Does Capsule CRM Integrate with Xero?

Quick answer

Yes. Capsule has a native Xero integration on all paid plans, set up under Account Settings, Integrations, Xero. It syncs with Xero every 2 hours, pulls in contacts with authorized invoices, summarizes invoice status on the Capsule contact and lets you export contacts to Xero.

Key takeaways

  • Capsule's Xero integration is available on all paid plans. The pricing page lists it as a Premium Integration starting on the Starter plan, and the Free plan is not a paid plan (Capsule support and pricing pages, checked Oct 22, 2026).
  • The sync runs every 2 hours, which is 12 times a day. A Xero contact is pulled into Capsule only once it has at least one authorized invoice, not while its invoices are drafts.
  • Capsule is treated as the source of truth. The integration overwrites addresses in Xero with the ones in Capsule, so fix wrong addresses in Capsule before you enable it.
  • Spelling differences between the two systems create duplicate contacts in Capsule. Deleting a contact has to happen in Xero first and then in Capsule, or the next sync brings it back.
  • Setup is under Account Settings, Integrations, Xero, then Enable Integration and Connect to Xero. Disabling it stops invoice history and links showing in Capsule.

Capsule CRM integrates with Xero on every paid plan. Once enabled under Account Settings, Integrations, Xero, it syncs every 2 hours, pulls contacts into Capsule when they have an authorized invoice and shows invoice status on the contact. Capsule treats itself as the source of truth, which means it overwrites addresses in Xero. Everything below comes from Capsule’s support article and pricing page, checked October 22, 2026.

Does Capsule CRM integrate with Xero?

Yes. Capsule’s support article says that connecting Xero adds your paying contacts from Xero to Capsule and summarizes invoice information on the linked contact: payment due dates, whether an invoice is paid, overdue amounts and quotes. Capsule then keeps updating Xero with changes you make, so an address edited in Capsule is updated in Xero as well. New Capsule contacts can be added to Xero when you are ready to raise an invoice.

The support article marks the feature “Available on: All Paid Plans”, and the pricing page lists Xero as a Premium Integration under Starter, the cheapest paid plan. The Free plan (2 users, 250 contacts) is not covered. Capsule’s pricing page also says it supports 60+ integrations and names Xero and QuickBooks among the most popular.

How do you set up the Capsule and Xero integration?

Five steps, from Capsule’s “Xero Integration” support article:

  1. In Capsule, go to Account Settings, then Integrations, then Xero, and click Configure.
  2. Choose Enable Integration. Decide how to handle supplier information (see below). If you use teams to control access, pick a default team for all Xero contacts.
  3. Click Connect to Xero to give Capsule access to your Xero account.
  4. An initial sync runs from Xero to Capsule, uploading current payment and invoice information and adding any contacts not already in Capsule.
  5. Optional: in Xero, add a custom contact link named “View in Capsule” so you can jump from a Xero contact to Capsule. It works only for Xero contacts linked to a Capsule contact.

To change the default team later you have to disable and re-enable the integration. Contacts can be moved to another team by users who have access to the default team.

What syncs between Capsule and Xero, and when?

The sync runs every 2 hours, which means 12 syncs a day. Capsule only pulls a Xero contact when it has at least one new authorized invoice, so a contact can sit in Xero for some time without appearing in Capsule.

Item Direction Rule
Xero contact with an authorized invoice Xero to Capsule Created in Capsule if new, linked automatically if it matches by name
Invoice information Xero to Capsule Summarized on the linked contact: due dates, paid status, overdue amounts, quotes
Archived Xero contacts Not pulled Skipped in the initial sync, and updates stop if you archive a linked contact later
Capsule contact exported to Xero Capsule to Xero Organization exported, with the person as Primary Person
Address changes in Capsule Capsule to Xero Overwrite Xero addresses
Supplier invoices Xero to Capsule Only if you chose to import suppliers and vendor invoices, and not for a contact who is both customer and supplier

If you expect near real-time updates, plan around the interval. A paid invoice in Xero can take up to the next sync to show in Capsule.

How does Capsule export a contact to Xero?

If a Capsule contact shows no Xero information, click Export to Xero. Capsule treats B2B and B2C differently:

Case What goes to Xero
A person linked to an organization (B2B) The organization’s details, with the person’s first and last name in the Contact Person field
A person with no organization (B2C) The person’s details

Fields populated in Xero: name of organization, Primary Person (when exporting from a person), the first email address, phone numbers (work, mobile, direct, fax) and website or social links.

Address rules: a Postal address in Capsule fills Postal Address in Xero, and the first address is used if none is marked Postal. An Office address always fills Street Address, and if there is none the Xero Street Address stays blank. Capsule overwrites addresses in Xero. If the address in Xero is correct and Capsule’s is wrong, correct Capsule before you enable the integration.

Why do I have duplicates or missing contacts after connecting Capsule to Xero?

Most issues are documented in the article. Match the symptom.

Symptom Cause Fix
A Xero customer is not in Capsule It has no authorized invoice yet, or the contact is archived Authorize an invoice, then wait for the next 2-hour sync. Archived contacts are skipped
A duplicate contact appears in Capsule Spelling differs slightly between the two systems, so Capsule treats the Xero customer as new Merge the records in Capsule using exactly the name stored in Xero
A deleted contact comes back You deleted it in Capsule only Delete in Xero first, then in Capsule
Wrong address in Xero after enabling The sync overwrites Xero addresses with Capsule’s Correct the address in Capsule and let it sync again
Supplier invoices missing for a contact The contact is both a customer and a supplier, so only the contact syncs No fix inside the integration. View the invoices in Xero
“View in Capsule” link opens an error page The link shows on all Xero contacts but works only for linked ones Use it only on contacts that exist in Capsule
Supplier data you did not want shared Import suppliers was chosen at setup Choose Do not import suppliers. Existing suppliers stay and no new ones sync

Capsule documents a two-hour sync between the systems. Insightly’s help center says its Xero integration does not provide a sync and is for viewing, linking and drafting invoices. If automatic updates matter to you, read how Insightly’s Xero integration works before comparing. Our CRM integrations guide covers how native integrations and middleware differ, and the monday.com QuickBooks page shows another accounting connection. If you are moving data out of Capsule first, see how to export data from Capsule CRM.

How do you turn off the Xero integration in Capsule?

Go to Account Settings, Integrations, Xero, click Configure, then Disable Xero Integration and confirm. Invoice history and links to Xero stop displaying in Capsule afterwards, but contacts the integration created remain in Capsule. Delete them yourself if you do not want them.

When to get help

A Capsule and Xero link is simple at setup and fiddly in production: mismatched names, a default team that cannot be changed without disabling the link, supplier data you did not mean to share, and addresses that overwrite the accountant’s record. A specialist saves time when you have thousands of contacts to clean before the first sync, or when you are moving off Capsule to a CRM with a different accounting link. aibrevo does not implement Capsule, so Capsule work is quoted per project, and migration into Salesforce, HubSpot, Dynamics 365, Zoho CRM, Pipedrive, monday.com, Airtable or GoHighLevel is the common request. Book a short call or send a message, and see the Zoho CRM and HubSpot pages.

FAQs

Does Capsule CRM integrate with Xero?

Yes. Capsule has a native Xero integration, available on all paid plans. It adds your paying contacts from Xero to Capsule, summarizes invoice information on the linked contact, and lets you send new Capsule contacts to Xero when you are ready to invoice. Capsule keeps updating Xero with changes you make, so Capsule is the source of truth.

How do I connect Capsule to Xero?

In Capsule, go to Account Settings, Integrations, Xero, and click Configure. Choose Enable Integration and decide how to handle supplier information. If you use teams, pick a default team for Xero contacts. Click Connect to Xero to give Capsule access. An initial sync then uploads current invoice information and any contacts not already in Capsule.

How often does Capsule sync with Xero?

Every 2 hours, according to Capsule's support article, so 12 times a day. A Xero contact is uploaded to Capsule only when it has at least one new authorized invoice, meaning one that is no longer a draft. A contact can sit in Xero for some time and arrive in Capsule when an invoice is authorized.

Does the Capsule Xero integration work on the free plan?

No. Capsule's support article lists the Xero integration as available on all paid plans, and the pricing page shows it under Premium Integrations from the Starter plan. The Free plan allows 2 users, 250 contacts, 5 custom fields and 1 sales pipeline. Capsule offers a 14-day trial of its paid plans with no card required.

Why are there duplicate contacts after connecting Capsule to Xero?

A slight difference in spelling between Capsule and Xero makes the sync treat the Xero customer as new and create a duplicate in Capsule. Merge the duplicates in Capsule using exactly the name stored in Xero, or Xero keeps sending the contact as new. Matching by name is how Capsule links contacts automatically.

How do I delete a contact when Capsule is linked to Xero?

Delete it in Xero first, then in Capsule. If you delete it in Capsule only, the contact is added back at the next sync because it still exists in Xero. Archiving a Xero contact is different: the link remains, but Capsule stops pulling updates for it into Capsule.

Will Capsule overwrite addresses in Xero?

Yes. The integration overwrites addresses in Xero with those in Capsule. A Postal address in Capsule fills Postal Address in Xero, using the first address if none is marked Postal. An Office address always fills Street Address. If the Xero address is right and the Capsule one is wrong, fix Capsule before you enable the sync.

Can I stop supplier information going into Capsule from Xero?

Yes. During setup, choose Do not import suppliers from Xero into Capsule. If you later change to not importing, existing suppliers stay in Capsule but no new ones sync. If you import suppliers, you can also choose whether vendors' invoices come across. A contact that is both customer and supplier syncs, but its supplier invoices do not.

How do I disable the Xero integration in Capsule?

Go to Account Settings, Integrations, Xero, click Configure, then Disable Xero Integration and confirm. Invoice history and links to Xero stop displaying in Capsule afterwards, but contacts the integration created remain. To change the default team for Xero contacts, Capsule says you need to disable and re-enable the integration, because the team is chosen during setup.
