Capsule CRM Alternatives: 7 Options Priced Per Seat, With Export Steps
Capsule CRM alternatives for teams that hit its contact caps, its Growth-tier automation price or its 250-contact free plan. Seven options with per-seat prices checked Oct 22, 2026, a 5-user cost chart and exactly how the Capsule export works.
Key takeaways
- Capsule lists Starter at $18, Growth at $36, Advanced at $54 and Ultimate at $72 per user per month billed yearly, with contact caps of 30,000, 60,000, 120,000 and 240,000 (Capsule's own guide, checked Oct 22, 2026). Workflow automations only start at Growth, so the price of automation is double the entry tier.
- Capsule's free plan is 2 users and 250 contacts, with 1 sales pipeline and 1 project board. HubSpot (2 users) and Zoho (3 users) offer free tiers too, and Less Annoying CRM has a flat $15 per user with unlimited contacts.
- For 5 users on the cheapest tier that lists automation, yearly cost runs from $900 (Less Annoying CRM) to $2,520 (Nutshell Pro), with Capsule Growth at $2,160 (vendor pricing pages, checked Oct 22, 2026).
- Capsule's group export is admin-only and gives CSV, Excel or vCard from a contact list. The help page does not say whether notes, files or opportunities are included, so test with a few records first.
- Downgrading in Capsule means shrinking your data. Moving from 60,000 contacts to Starter requires removing 30,000 contacts to meet the 30,000 limit.
Capsule is cheap to start and gets expensive when you need automation: its Starter plan is $18 per user per month billed yearly, and workflow automations only appear on Growth at $36. People who search for Capsule CRM alternatives have usually hit one of three walls (checked Oct 22, 2026): the 250-contact, 2-user free plan, the contact cap on a paid plan, or the price of the tier that adds automation. This page prices seven alternatives against those walls and then covers what leaving costs.
Why do people leave Capsule CRM?
Three limits sit in Capsule’s published plan details, and each points to a different replacement.
| Wall | What Capsule’s pages say (checked Oct 22, 2026) | Replacement to look at |
|---|---|---|
| Free plan runs out | Free: 2 users, 250 contacts, 5 custom fields, 1 sales pipeline, 1 project board, 50 MB | HubSpot (2 users), Zoho (3 users), or a low flat price |
| Automation costs double | Starter $18 has no workflow automations; Growth $36 adds workflow automations, multiple pipelines and project boards | A tool that includes automation at a lower seat price |
| Contact caps and downgrades | Starter 30,000, Growth 60,000, Advanced 120,000, Ultimate 240,000 contacts; a downgrade needs the contact count under the new cap | A CRM with no stated contact cap |
Sources: Capsule pricing for plan features and the free plan, and Capsule’s low-cost CRM guide for the price figures, because the pricing page loads its dollar amounts by script. The pricing page shows Ultimate as a plan for 5 or more users with an account manager and custom training. Email marketing is a separate add-on from $11 a month.
What do seven Capsule alternatives cost?
All prices are per user per month billed yearly unless noted, checked Oct 22, 2026. The “limit” column is the one constraint to check before you move.
| CRM | Free tier | Paid prices | Best at | The limit that matters |
|---|---|---|---|---|
| Less Annoying CRM | None, 30-day trial | $15, one plan | One price, unlimited contacts and pipelines | Group email goes through Mailchimp or another tool; texting contacts needs a partner |
| Nutshell | None, 14-day trial | $13, $25, $42, $59, $79 | Marketing tools included in every plan | Foundation caps open leads at 100 |
| Pipedrive | None found, 14-day trial | Lite $14, Growth $39, Premium $59, Ultimate $79 | Pipeline-first selling | Premium is $20 more per seat than Growth |
| HubSpot Sales Hub | Free, 2 users, 1,000 contacts | Starter from $7 (page also shows $20); Professional $90 plus $1,500 onboarding | Marketing next to the CRM | Professional plus onboarding is the largest cost on this list |
| Zoho CRM | Free, 3 users | Standard $14, Professional $23 (Oct 6 figures) | Low price with an automation tier | Prices on Zoho’s page load by script; confirm at checkout |
| Freshsales | 21-day trial | Growth $9, Pro $39, Enterprise $59 | Lowest entry seat price | Pro is 4.3 times Growth |
| GoHighLevel | 14-day trial | $97, $297, $497 per account per month | Texting, calls and automation with unlimited users | Phone and email usage is billed on top of the plan |

Zoho comes from aibrevo’s CRM pricing comparison of Oct 6, 2026. Nutshell shows one price per tier with a yearly saving of $6 to $10, so the listed figure is the yearly-billed rate.
The chart shows the same thing the table does: Capsule sits near the top, below Nutshell Pro and Pipedrive Growth, and the ways to pay less are a flat-price tool or Zoho’s lower per-seat automation tier. For a wider view of per-seat prices across eight CRMs, see the CRM pricing comparison. If your sales team lives in a pipeline all day, read about Pipedrive setup before you commit. If the reason is texting and calls, the GoHighLevel pricing guide lists the usage rates that sit on top of the plan.
Which Capsule alternative is best for each reason?
- You need a free plan for three or more people. Zoho CRM’s free edition covers 3 users; HubSpot’s covers 2. Capsule’s free plan stops at 2.
- You want one flat price. Less Annoying CRM at $15 per user. See Less Annoying CRM alternatives for its limits before you assume it is the simple answer.
- You want marketing tools in the plan. Nutshell lists webchat, a form builder, landing pages and email marketing in every subscription. See Nutshell CRM alternatives.
- You want deal-stage selling. Pipedrive: Lite $14, Growth $39.
- You send a lot of texts. GoHighLevel, from $97 a month per account with unlimited users, see GoHighLevel implementation.
What does it cost to move off Capsule?
The licence price barely matters next to the export and rebuild work. Capsule’s help page sets out the group export steps:
- Open People and Organizations.
- Open an existing list or create one with your own filters.
- Use the top-left checkbox to select the contacts. With more than 50 results you can select one page or all contacts in the list.
- Click Export in the upper-right corner.
- Choose a column template and a file type: CSV, Excel or vCard.
- Click Export to confirm.
Only administrators can use this, and the profile needs the export permission. The page does not say whether notes, files or opportunities are included, and the only stated control is the column template. Treat that as an open question and export ten test records before you cancel. A Capsule blog post from September 15, 2010 describes a one-click export that emails a ZIP of CSV files covering contacts, opportunities and cases with email and note history; it is 16 years old and I could not find the current menu location, so confirm with Capsule support before relying on it.
If a competitor is the destination, check its import limits: CRM import limits compared lists rows and file sizes for eight CRMs. Capsule opportunities are the item most likely to need a separate file, so plan a second export for them. Industry ranges for building the new system (median of published price pages, checked October 2026, not aibrevo quotes) are $1.5k to $3.5k for a small Pipedrive build and $3k to $10k for Zoho CRM, per the implementation cost benchmark. Our CRM migration guide covers the order of steps.
When to get help
Capsule data is simple, so most of the migration time goes to duplicate contacts, custom fields that do not map, and automations that have to be rebuilt by hand. Capsule is not one of the eight platforms aibrevo implements, so the work is quoted per project, and the common request is moving into HubSpot, Zoho CRM, Pipedrive, monday.com or GoHighLevel. Book a short call or send a message with your contact count and the plan you are on. Matching services: HubSpot, Zoho, Pipedrive and GoHighLevel.
