Zapier Pricing and Task Limits 2026: Plans, What Counts as a Task, Cost per Task
Zapier's pricing page, checked October 14, 2026, sells task allowances from 100 free tasks a month to 2 million. Professional runs $19.99 to $3,389 a month billed yearly, Team $69 to $3,999. This page lists what counts as a task, the plan limits, and the yearly cost and price per task for 5,000, 20,000 and 100,000 tasks, with a CRM sync example.
Key takeaways
- Free is 100 tasks a month with two-step Zaps only and no premium apps. Paid plans (Professional and Team) start at 750 and 2,000 tasks and scale to 2,000,000, with unlimited premium apps and multi-step Zaps (Zapier pricing page, checked October 14, 2026).
- Billed yearly, Professional costs $89 a month for 5,000 tasks ($1,068 a year, $0.0178 a task), $189 for 20,000 ($2,268 a year, $0.0095 a task) and $489 for 100,000 ($5,868 a year, $0.0049 a task). Monthly billing is 50% higher.
- Only successful action steps count. Triggers, filters, paths, formatter, delay, looping and failed steps are free. One MCP tool call is 2 tasks and one Lead Router lead is 5.
- A 4-action CRM sync uses 4 tasks per record, so 5,000 tasks covers 1,250 records a month and 100,000 tasks covers 25,000.
- At 100,000 tasks a month, Zapier Professional alone ($5,868 a year) costs more than GoHighLevel's whole $297-a-month Unlimited plan ($3,564 a year, checked October 6, 2026), which is why high-volume CRM syncs belong inside the CRM.
A Zapier bill is a count of successful actions, so the same CRM sync can cost $1,068 a year or $5,868 depending on how many records pass through it. This page lists Zapier’s plans, what counts as a task and the limits, then multiplies the checked prices for 5,000, 20,000 and 100,000 tasks a month. The arithmetic is ours; the prices and rules are Zapier’s, read on October 14, 2026.
What does Zapier cost in 2026?
Zapier has four plans: Free, Professional, Team and Enterprise (custom). Professional and Team are priced by monthly task allowance. The table shows the tiers most CRM automations land on, billed yearly and monthly.
| Tasks per month | Professional, billed yearly | Professional, billed monthly | Team (25 seats), billed yearly | Team, billed monthly |
|---|---|---|---|---|
| 100 (Free) | $0 | $0 | n/a | n/a |
| 750 | $19.99 | $29.99 | n/a | n/a |
| 2,000 | $49 | $73.50 | $69 | $103.50 |
| 5,000 | $89 | $133.50 | $119 | $178.50 |
| 10,000 | $129 | $193.50 | $169 | $253.50 |
| 20,000 | $189 | $283.50 | $249 | $373.50 |
| 50,000 | $289 | $433.50 | $399 | $598.50 |
| 100,000 | $489 | $733.50 | $599 | $898.50 |
Prices in USD per month from Zapier’s pricing page, checked October 14, 2026. The yearly column is the per-month figure when billed annually; Zapier says annual billing is 33% off the monthly rate. The page also lists tiers up to 2,000,000 tasks (Professional $3,389 a month billed yearly, Team $3,999); above that, Zapier routes you to sales. The 750 and 1,500-task tiers are Professional-only. Check the live page before buying.
One reading note. The pricing page shows only “starting from” prices until you open the task selector, so a plain page read shows $19.99 for Professional and $69 for Team and no tier table. The numbers above come from the tier table behind that selector.
What counts as a task in Zapier?
A task is one successful action step in a run, per Zapier’s help article on task usage. The counting rules matter more than the plan, because they decide how many tasks one CRM record uses.
| Step | Tasks |
|---|---|
| Successful action step (create contact, update deal, send Slack message) | 1 each |
| Trigger step, including polling | 0 |
| Filter and Paths steps | 0 |
| Formatter, Delay, Looping, Digest, Storage, Sub-Zap app steps | 0 |
| Tables and Forms steps | 0 |
| Action that errors or halts | 0 |
| Step that does not run because of a filter, path or earlier error | 0 |
| Search action set to proceed if nothing is found | 1 (set to not proceed: 0) |
| Successful step in an error-handler path, or a Call or Return from a Sub-Zap step | 1 each |
| Successful steps rerun during a full Zap replay | 1 each |
| Zapier MCP tool call | 2 per successful call |
| Zapier Lead Router | 5 per successful lead |
| AI by Zapier | depends on model tier: Standard 1x, Advanced 3x, Premium 5x, your own AI account 1x |
| Code by Zapier | 1 per run at standard runtime; more with extended runtime |
| Zapier Agents | none; separate activity quota |

Zapier’s own example: a Zap that saves a Gmail attachment to Dropbox and then sends a Slack message uses 2 tasks per run, so 10 runs use 20. The practical rule for CRM work: count the actions that write or send, not the lookups you can filter out.
What are the plan limits for multi-step Zaps and premium apps?
| Limit | Free | Professional | Team | Enterprise |
|---|---|---|---|---|
| Tasks per month | 100 | 750 to 2,000,000 | 2,000 to 2,000,000 | Custom, annual task limit |
| Zap steps | Two-step only | Multi-step | Multi-step | Multi-step |
| Premium apps | None | Unlimited | Unlimited | Unlimited |
| Seats | 1 | 1 | 25 | Unlimited |
| Polling interval | 15 min | 2 min | 1 min | not listed separately |
| Webhooks, filters, paths, Formatter | No | Yes | Yes | Yes |
| Autoreplay | No | Yes | Yes | Yes |
| Code by Zapier runtime per step | 1 second | 30 seconds | as Professional | 2 minutes |
| Pay-per-task overage | No | Yes | Yes | Annual limit instead |
Source: Zapier pricing page, checked October 14, 2026. Team also adds shared workflows and connections, SAML SSO and priority support. “Premium apps” are select apps available only on paid plans; the pricing page does not list which apps are premium, so confirm each CRM app on Zapier’s app directory.
The two limits that most often decide the plan for a CRM team are the polling interval and the Free plan’s two-step cap. A new-lead sync that checks every 15 minutes on Free is slower than one on Professional at 2 minutes, and a CRM sync with a lookup, a create and a notification is already more than two steps.
What happens when you go over your task limit?
Self-serve allowances reset monthly, even on annual plans. If you reach the limit:
- Pay-per-task off: Zaps stop until the next cycle.
- Pay-per-task on: extra tasks bill at a higher rate than your plan rate, 1.25 times the base rate on annual self-serve and 2.5 times on monthly self-serve.
- Ceiling: even with pay-per-task on, usage stops at 3 times your task subscription until the next cycle.
- Free: pay-per-task is not available; Zaps stop at 100 tasks.
Illustrative overage (our assumption, not a Zapier-published rate): if the base rate is the 5,000-task tier’s $0.0178 per task and you run 500 tasks over, annual billing would add about $11.13 (500 x $0.0178 x 1.25) and monthly billing about $22.25 (x 2.5). Zapier’s page states the multiples, not a dollar rate, so check your invoice.
What does a CRM sync cost at 5,000, 20,000 and 100,000 tasks a month?
Scenario for the arithmetic: a Zap that fires when a lead is captured and runs four successful actions: find contact, create or update contact, create deal, post to Slack. The trigger, a filter that screens spam and a Formatter step are free. That is 4 tasks per record. These are illustrative volumes, not a benchmark of any real account.
| Tasks per month | Records per month at 4 tasks | Professional plan | Per month, billed yearly | Per year | Price per task | Per year if billed monthly |
|---|---|---|---|---|---|---|
| 5,000 | 1,250 | 5,000 tier | $89 | $1,068 | $0.0178 | $1,602 |
| 20,000 | 5,000 | 20,000 tier | $189 | $2,268 | $0.0095 | $3,402 |
| 100,000 | 25,000 | 100,000 tier | $489 | $5,868 | $0.0049 | $8,802 |
Arithmetic on Zapier’s pricing page, checked October 14, 2026: yearly cost = monthly price x 12; price per task = monthly price / tasks. If you need the 25 seats of Team, the same tiers cost $1,428, $2,988 and $7,188 a year billed yearly. These totals exclude CRM licenses, tax, retries and AI steps.
Two things stand out. The price per task falls by nearly 3.6 times between 5,000 and 100,000 tasks, so volume is discounted heavily. And the allowance is for the whole account: ten small Zaps share one pool, so add their monthly runs together before you pick a tier.
Three things raise the count without raising your record count. A Zap that retries after a failure counts only the successful steps, but replaying a whole Zap counts previously successful steps again. Each AI by Zapier step on the default Advanced tier is 3 tasks, so one AI summary per lead turns 4 tasks into 7. And each MCP tool call is 2, so an AI assistant that makes 2,500 successful calls a month uses all of the 5,000-task tier.
When does a flat-rate CRM automation cost less than Zapier?
When most of your automation can live inside the CRM and your volume is high. Zapier is an automation layer billed per action, and you still pay for the CRM it connects. A CRM with built-in workflows bills automation inside the license instead.
GoHighLevel is the clearest flat example. Its pricing page lists $97 (Starter) and $297 (Unlimited) a month, with unlimited users and contacts, per our CRM pricing comparison (checked October 6, 2026; this page did not re-open it). That makes the whole platform, workflows included, $1,164 or $3,564 a year.
| Monthly task volume | Zapier Professional per year | GoHighLevel Unlimited per year (whole platform) | Reading |
|---|---|---|---|
| 5,000 | $1,068 | $3,564 | Zapier alone is cheaper, but you also pay for a CRM |
| 20,000 | $2,268 | $3,564 | Zapier alone is still cheaper; with a CRM added the gap closes |
| 100,000 | $5,868 | $3,564 | The Zapier bill alone exceeds the full flat plan |
Zapier figures from Zapier’s pricing page (checked October 14, 2026); GoHighLevel figure from our CRM pricing comparison (checked October 6, 2026). The comparison is price only. GoHighLevel meters texts, calls, email and some premium workflow actions separately, so its real cost depends on usage; see the GoHighLevel pricing guide and the add-on notes in GoHighLevel + Zapier vs native integrations.
The same logic applies to other CRMs that run workflows inside the license. HubSpot’s Professional tier of Sales Hub was $90 per seat per month in the same comparison, with workflows built in. This page did not re-check HubSpot’s workflow limits or credit charges, so confirm them on hubspot.com/pricing before you move an automation. Our GoHighLevel vs HubSpot comparison covers fit beyond price.
Zapier still wins when the work crosses tools the CRM does not connect to, when a marketer has to build it without code, and at low volume. A practical split:
- Keep CRM-internal steps (assign owner, move stage, send follow-up) in the CRM’s workflows.
- Use Zapier for the hop between tools the CRM cannot reach.
- Put filters before the first action: filters are free in Zapier, and a Zap that drops spam before creating a contact saves tasks.
- Review Task Usage monthly; Enterprise accounts can set usage alerts, other plans cannot.

How do I pick a Zapier plan for a CRM?
- Count records per month and successful actions per record. Multiply.
- Add 20% headroom for retries, replays and growth; the 3x pause ceiling is a safety net, not a plan.
- Pick the smallest tier at or above the number. Under 100 tasks, Free works; over two steps or any premium app, you need Professional.
- Choose Team only when you need 25 seats, shared workflows or connections, or SSO.
- Compare the yearly total with putting the same steps inside your CRM before you commit.
If you want that comparison done on your actual workflows, aibrevo builds CRM automations on HubSpot, Pipedrive, monday.com and GoHighLevel; send a message with the Zap list and monthly volumes.
