There is one automation built in: when a contact’s first invoice is fully paid, HighLevel can send a review request automatically. For service businesses that is an easy win, because the request goes out at the moment the customer has just paid for finished work.
What does not sync
- Draft invoices. An invoice only goes to QuickBooks once it is sent.
- Invoices from before the connection. Only invoices created after you connect are pushed to QuickBooks.
- Edits to imported invoices. If you import old QuickBooks invoices, changes you make to them in HighLevel do not go back.
- Estimates. They do not create customers in QuickBooks on their own.
- Taxes and discounts are applied against the item price for US sub-accounts only.
Sales receipts are matched to QuickBooks customers by email, so contacts without an email, or with a different email in each system, end up as separate customers. Cleaning up duplicate contacts before connecting saves your bookkeeper a lot of merging later.
How to connect it
In the sub-account, open Settings, then Integrations, and click QB Connect. Decide whether to import existing invoices and whether to turn on review automation, then log in with your QuickBooks credentials. Decide before connecting which system owns invoicing. Running invoices in both, with some sent from HighLevel and some from QuickBooks, is how duplicate customers and mismatched balances start.
When the native integration is not enough
The native sync covers customers, receipts and invoices.
