Does monday.com Integrate with QuickBooks (and Xero)?
Quick answer
Yes for QuickBooks Online: monday.com lists an official QuickBooks integration with four recipes for products, customers and invoices. QuickBooks Desktop and Xero have no first-party monday integration that we could find. Both are covered by third-party marketplace apps, or by Zapier and the API.

Key takeaways
- monday.com has an official QuickBooks integration for QuickBooks Online, listed on its marketplace as launched May 2025. It offers four recipes: sync products and services, align customers, create invoices from monday in QuickBooks Online, and send QuickBooks Online invoices into monday.
- Per monday's help article (last modified August 30, 2026), customers go from monday to QuickBooks, while invoices and products or services come from QuickBooks to monday. Only text, date, email, numbers, status, long text and item ID columns can send data to QuickBooks.
- We found no first-party QuickBooks Desktop or Xero integration from monday.com. On October 17, 2026 the marketplace listed third-party apps for both, such as BoostSync for QuickBooks Desktop (installed 5 times, launched September 2026) and BoostSync for Xero (473 installs).
- monday CRM can create quotes and invoices natively on every plan: 20 documents a month on Basic, 50 on Standard, 250 on Pro and unlimited on Ultimate. monday says it is still working on integrating with external payment platforms.
- The monday help pages do not say which plan the QuickBooks integration needs or how many actions it uses. The pricing page lists 250 custom automations a month on Standard and 25K on Pro.
- The risk is not the connection. It is invoice and payment status drifting apart, so pick one system as the source of truth for status and let the sync read it.
Yes for QuickBooks Online, no for the other two out of the box. monday.com lists an official QuickBooks integration for QuickBooks Online, added from Integrate or Automate on a board. For QuickBooks Desktop and Xero we found no first-party monday integration, only third-party apps on monday’s marketplace, plus Zapier or the API.
Checked on October 17, 2026. We opened monday.com’s QuickBooks Integration help article, its Quotes and Invoices article, its CRM pricing page, eight monday marketplace listings (the official QuickBooks app and seven third-party QuickBooks and Xero apps) and Zapier’s monday.com and QuickBooks page. Zapier’s monday.com and Xero page would not load for us, and we did not open Intuit’s or Xero’s app stores.
What does the monday.com QuickBooks integration do?
It syncs three kinds of record between monday boards and QuickBooks Online. monday’s marketplace listing, published by monday.com and launched May 2025, describes four recipes:
- Sync your products or services, so quotes and invoices use accurate items.
- Align customer data across both platforms.
- Create invoices from monday.com in QuickBooks Online.
- Send QuickBooks Online invoices into monday.com.
The help article (last modified August 30, 2026) sits in the monday CRM section. Its setup is short.
- Open a board and click Automate or Integrate in the top right.
- Search QuickBooks and select the icon, then choose a template.
- Click QuickBooks account, then Connect, and sign in to Intuit.
- Agree to the permissions, return to monday and map your fields.
monday recommends two things before you switch the sync on. First, import your QuickBooks data to a board by exporting Customers and Suppliers, Items and Reports to CSV and using the standard import (our CSV import guide has the limits). Second, in QuickBooks turn off the custom transaction number setting, to avoid conflicting invoice numbers, and turn on the setting that locks closed accounting periods.
What data syncs between monday.com and QuickBooks, and in which direction?
Customers go from monday to QuickBooks. Invoices and products come the other way, from QuickBooks to monday. The article names the fields:
| Record | Direction | Fields listed by monday |
|---|---|---|
| Customer | monday to QuickBooks | Display name, title, bill to email, phone, company name, open balance, billing address, city, postal code, country or state. All optional except name |
| Invoice | QuickBooks to monday | Balance, currency, customer name, discount, document number, invoice sharable link, private note, total amount, total tax. You choose the QuickBooks field for each monday column |
| Product or service | QuickBooks to monday | Description, display name, price, quantity on hand, SKU, type. You choose the QuickBooks field for each monday column |

The marketplace description says one recipe creates invoices from monday in QuickBooks Online, while the help article lists invoice fields flowing from QuickBooks to monday. We could not reconcile the two from the pages alone. Test both recipes on a sandbox board before you rely on either.
Column types matter. Only text, date, email, numbers, status, long text and item ID can send data from monday to QuickBooks. These do not: formula, phone, connect boards, link, files, dropdown, location, tags and timeline. A phone number in a Phone column will not reach the customer record. That is a design decision to make before you build the board.
Two things the pages do not say: which monday plan the integration requires, and how many actions it uses. The article shows no plan list in the text we could read. Treat both as unconfirmed until you see them in your account.
Does monday.com integrate with QuickBooks Desktop?
Not natively. The official listing says QuickBooks Online. The marketplace does list one third-party route.
QuickBooks Desktop Integration by Boost Plugins Inc. launched in September 2026 and showed 5 installs on October 17, 2026, with no ratings yet. Its listing says it embeds an Accounting Relay dashboard inside monday so you can browse bills, invoices and other documents, then export selected records to boards with field-to-column mapping. Accounting Relay is a third-party platform that connects to QuickBooks Desktop, and the listing says the monday app “does not replace Accounting Relay or configure your QuickBooks Desktop connection directly.” A subscription is required for the connector, and the listing offers a 14-day trial. Five installs is a young product, so test it hard.
If you stay on Desktop, your other options are a CSV export and import cycle or a custom build with the API (see the decision table).
Does monday.com integrate with Xero?
monday does not offer a first-party Xero integration that we could find. Three third-party apps are on the marketplace, and their details differ a lot.
| App | Publisher | Installs and rating (Oct 17, 2026) | What the listing says |
|---|---|---|---|
| Xero for monday.com | Stackfully | 306 installs, launched Aug 2025, no ratings yet | Real-time two-way sync of invoices, contacts and products; supports U.S. sales tax, VAT and multi-currency |
| BoostSync for Xero | Boost Plugins Inc. | 473 installs, 5.0 from 5 reviews, launched Jul 2025 | Two-way sync of invoices, bills, quotes, contacts, products and purchase orders; historical import; multiple Xero organisations; says it avoids duplicate data |
| Luxie Tech for Xero | Luxie Tech | 1,884 installs, 3.0 from 5 reviews, launched Feb 2021 | Creates invoices, timesheets and contacts from monday data; the listing says it will “eventually” pull data from Xero into monday |
Source: monday.com Marketplace listings, checked October 17, 2026. These are publisher claims, not tests. Pricing sits on each listing’s Pricing tab, which we did not capture.
The last row is a warning. A two-way sync is the thing that stops double entry, and the oldest and most-installed Xero app describes pulling data back as future work. Read the permissions and pricing tabs and run a trial before you commit.
Can monday.com generate invoices without QuickBooks or Xero?
Yes, on monday CRM, with limits. The Quotes and Invoices article (last modified October 14, 2026) says the feature is available on monday CRM and on Basic, Standard, Pro and Ultimate plans. You create a document from the main Quotes and Invoices panel, from a column on a CRM board, or from an item’s updates section. The document pulls recipient details from your Contacts board and products from a product catalog board.
| Plan | Quotes and invoices per month |
|---|---|
| Basic | 20 |
| Standard | 50 |
| Pro | 250 |
| Ultimate | Unlimited |
Source: monday.com, monday CRM pricing page, checked October 17, 2026. Prices on that page, with 10 seats and yearly billing: Basic $12, Standard $17, Pro $28 per seat per month; Ultimate is custom. Plans start from 3 users.
What it does: templates, a serial number format, adjustments for discounts, taxes and fees, a signature or logo, and an optional payment button that links to your preferred payment platform. Automations can notify you when a document’s status changes, for example from “Sent” to “Paid”, and send reminders if payment is late. What it does not do yet: monday says on the same page “We’re working on adding the ability to integrate with external payment platforms.” The article does not describe a sync to QuickBooks or Xero. If your books live in an accounting system, you still need one of the options below to keep them aligned. Our monday CRM pricing calculator works out the seat cost for your team.
Which QuickBooks or Xero route should you pick?
Use the official app for QuickBooks Online if its fields cover your case. Go to a marketplace app when you need more record types or Xero or Desktop. Use Zapier or Make for a simple one-way trigger, and the API when the logic is yours.
| Route | Fits | Watch for |
|---|---|---|
| Official monday QuickBooks integration | QuickBooks Online teams who need customers, products and invoices on boards | Limited field and column-type support; plan and action use not stated on the pages |
| Marketplace app (QuickBooks Complete, QuickBooks for monday.com, QuickBooks Invoicing Integration, BoostSync, Stackfully) | More record types, Xero, Desktop, in-board invoicing | Per-app pricing, permissions and update history. Check installs, ratings and the Pricing tab |
| Zapier (or Make) | One simple trigger, such as a new QuickBooks payment updating a board | Zapier’s own page marks its QuickBooks templates Premium; task counts add up. See Zapier pricing and task limits |
| Custom API build | Own matching rules, multi-step logic, unusual objects | Maintenance and API limits. See the monday API guide and daily API call limits |
| CSV export and import | Low volume, Desktop users with no live sync | Manual, and it goes stale |
Some marketplace QuickBooks apps worth knowing, with their listings as of October 17, 2026: QuickBooks Complete by Virtenia Inc (4,437 installs, 4.8 from 26 reviews, launched June 2022, says it covers 14 kinds of QuickBooks Online data including Projects, customers, invoices, estimates, vendors, payments and products); QuickBooks Invoicing Integration by Workflow Magic (1,815 installs, 5.0 from 28 reviews, launched January 2024); QuickBooks for monday.com by Stackfully (154 installs, launched May 2025, supports U.S. and international accounts, sales tax, VAT and multi-currency). Zapier’s monday.com and QuickBooks Online page lists templates such as updating monday columns when a payment arrives in QuickBooks Online and creating monday items for new invoices or estimates. All of Zapier’s listed templates carried a Premium label.
If you use GoHighLevel rather than monday, the same question has a different answer in does GoHighLevel integrate with QuickBooks.
What breaks when you connect monday.com to QuickBooks?
Invoice and payment status drifts. That is the real problem behind the r/CRM thread titled “HubSpot + QuickBooks teams: who actually catches it when invoice or payment status stops matching?” The thread was about HubSpot and we did not open it, but the failure applies to monday too: two systems each hold a status, and someone has to notice when they disagree.
| Symptom | Likely cause | Fix |
|---|---|---|
| Invoice shows paid in QuickBooks but not on the monday board | The sync has not run, a recipe was turned off, or the monday status column was edited by hand | Read the balance from QuickBooks into a numbers column and derive status from it, rather than typing status |
| Duplicate customers in QuickBooks | Customer name is the one required field, and names that differ slightly (Inc vs Inc.) look like different people. The article does not document matching rules, so this is a risk to test | Clean names before sync; import QuickBooks customers first so the board starts from the same list |
| Conflicting invoice numbers | QuickBooks custom transaction numbers are on | Turn the setting off, as monday advises, before importing |
| A customer’s phone is missing in QuickBooks | The monday Phone column is not a supported type | Copy it into a text column and map that |
| Edits to closed periods | Accounting periods not locked | Turn on QuickBooks’ lock for closed periods, as monday advises |
| Sync stops without notice | Recipe hit the plan’s automation allowance | Check usage. Standard lists 250 custom automations a month and Pro 25K on the pricing page. See plan limits |
Build a weekly check that does not depend on memory: a board view of invoices where the monday status is Paid but the QuickBooks balance is above zero, and the reverse. Assign one person to clear that view. To confirm a fix worked, create a test invoice in QuickBooks, pay it, and check that the balance and status on monday change.
