One-to-one emails you send from HighLevel | Bulk email campaigns |
| Replies from existing contacts | Workflow and automation emails (they use the sub-account’s sending provider) |
| Attachments up to 3 MB, limited file types | Messages from before you connected |
| New threads you BCC to HighLevel | Emails between sub-account users |
| Cold inbound emails from unknown senders (not reliable) |
The practical effect: your reps’ personal conversations with contacts appear in both Outlook and HighLevel’s Conversations tab, while automated sequences go out from the sub-account’s own sending domain. That domain needs its own SPF, DKIM and DMARC records, covered in the email deliverability guide.
Shared mailboxes such as sales@ or info@ aren’t documented as supported, and an open feature request asks for them. If a team inbox matters, plan around it before you migrate.
How does Outlook calendar sync work?
HighLevel’s Outlook calendar article supports Office 365, Outlook.com, Live and Hotmail accounts and Microsoft 365 / Exchange Online. On-premises Exchange isn’t supported.
- Go to Settings > Calendars > Connections > Outlook Calendar and sign in.
- Pick the linked calendar that receives new HighLevel bookings. You need writer access to it.
- Pick conflict calendars that block your availability.
- Choose one-way or two-way for outside events. In one-way mode, Outlook events just block time. In two-way mode, they become appointments in HighLevel, create contacts and can fire workflows, per HighLevel’s linked and conflict calendars article.
- Book a test appointment and confirm it appears in Outlook, then create an Outlook event and confirm the slot disappears from the booking page.
HighLevel advises turning on two-way write-back for your main work calendar only, to avoid duplicates. Desktop-only Outlook events that never reach the cloud aren’t seen, and HighLevel’s Event calendar type doesn’t support Outlook. If the connected Outlook calendar is deleted, HighLevel shows an error banner with a “Fix This” button. The calendar setup guide covers calendar types, and the Google Calendar troubleshooting guide covers sync problems that apply to Outlook too.
Why does Microsoft say “Need admin approval”?
Your organization’s Microsoft 365 tenant limits which apps users can approve. Microsoft’s user consent documentation explains that tenants which restrict or disable user consent require an administrator to grant it. Ask your Microsoft 365 admin to approve the HighLevel app in the Microsoft Entra admin center, or to approve your request through the admin consent workflow. HighLevel’s calendar article also notes that some organizations need this approval.
How do Teams links work?
HighLevel’s Teams article says Personal, Round Robin, Collective and Service calendars can give each booking its own Teams link. For Zoom instead of Teams, see does GoHighLevel integrate with Zoom.
- A work or school Microsoft account is required; personal Teams accounts aren’t supported.
- One Teams account per user per location.
- Connecting the Outlook calendar does not connect Teams. Set it up separately.
- Event calendars need a fixed custom meeting link instead.
- After a reconnect, missing links for upcoming bookings are created automatically.
Should you send through Outlook SMTP instead?
Usually not. HighLevel’s SMTP article recommends its direct Google or Outlook integrations over SMTP and calls SMTP support “best-effort”. Microsoft requires SMTP authentication to be explicitly enabled per mailbox, and Microsoft 365 mailboxes have sending limits built for people, not marketing volumes. For automated email, use the sub-account’s sending domain. For outreach rules, see can you send cold emails with GoHighLevel.
Moving a Microsoft 365 team onto GoHighLevel?
Admin consent, calendar mapping, Teams links and the shared-mailbox gap are easiest to settle before the team switches over. aibrevo handles that as part of its GoHighLevel implementation service, with published price bands. Book a 30-minute call and bring your Microsoft 365 admin if you can.
