Small Business CRM Pricing 2026: Per-Seat Cost of 10 CRMs for 5, 10 and 25 Users
Small business CRM pricing from each vendor's own pricing page, checked October 22, 2026: per-seat prices for Close, Freshsales, Nutshell, Insightly, Copper, Attio, Streak, folk, Zoho Bigin and Less Annoying CRM, what the cheapest plan lacks, and the yearly cost for 5, 10 and 25 seats at the cheapest plan that has pipeline, email sync and automation.
Key takeaways
- For 10 seats on the cheapest plan that has a pipeline, email sync and automation, billed yearly, the range is $840 a year (Zoho Bigin Express) to $11,880 a year (Close Growth). Prices checked on each vendor's pricing page on October 22, 2026.
- Freshsales Growth is $9 per user per month billed annually and lists basic workflows, so 10 seats cost $1,080 a year. Copper's first plan with workflow automation is Professional at $59 annually or $69 monthly.
- Attio's Plus plan ($35 per seat billed annually) stops at 10 seats. A 25-seat team has to buy Pro at $79 per seat, which is $23,700 a year.
- Close puts workflows on Growth ($99 annual, $109 monthly), so its automation tier costs 2.8 times Essentials ($35 annual). Less Annoying CRM is a flat $15 per user but its page lists no workflow automation.
- Capsule, Keap and ActiveCampaign are left out of the seat arithmetic: Capsule's page showed no prices in readable text, and Keap and ActiveCampaign price by contact count.
Ten seats on a small-business CRM cost between $840 and $11,880 a year, depending on which vendor you pick and which plan has automation on it. Both numbers are list prices from the vendors’ own pricing pages, checked October 22, 2026, for a plan that has a pipeline, email sync and automation. This page covers the CRMs people search for that our eight-CRM pricing comparison does not: Close, Freshsales, Nutshell, Insightly, Copper, Attio, Streak, folk, Zoho Bigin and Less Annoying CRM.
Method. We read each vendor’s US pricing page on October 22, 2026 and took the per-user price with yearly billing, and the monthly price where the page shows one. The rule for the cost tables: the cheapest plan whose page lists a pipeline, email sync or email integration, and a named automation or workflow feature. Cost = annual price x 12 x seats. Usage fees, tax, add-ons and setup are not included. Capsule, Keap and ActiveCampaign are explained in the section after the table.

Source: vendor pricing pages (Freshworks, Close, Nutshell, Insightly, Copper, Attio, Streak, folk, Zoho Bigin, Less Annoying CRM), checked Oct 22, 2026. Prices at the time of writing, USD. Nutshell’s page does not label its listed prices as monthly or annual; the “save $X a month with annual billing” notes imply they are monthly. Close’s page shows two prices per plan under Monthly and Annually toggles, with the lower one under Annually.
Three things the table hides. Close’s price is the seat only: calling and SMS are passed through at cost, and Close says most outbound calls are around $0.02 a minute. Freshsales lists Branded Documents at $19 per user per month and its Freddy AI Agent at $49 per 100 sessions as add-ons on every plan. Nutshell’s AI features draw on a monthly allowance of “AI outcomes” that grows by plan (10 on the first tier, 150 on the top one).
Why are Capsule, Keap and ActiveCampaign not in the cost tables?
Their pages do not give a per-seat figure we could read. Capsule’s pricing page lists Free (2 users, 250 contacts), Starter, Growth, Advanced and Ultimate with contact limits of 30,000, 60,000 and 120,000 on the first three paid plans, but the dollar amounts did not appear in the page text we could read, so we do not quote them. The plan that matches our rule is Growth, which lists Workflow Automations, Email Sync and multiple pipelines.
Keap and ActiveCampaign price by contact count, with a calculator that did not render in readable text. Keap does state that a subscription starts with 2 user licenses and that extra users are $39 a month each. Because their cost moves with your list size, a per-seat table would mislead, so use the vendor calculators and the formula in the next section only for the seat part.
How much does a CRM cost for 5, 10 and 25 users?
| CRM and plan used | 5 seats | 10 seats | 25 seats |
|---|---|---|---|
| Zoho Bigin Express ($7) | $420 | $840 | $2,100 |
| Freshsales Growth ($9) | $540 | $1,080 | $2,700 |
| folk Standard ($24)* | $1,440 | $2,880 | $7,200 |
| Nutshell Pro ($35, computed) | $2,100 | $4,200 | $10,500 |
| Attio Plus ($35); Pro ($79) at 25 | $2,100 | $4,200 | $23,700 |
| Insightly Professional ($49) | $2,940 | $5,880 | $14,700 |
| Copper Professional ($59) | $3,540 | $7,080 | $17,700 |
| Streak Pro+ ($69) | $4,140 | $8,280 | $20,700 |
| Close Growth ($99) | $5,940 | $11,880 | $29,700 |
| Less Annoying CRM ($15), no automation listed | $900 | $1,800 | $4,500 |
Yearly cost = annual price per seat x 12 x seats. Annual prices from vendor pages checked Oct 22, 2026. Nutshell’s annual Pro price is computed as the $42 listed price minus the $7 monthly saving the page states. Attio Plus allows up to 10 seats, so the 25-seat column uses Pro. folk Standard lists a Workflow Assistant (AI) and Zapier and Make apps but no rules-based automation row; Premium ($48) adds email sequences. Capsule, Keap and ActiveCampaign omitted, see above.
Billed monthly, the same 10 seats cost more: Close Growth $13,080, Streak Pro+ $10,680, Copper Professional $8,280, Attio Plus $5,280, Nutshell Pro $5,040 (listed price), folk Standard $3,600 and Bigin Express $1,080. Freshsales and Insightly show no monthly figure in the page text, so we do not give one.
Which small business CRM should you pick?
Pick by what you have to automate
- Under $1,100 a year for 10 seats, with simple automation: Zoho Bigin Express or Freshsales Growth. Check the automation caps: Bigin Express allows 30 automations.
- You live in Gmail: Streak Pro+ ($69) or Copper Professional ($59). Both are built around the inbox, and both cost more per seat than the table’s cheapest rows.
- Calls and texts are the job: Close. Growth is the first plan with workflows and SMS in workflows. Budget usage fees on top.
- A team that will pass 10 seats: check Attio’s seat cap before choosing Plus, and compare plans whose pages state no seat cap.
- You need no automation, only a tidy contact list: Less Annoying CRM at $15 a user is the simplest flat price in the set.
If you want the list prices of Salesforce, HubSpot, Dynamics 365, Zoho CRM, Pipedrive, monday CRM, Airtable and GoHighLevel for the same team sizes, they are in the CRM pricing comparison. For the free tiers behind several of these products, see free CRM plans compared. If texting matters to the choice, WhatsApp and SMS support by CRM shows who sells it natively. Accounting sync is covered in QuickBooks and Xero integrations by CRM.
When to get help
The seat price is the small number. Moving contacts, deals and notes out of a spreadsheet or an old CRM, mapping fields, and rebuilding the follow-up automations is where teams lose weeks. aibrevo implements Salesforce, HubSpot, Dynamics 365, Zoho CRM, Pipedrive, monday.com, Airtable and GoHighLevel, and quotes per project for any other CRM. The usual request from a team that has outgrown a lighter CRM is a migration into one of those eight. If you are choosing between a small-business CRM and one of them, book a short call or send a message, and see the Zoho service page or HubSpot service page for the platforms most often chosen next. The CRM migration guide covers planning.
