How Do You Connect Airtable to HubSpot?
Quick answer
Install HubSpot's Airtable Data Sync app for two-way sync, add the Create Airtable row workflow action to push HubSpot data one way, use Zapier or Make for custom rules, or move a one-off CSV. Airtable's own sync integrations do not list HubSpot.
Key takeaways
- Airtable does not list HubSpot as a sync source. Its sync integrations cover Box, Google Drive, Google Calendar, GitHub, Miro, Jira, Salesforce, Zendesk and a few more, and they only ever pull data into Airtable. The HubSpot side supplies the native options.
- HubSpot's Airtable Data Sync app is two-way and free, but its listing says activating a sync needs Data Hub Starter or higher plus a paid Airtable plan. The Create Airtable row workflow action is one-way, HubSpot to Airtable, and needs a Professional or Enterprise hub.
- Zapier and Make cover custom rules. On Zapier an Airtable record creating a HubSpot contact is one action, so one task per record. Make's free plan includes 1,000 credits a month, and its HubSpot app needs a Super Admin to approve it.
- Rate limits rarely bite on a steady sync, but bulk loads can. Airtable allows 5 requests per second per base. HubSpot private apps get 100 requests per 10 seconds on Free and Starter and 190 on Professional and Enterprise.
- If your reps already work in HubSpot and Airtable only holds the contact list, a one-off CSV import and a clean cutover beats running a sync forever.
You search Airtable’s sync menu for HubSpot and it is not there, so you cannot tell whether the two can be connected at all. They can, but through HubSpot’s tools or a middle app, not through Airtable’s own sync integrations.
The short answer: install HubSpot’s Airtable Data Sync app for a two-way sync, use the Create Airtable row workflow action if you only need HubSpot data to land in Airtable, build the connection in Zapier or Make when you need your own rules, or move a CSV if the data only needs to cross once. Everything below is from Airtable’s and HubSpot’s own help pages and the Zapier and Make documentation, checked October 21, 2026.
Can Airtable connect to HubSpot?
Yes, but not through Airtable’s built-in sync sources. Airtable’s sync integrations overview lists Box, Google Drive, Google Calendar, GitHub Issues, GitHub Pull Requests and Miro as Standard (all paid plans). Emailed Data, Sync API, Tableau Online, Jira Cloud, Salesforce and Zendesk are Premium (Business and Enterprise Scale only). Jira Server/Data Center and Adobe Experience Manager are On-premises (Enterprise Scale only). HubSpot is in none of the tiers, and Airtable says these syncs always run one way, from the external app into Airtable.
What Airtable does publish is an Integrating HubSpot with Airtable article. It names two HubSpot tools, Workflows and Data Sync, and adds that Airtable’s one-to-one support for third-party integrations is limited. For setup help it sends you to the Airtable Community.
Which way should you connect them?
Pick by direction and by who owns the setup. Airtable’s sync integrations are left out because HubSpot is not one of them.
| Data Sync app | Workflow action | Zapier | Make | CSV | |
|---|---|---|---|---|---|
| Direction | Two-way, or one way either direction | HubSpot to Airtable only | Whatever you build, one Zap per direction | Whatever you build | One file, one direction |
| Built by | HubSpot | HubSpot | Zapier | Make | Both vendors’ export and import |
| What it moves | Companies, contacts, products, deals and more, listed below | New Airtable rows from HubSpot properties | Contacts, companies, deals and tickets, with Airtable records | Contacts, with Airtable records | Any table you export |
| Plan needed | Data Hub Starter or higher to activate, plus a paid Airtable plan | Professional or Enterprise hub | Zapier plan for the steps and volume | Make plan for the credits | None special |
| Timing | Per HubSpot, checks every 5 minutes | When the workflow runs | When the Zap runs | When the scenario runs | Once |
| Verdict | Best for keeping two live tables matched | Best for pushing HubSpot events into a log or tracker | Best for custom field rules and extra steps | Best if you already use Make | Best for a one-time move |

If both teams need to edit the same people in both systems, start with the Data Sync app. If HubSpot is the system of record and Airtable only reports or tracks, the workflow action is enough and it cannot write back.
How do you connect Airtable to HubSpot with the Data Sync app?
Install the app from HubSpot’s marketplace, then build the sync under Connected Apps. The Airtable Data Sync listing is published by HubSpot as a HubSpot Certified App and describes two-way sync with custom field mappings and historical syncing of existing data.
- Open the marketplace listing and install the app, signing in to both HubSpot and Airtable when asked.
- In HubSpot go to Settings > Integrations > Connected Apps, select the Airtable app and choose Set up your sync.
- Select the objects to sync.
- Choose the direction: two-way, Data syncs only to HubSpot, or Data syncs only to your third-party app.
- Configure field mappings and the sync rules, which include deal stages, lifecycle stages, filters and duplicate reduction.
- Review, then click Save and sync.
Steps 2 to 6 follow HubSpot’s data sync article. That article is written for HubSpot data sync generally, so the screens may differ slightly for this app.
Four things to know before you press save.
- Conflicts need a default app. When the same value differs on both sides, HubSpot lets one app overwrite the other. If the default app has no value, the other side is left alone. That setting does not override the direction you chose.
- Saving restarts the sync. Large first syncs can take several days, per HubSpot.
- Timing is stated two ways. The listing says real time. HubSpot’s article says it checks for changes every five minutes and syncs a changed record within 10 minutes after the first sync.
- Reviews are mixed. The listing shows 3.1 out of 5 from 37 ratings. Reviewers say it works for basic contact and company data and simple text and number fields. They report unreliable syncing, occasional duplicate records and limited support for formulas and lookups. That is user opinion, not HubSpot documentation, so test on a copy of your base first.
Which records does the Airtable Data Sync app move?
The listing says records in an Airtable sheet map to Companies, Contacts, Products, Calls, Email Activities, Meetings, Notes, Tasks and Tickets, and also lists Deals, Invoices and Orders. It does not say which direction each object supports. HubSpot’s general article adds that event sync, such as email opens and clicks, runs one way from the app into HubSpot and only for contact-associated events. Airtable’s own article names two use cases, syncing contacts and syncing company information.
What does the Airtable HubSpot sync need to switch on?
The listing says you need Data Hub Starter or higher to activate sync and that custom field mappings need it too. Without it you can preview mappings but not activate. It also says a paid Airtable subscription is required and that HubSpot permissions are not required. HubSpot’s general article says data sync is available on all HubSpot products and plans, with custom field mappings needing Data Hub. The two pages do not fully agree, so open the app in your own account and see whether the Save and sync step is available before you plan the project around it. Our HubSpot pricing and limits page covers what the tiers include, and the Airtable pricing and limits page lists the paid tiers and their record caps.
Airtable’s article calls Data Sync a beta feature, while the HubSpot listing presents a certified app with about 4,000 installs. If a sync feeds a live sales team, treat that as a reason to run a test sync first.
How do you send HubSpot data to Airtable with a workflow?
Add the Create Airtable row action to a HubSpot workflow. HubSpot’s article names the action “Add data to Airtable” and says it creates new rows in a new or existing Airtable database.
- Connect Airtable to your HubSpot account.
- Go to Automation > Workflows and edit or create a workflow.
- Click the + icon, then choose Create Airtable row in the left panel.
- Pick the Base and Table.
- Pick a Header and the HubSpot Property that feeds it. To add several values, choose several Header and Property pairs.
- Click Save.
You need a Professional or Enterprise subscription in Marketing Hub, Sales Hub, Service Hub, Data Hub, Smart CRM or Revenue Hub, and Super Admin or Edit permission for workflows. Airtable’s own help article confirms the direction: “changes made in Airtable will not update back to HubSpot.” The HubSpot article gives no volume limits, so the Airtable API limit below is the one to plan around.
How do you sync Airtable and HubSpot with Zapier or Make?
Use a middle app when you need rules the Data Sync app does not give you, such as only creating a contact when a status field changes, or writing to Slack in the same run.
On Zapier, the Airtable and HubSpot page lists two Airtable triggers (New Record, New or Updated Record) and nine Airtable actions, including Create Record, Create or Update Record and Update Record. HubSpot has 28 triggers and 43 actions, including Create Contact, Update Contact, Create or Update Contact, Create Deal and Find or Create Contact. A few HubSpot operations need Marketing Hub Starter or above, and Create Enterprise Event needs Marketing Hub Enterprise. The page does not say whether HubSpot counts as a premium app, so check that before choosing the Free plan.
Zapier counts only successful action steps as tasks. Per our Zapier pricing and task limits page, a trigger is free, so an Airtable record that creates a HubSpot contact is one task, and adding a find step makes it two. Two-way means two Zaps, one per direction, and each direction spends its own tasks. You also have to decide in the Zap design which system wins when both change.
On Make, the Airtable modules include Watch Records, Create a Record, Update a Record and Upsert a Record. Watch Records needs a Created Time or Last Modified Time field on the table, and without it Make says the trigger will not work correctly. The HubSpot CRM modules include Create a Contact, Update a Contact, Create or Update a Contact and Watch Contacts. A HubSpot Super Admin must pre-approve the Make app, and webhook-based modules need a developer account and an advanced-settings connection. Make’s pricing page says the Free plan has 1,000 credits a month.
For a one-way Airtable to HubSpot flow, Create or Update a Contact is the safer module on either tool, because it updates an existing email instead of creating a second record.
How do you move Airtable data into HubSpot with a CSV?
Export one table at a time from Airtable, then import the files into HubSpot. This suits a one-time move, a bulk load before you switch on a sync, or a migration.
- In Airtable, open the base and the grid view, open the view menu and choose Download CSV. Airtable says CSV export works in the web and desktop apps and exports one table at a time. A filtered view exports only matching rows, so use a view with no filters and with every field you need visible. Comments, field descriptions and extension-only data are not included.
- Clean the file: one header row, one column per HubSpot property, no duplicate people.
- In HubSpot, import the file. HubSpot takes .csv, .xlsx and .xls with one sheet, and the header row must match HubSpot properties.
- Include a unique identifier so existing records update rather than duplicate: Record ID, a custom property that requires unique values, Email for contacts, or Company domain name for companies. Blank cells do not clear existing values.
HubSpot’s import file article gives the size and row limits: files up to 20 MB on free tools and 512 MB on Smart CRM, Starter, Professional and Enterprise, with a limit of fewer than 1,000 columns. Free tools import up to 500,000 rows a day. Paid tiers import up to 10,000,000 rows a day with 1,048,576 rows per file, and the imports API allows 80,000,000 rows a day. Our CRM import limits page compares these with other CRMs, the import file checker catches header and format problems before you upload, and how to fix HubSpot import errors covers what to do when rows are rejected.
What are the plan requirements and rate limits?
Check the plan and the API ceiling before you build, because those are the two things that stop a working test from scaling.
| Item | Limit | Where it comes from |
|---|---|---|
| Data Sync app activation | Data Hub Starter or higher, plus a paid Airtable plan | HubSpot Ecosystem listing |
| Create Airtable row action | Professional or Enterprise hub | HubSpot Knowledge Base |
| Airtable API, per base | 5 requests per second | Airtable API documentation |
| Airtable API, per user or service account | 50 requests per second across personal access tokens | Airtable API documentation |
| Airtable over the limit | HTTP 429, then wait 30 seconds | Airtable API documentation |
| HubSpot private apps, Free and Starter | 100 requests per 10 seconds, 250,000 a day | HubSpot developer documentation |
| HubSpot private apps, Professional | 190 requests per 10 seconds, 625,000 a day | HubSpot developer documentation |
| HubSpot private apps, Enterprise | 190 requests per 10 seconds, 1,000,000 a day | HubSpot developer documentation |
| HubSpot marketplace OAuth apps | 110 requests per 10 seconds per installing account, regardless of tier | HubSpot developer documentation |

Airtable’s page adds that it may change these limits, including by plan. The HubSpot daily limit is shared across all private apps in the account, so a sync you build yourself on a private app competes with every other integration. Airtable’s record caps also matter for the destination: 1,000 records per base on Free, 50,000 on Team, 125,000 on Business and 500,000 on Enterprise Scale, per our Airtable limits page. Our CRM API rate limits comparison puts these numbers next to other CRMs.
Airtable vs HubSpot: should you keep both?
Keep both when Airtable holds something HubSpot has no object for, such as a custom production tracker, and HubSpot holds the customer. Move the data when your reps already work deals in HubSpot and Airtable is only where the contact list lives.
A sync is a standing job. Field mappings drift, someone renames a column, and the first duplicate record gets blamed on whichever tool was touched last. Clean the contacts before you connect anything: finding and merging duplicate contacts in HubSpot is far easier before two systems are writing to the same list. The CRM integrations guide covers when to connect and when to consolidate, and how to choose a CRM is the place to start if the real question is which tool should be the main one.
When should you migrate from Airtable to HubSpot instead of syncing?
Migrate when the sync exists only so people can keep using two tools, and one of them is losing. If the Airtable base is your customer list, a one-off CSV import into HubSpot followed by switching the Airtable table to read only costs less than paying for Data Hub Starter, a Zapier tier or developer time for as long as the sync lives. The HubSpot migration guide walks through mapping, cleaning and cutover, and it applies to Airtable data as much as any other source.
Keep a sync when Airtable stays the home of something HubSpot cannot model, or when a team that will never use HubSpot still needs a live view of its records.
When to get help
A single contact table with a one-way flow is a half-day job you can do from the steps above. Bring someone in when several Airtable tables with linked records have to map to HubSpot objects, when two teams edit the same records, or when the first sync has already created duplicates. Our HubSpot implementation service and Airtable service cover both ends, and you can send us the base structure and your HubSpot plan for a plain recommendation on sync, middle app or migration. The HubSpot pricing calculator shows what the plan tiers above cost for your team size.
Founder’s note, Alpit Patel. People ask for a two-way sync and usually need a one-way feed with a clear owner. I’d decide which tool holds the record before choosing the connector. I founded aibrevo in San Francisco in 2021, and through autoesta I have overseen 320+ GoHighLevel implementation projects across med spas, real estate, healthcare, dental, home services, SaaS and professional-services clients in the US, UK and UAE.
