Why Is HubSpot Not Connecting to Gmail or Outlook?
Quick answer
HubSpot usually fails to connect to Gmail or Outlook for one of five reasons: an admin has blocked the app, the account type is unsupported, a stale connection is stuck, the mailbox is not hosted where HubSpot expects, or you are using the wrong tool. This page maps each error to its fix, from HubSpot's help pages.
Key takeaways
- HubSpot has two separate things that people both call the Gmail or Outlook connection. The connected inbox (Settings > General > Email) syncs and logs mail. The Sales Chrome extension and the Outlook add-in sit inside your inbox. One can fail while the other works.
- Most Gmail failures trace to the account, not HubSpot: Google Advanced Protection accounts are unsupported, and a Workspace admin may have to add HubSpot to the organization's trusted apps. Most Microsoft 365 failures are admin consent, an unavailable Graph API, or a mailbox that is not in Exchange Online.
- HubSpot's help pages say its Office 365 add-in supports both classic and new Outlook, and that the older desktop add-in is in maintenance mode and works only in classic Outlook for Windows (checked Oct 21, 2026).
- Microsoft 365 shared mailboxes, Gmail accounts under Advanced Protection and View-Only seats cannot connect an individual work email. A shared address goes in as a team email instead.
- Confirm the fix by sending a message from your own mail client to an existing contact. Under the default logging rule, HubSpot logs emails between known contacts and connected users; it does not log mail to people who are not contacts.
You click Connect in HubSpot, sign in to Google or Microsoft, and the inbox still shows as disconnected, or the Sales sidebar never appears in your mail client. The cause is usually one of five things: an admin policy blocking the app, an account type HubSpot does not support, a stale connection, a mailbox that is not hosted where HubSpot expects, or a mix-up between the connected inbox and the extension or add-in. Everything below is from HubSpot’s help center and Google’s admin documentation, checked on October 21, 2026.
Why is HubSpot not connecting to Gmail or Outlook?
Start by working out which of the two features is failing, because the fixes differ.
| Connected inbox | Sales extension or add-in | |
|---|---|---|
| What it is | An account-level connection to your Gmail, Microsoft 365, Exchange or IMAP mailbox | A Chrome extension for Gmail, or an add-in for Outlook, that shows HubSpot beside your email |
| Where you set it up | Settings > General > Email > Connect email account | Chrome Web Store (Gmail) or Microsoft AppSource and your admin center (Outlook) |
| Needs the other one | No | The Outlook add-in needs a connected inbox. The Gmail extension does not |
| Fails with | Admin approval screens, Graph API errors, unsupported account types, disconnect notices | Extension missing from Gmail, add-in greyed out or hidden, login loops, tracking off |
| Fix it here | Gmail and Microsoft 365 sections below | Extension and add-in sections below |

The table that follows maps what you see to the cause and the fix. Every row comes from a HubSpot help article.
| Symptom | Likely cause | Fix |
|---|---|---|
| “[email address] is already connected as a shared inbox. This inbox must be removed before connecting as a personal inbox.” | The address is already a team email in the conversations inbox | Disconnect the team email, or use a different address for your individual inbox |
| Google blocks HubSpot, or the connection will not complete on a Google account | Account is in Google’s Advanced Protection Program, which blocks the elevated Gmail and Drive access HubSpot needs | A Google Workspace admin adds HubSpot to the organization’s trusted apps. HubSpot lists Advanced Protection accounts as unsupported |
| “Need admin approval” | Admin settings stop users installing apps in Azure AD | Admin allows user consent for verified publishers, enables the admin consent workflow, or grants tenant-wide consent |
| “Approval required” | Same restriction, with the admin consent workflow switched on | Type a justification and send the request; an admin approves it on the Admin consent requests page |
| “Interaction required” | The user is not assigned to the HubSpot Sales application in Azure AD | The email administrator assigns access |
| “Office 365 inbox and calendar not found” | No Office 365 mailbox exists for that address, often because another provider hosts the mail | Pick the correct provider |
| “Inbox disconnected: Outlook mailbox is not enabled for REST API access” | Microsoft 365 blocks Graph REST API access to the mailbox, usually through configuration or licensing | IT admin checks the mailbox is in Exchange Online with an active licence, then re-grants HubSpot’s Graph permissions and reconnects |
| “Access to OData is disabled” | Microsoft 365 policies limit Graph API access | IT admin updates the Application Access Policy so HubSpot can reach the mailboxes, then you reconnect |
| Sales sidebar missing in Outlook | Wrong add-in for your Outlook version, unsupported install, or reading pane off | See the Outlook sections below |
| Sales extension missing in Gmail | Hidden, disabled, wrong Chrome profile, conflicting extension or incognito | See the extension section below |

How do you connect Gmail or Outlook to HubSpot?
Open the settings icon in the top navigation bar, go to General, open the Email tab and click Connect email account. That is HubSpot’s documented path, and the same screen handles Gmail, Microsoft 365 and the other providers.
- Optionally tick Turn on inbox automation in the dialog, then click Connect your inbox.
- Enter your email address and click Next.
- Click Connect to your provider. If HubSpot does not recognize it, click I want to choose my email provider myself and pick one.
- For Gmail, read the disclosure and click Continue, sign in to Google, review the permissions and click Allow.
- For Microsoft Outlook, read the disclosure and click Continue, then sign in to your Microsoft 365 account. HubSpot verifies the connection when you land back in settings.
You need the Personal email access permission, and a user on a View-Only seat cannot connect an individual work email at all. HubSpot lists Google/Gmail, Microsoft Outlook, Microsoft Exchange and any other IMAP provider as supported. For seat types and what they cost, see our HubSpot pricing and limits research and the HubSpot pricing calculator.
How do you fix HubSpot not connecting to Gmail?
Check the account first, then clear any stale connection. HubSpot’s help pages do not publish a Gmail-specific error string, so the steps below follow the causes the help pages do name.
- Check your seat and permission. A View-Only seat cannot connect, and the Personal email access permission is required.
- Check the account type. HubSpot does not support Gmail accounts enrolled in Google’s Advanced Protection Program. Its troubleshooting page says that program automatically blocks the elevated Gmail and Drive access HubSpot needs, and that a Google Workspace admin has to add HubSpot to the organization’s trusted apps.
- If you are the Workspace admin, open the Admin console, go to Menu > Security > Access and data control > API controls and open Manage App Access. Google defines Trusted as able to access all Google services, Limited as unrestricted services only, and Blocked as no Google service. A policy set to Limited or Blocked on your organizational unit is a plausible reason for the connection failing, and Google says users see a notice that the app is blocked. Google does not say what its default message reads.
- Check the address is not already connected as a team email. If it is, you get the shared inbox error quoted in the table above.
- Remove the stale connection on both sides. In HubSpot, go to Settings > General > Email, hover over the account, open Actions, choose Remove and confirm Yes, remove inbox. In your Google account, go to Security, then See all connections, select HubSpot and click Delete all connections you have with HubSpot. Connect again from scratch.
- If HubSpot notified you of a disconnect, reconnect. HubSpot says common causes are revoked access to the HubSpot app and a changed email password, and for Gmail specifically, access removed in Google’s Security Center.
- As a fallback, HubSpot also lets you connect a Gmail address through IMAP, which it says gives access only to your address, password, server information, email metadata and message bodies. If two-factor authentication is on, it says to use a third-party app password.
On two-step verification: HubSpot’s pages mention it only for Exchange and IMAP connections, where an app password is needed. The standard Gmail connection signs you in through Google, so there is no password to type into HubSpot.
How do you fix HubSpot not connecting to Outlook or Microsoft 365?
Read the error text against the table above, because Microsoft 365 failures usually mean someone with admin rights has to act. The three admin approval screens have different causes.
For Need admin approval, HubSpot lists three options for the admin:
- Allow user consent for apps from verified publishers (HubSpot is one) for selected permissions.
- Turn on the admin consent workflow so users can request approval.
- Grant tenant-wide consent: put your tenant ID into
https://login.microsoftonline.com/{TENANT_ID}/v2.0/adminconsent, open the URL and approve. HubSpot says an error shown after approval can be ignored. Then add users to the HubSpot Sales app under Enterprise applications.
HubSpot uses the Microsoft Graph API, and its page lists these scopes: Mail.ReadWrite, Mail.Send, Calendars.Read, Calendars.ReadWrite, offline_access, email, openid and User.Read. Give that list to your IT team if a policy is blocking the app.
If the error is Inbox disconnected: Outlook mailbox is not enabled for REST API access, ask IT to confirm the mailbox is hosted in Exchange Online and not hybrid, on-premises or partly migrated, that an active Microsoft 365 licence includes Exchange Online, and, after any tenant migration, that the migration is complete and connected apps are reauthorized. HubSpot also says to reconnect through the Microsoft Outlook method and watch it for 24 to 48 hours, then check the Microsoft 365 audit logs for blocked Graph requests if it keeps dropping. The related Unavailable - API access not enabled for mailbox error means a migration is in progress or the domain uses hybrid on-premises Exchange. HubSpot’s fix there is to connect with IMAP or Exchange instead, and it suggests checking the domain’s MX records to see who hosts the mail.
Two traps catch people who pick the wrong option. HubSpot’s Exchange integration uses Basic Authentication, which Microsoft deprecated for Exchange Online in October 2022, so it is built for on-premises Exchange only. For Exchange Online, use the Outlook connection. And a Microsoft 365 shared mailbox cannot be connected as an individual work email, so a connection attempt on one will not work however many times you retry it.
If the connected inbox shows an address like outlook_[characters]@outlook.com, HubSpot says it does not support a non-Microsoft domain as the primary alias, which can break sending or syncing, and points to Microsoft’s recommended fix.
Why is HubSpot not working in the new Outlook?
HubSpot’s current install page says the Office 365 add-in supports both classic and new Outlook, and that the older desktop add-in is in maintenance mode. The mismatch is almost always that someone installed the desktop add-in, which depends on COM add-in support that the new Outlook for Windows does not have.
- The desktop add-in is for classic Outlook for Windows only. HubSpot has stopped active development, and says it still works in legacy Outlook for Windows.
- If you switch to the new Outlook for Windows, HubSpot says the Office 365 add-in should install automatically.
- HubSpot strongly recommends the Office 365 add-in over the desktop add-in.
- Do not run both add-ins on one device. HubSpot says they conflict and can break your sales tools.
- The Office 365 add-in needs a Microsoft 365 hosted mailbox and a connected inbox. Other providers cannot use it, even inside Outlook.
- Outlook from the Microsoft Store is incompatible with both add-ins. Check yours is Click-to-run. Microsoft 365 from GoDaddy and terminal server environments are also listed as incompatible.
Where to find it once installed depends on the version. In classic Outlook, click Sales Tools in the main ribbon. In the new Outlook for PC or Outlook on the web, click Apps, then HubSpot Sales. In the new Outlook for Mac, click the three dots in the main ribbon, select HubSpot Sales, then Customize Toolbar to pin it. If you have several accounts in Outlook, install the add-in in each one you use.
Other Outlook add-in problems and HubSpot’s fixes:
| Symptom | Cause | Fix |
|---|---|---|
| Add-in greyed out | Reading pane is off or hidden | Turn the reading pane on; if still grey in the message ribbon, check for an encrypted email, then try an online repair of Outlook |
| Inbox connection loop | You connected an alias instead of the primary address | Find the primary address, update your Outlook profile to use it, then connect it |
| Login loop in Outlook on the web | Third-party cookies are blocked | Allow third-party cookies in your browser |
| Keeps logging you out | Session timeout is too short, or cookies are cleared | Raise the session timeout (Super Admin or Security Center access), allow third-party cookies, or log in with email and password |
| “You cannot access this application because it has been misconfigured.” | Your company’s Azure Active Directory configuration | Have your IT or Office 365 admin grant HubSpot access |
| Desktop add-in disabled | Outlook disabled it after a slow startup | File > Info > Slow and Disabled COM Add-ins, then Always enable this add-in |

Why is the HubSpot Gmail extension not showing?
The Sales extension is a Chrome extension, so the cause is nearly always in the browser. HubSpot’s troubleshooting page sorts it into a few buckets.
- Update Chrome and the extension. Google’s Rapid Release track is not compatible, so ask IT to move you to the default release track.
- Pin the extension to the toolbar and check it is switched on in Manage Extensions.
- Check you are in the same Chrome profile you installed it in. Extensions are tied to a profile.
- In Gmail settings, disable all advanced features, save and reload.
- Clear cached images, files and cookies for all time.
- Remove conflicting extensions. HubSpot’s list includes AdBlock, Boomerang, Ghostery, MailTrack, Streak and Yesware, among others.
- Leave incognito mode, where the extension does not show.
- If third-party cookies are blocked, allow getsidekick.com, hubspot.com and hsappstatic.net.
If the extension loads but sends no data, HubSpot says to check that you are logged in to the right HubSpot account and that Track was ticked on the email. A VPN can also block tracking requests. For help from HubSpot support, the extension’s Help and troubleshooting menu has a Send debug logs option.
How do you confirm the connection is working?
Confirm in three steps, and do not trust the green status alone.
- Open Settings > General > Email and check the account shows as connected.
- From your own mail client, send a message to a person who already exists as a HubSpot contact. Within a few minutes it should appear on that contact’s timeline.
- Send a message from an outside address to your inbox, with that contact as the sender, and check that it logs too.
If step 2 works and step 3 does not, look at the logging rule, not the connection. If you also use tracking, HubSpot’s extension article suggests sending a test email to bh@hubspot.com and checking the message source for the tracking pixel.
What does HubSpot log, and what does it not?
By default HubSpot logs emails to and from existing contacts, and nothing else. The account-wide contact email logging rule has three options, set by someone with Account access permission.
| Rule | What gets logged | What does not |
|---|---|---|
| Log replies only | Replies that belong to a thread already logged in the CRM | Incoming messages outside a logged thread |
| Log all emails (from known contacts), the default | Emails sent from outside the CRM, such as an email client or mobile app, to existing contact records, and emails from existing contacts to users | Emails to people who are not contacts, and addresses or domains on the never log list |
| Create new contacts from logged emails (beta) | Everything above, plus new contacts created from incoming emails to connected individual inboxes | Addresses on the never log list |
Source, checked Oct 21, 2026: HubSpot Knowledge Base, “Manage contact email logging rules” (updated Oct 14, 2026).
Other behaviour worth knowing before you debug a “missing” email:
- Email sent from the CRM goes to your provider, which sends it through its own SMTP servers.
- Attachments log to the associated record by default when the whole email is under 50 MB, and attachment logging can be switched off.
- HubSpot’s help page says Outlook or Exchange folders with over 100,000 items can slow syncing.
- Its help pages do not say whether emails from before you connected are imported, and they do not address drafts. Treat history as not imported.
- The page does not describe a sync schedule.
How does HubSpot compare with other CRMs on Gmail and Outlook?
This matches what we found when we compared seven CRMs. In our CRM Outlook and Gmail integration comparison, HubSpot connects Gmail directly and supports Microsoft 365, Exchange 2010 SP2 or later and IMAP, a Microsoft 365 shared mailbox cannot be used as an individual inbox, and a View-Only seat cannot connect one. Past email on connect is not stated in HubSpot’s documentation. If shared mailboxes or older email are what you need, Pipedrive’s email sync documents team accounts and a sync start date, and the HubSpot vs Pipedrive comparison covers the wider decision. The same checks for other tools are in how to connect Gmail to monday.com, how to connect Outlook to monday.com and does GoHighLevel work with Outlook.
When to get help
One rep with a standard Gmail account can usually fix this in ten minutes. Bring in IT, or someone who does HubSpot rollouts, when a Microsoft 365 or Google Workspace policy is involved, when several reps need to connect at once, or when shared addresses, aliases and a HubSpot-to-Salesforce sync all touch the same mailboxes. The CRM integrations guide covers the order to test in. Our HubSpot implementation service handles inbox setup for whole teams, and you can contact us with the exact error text. If the sync was fine until a data load, check HubSpot import errors and duplicate contacts, since duplicates affect which record an email lands on.
Founder’s note, Alpit Patel. Most inbox connection tickets I see are an admin setting, not a broken account. I’d ask the Google or Microsoft admin what is blocking the app before anyone reconnects the mailbox three times.
