Missed call text back ROI calculator

A missed call text back ROI calculator multiplies the calls you miss by the share who book after an instant text, your close rate and job value, then subtracts the plan fee and text cost. Text cost uses HighLevel's $0.00747 per segment plus carrier fees. Defaults are illustrative, replace them with your own numbers.

LC Phone US and Canada rates from HighLevel's pricing guide, checked October 15, 2026.

Revenue is not profit: apply your own margin before you judge the result. Missed callers who leave a message are excluded from recovered jobs because you can call them back anyway. Defaults are illustrative, not benchmarks.

How much do missed calls cost you?

Missed calls cost the revenue from callers who would have booked, minus the callers who would have left a message and been called back anyway. The tiles above show it for your numbers: recovered revenue per month is the upper bound of what a text back can win, not a promise. The honest unknowns are your booking rate from a text and your true missed-call share, so measure both for a few weeks if you can.

On the missed-call share, CallRail's January 2025 benchmark of 1.1 million leads is cited at 14% for home services in our GoHighLevel for plumbers guide, via Plumber magazine. We did not re-open the CallRail report today, so the default here stays at an illustrative 20% and you should use your own phone log. Other studies on missed-call rates and lead response time come mostly from answering-service and software vendors, and we treat them as vendor claims.

How we calculate this

  • Missed calls per month = calls per week x 52 / 12 x missed share.
  • Recoverable callers = missed calls x (1 minus the share who leave a message).
  • Recovered jobs = recoverable callers x booking rate x close rate.
  • Recovered revenue = recovered jobs x job value.
  • Text cost per month = missed calls x [outbound segments x ($0.00747 + outbound carrier fee) + inbound segments x ($0.00747 + inbound carrier fee)]. Low uses $0.0035 outbound and $0.0025 inbound; high uses $0.005 outbound and $0.01 inbound.
  • Net per month = recovered revenue minus the plan fee minus the high text cost.
  • Break-even calls per week = plan fee / (recovered revenue minus high text cost, per weekly call).

Missed call text back ROI calculator: what it costs in GoHighLevel

The text charge is small next to the plan fee. HighLevel bills $0.00747 per segment on LC Phone, plus carrier pass-through fees, so a one-segment text sent and one reply received costs roughly two to three cents. The plan fee, from $97 a month on Starter, is the real recurring cost, and the build is the real one-time cost. See the GoHighLevel pricing calculator for a full monthly bill and the SMS segment counter to check that your text fits in one segment.

Lead response time calculator: what the speed of a reply changes

This tool treats speed of reply as the mechanism, not a multiplier. A caller who reaches voicemail often tries the next business; an instant text keeps the conversation with you. We do not assume a specific lift from response time. You type the booking rate you believe, and the break-even figure tells you how many calls per week make that belief pay for the plan.

What this calculator does not include

  • Gross margin on jobs, taxes and the cost of the technician time to do the work.
  • The one-time build, A2P 10DLC registration fees, phone number rental and any voice minutes.
  • Other plan add-ons, wallet recharge behavior and international rates.
  • Callers who book without any text back, and repeat customers, which are not growth from this automation.
  • Any industry benchmark. Every default is illustrative.

Missed call text back questions

How much do missed calls cost a small business?

Multiply missed calls per month by the share who would have booked, your close rate and your average job value. With the illustrative defaults here, about 87 missed calls a month and a 15% booking rate gives roughly $2,000 a month in recoverable revenue. Your phone log gives the real missed-call count; this page does the arithmetic.

How does a missed call text back ROI calculator work?

Recovered revenue is missed calls x share who do not leave a message x booking rate from the text x close rate x job value. Subtract the plan fee and the text costs. The missed call text back ROI calculator above does this with your inputs and also gives a break-even number of calls per week.

What does a missed call text back cost in GoHighLevel?

On LC Phone in the US and Canada, HighLevel charges $0.00747 per SMS segment, inbound or outbound. Carriers add a pass-through fee: $0.0035 to $0.005 per outbound segment and $0.0025 to $0.01 per inbound segment, per HighLevel's pricing guide checked October 15, 2026. A one-segment outbound text costs about $0.011 to $0.012.

Is missed call text back worth it for a small business?

Usually the texting cost is trivial, so the question is whether text-back recovers at least a couple of jobs a month to cover the plan fee. Use the break-even figure: if your weekly call volume is above it at a defensible booking rate, it pays. If it is below, the fee is not covered by text-back alone.

How do I set up missed call text back in GoHighLevel?

Create a workflow triggered by a missed call, add an SMS action with a short message, and add conditions so existing customers and voicemail-leavers are handled separately. Our step-by-step guide covers the trigger, the message wording, consent and testing, and our troubleshooting guide covers the usual reasons it does not fire.

What missed-call rate should I enter?

Use your own phone records. CallRail's January 2025 benchmark, as reported by Plumber magazine in September 2026, put home services near 14%, but other vendor studies report much higher figures, so we leave the default as an illustrative 20% and you should replace it. Your call tracking or phone carrier log is the only number that matters.

Does speed of response matter for a lead response time calculator?

Speed matters because a caller who does not reach anyone often calls the next business. That is the mechanism this calculator models: a text within seconds, a booking rate you type, and a close rate you type. We do not assume a specific lift from response time, because published figures vary and most come from vendors.
