Insightly Alternatives: 6 CRMs Compared on Price, Limits and Export
Insightly alternatives for teams that hit its record and custom field caps, or find the per-account marketing automation price on top of per-user CRM seats too steep, with prices checked on each vendor's page and what an Insightly CSV export leaves out.
Key takeaways
- Insightly lists CRM at $29, $49 and $99 per user per month billed annually (Plus, Professional, Enterprise), with no free plan and a 14-day trial (Insightly pricing page, checked Oct 22, 2026). Workflow automation is listed from Professional.
- Marketing automation is a separate product priced per account: $99 for 2,000 prospects, $499 for 10,000 or $999 for 20,000 a month. For 10 users, CRM Professional plus Marketing Plus is about $7,068 a year, and CRM plus Marketing Professional is about $11,868.
- Plus caps records at 100,000, custom fields at 50 and records per import at 25,000. Professional raises these to 250,000, 100 and 50,000.
- Insightly's CSV export cannot carry file attachments, events, comments or saved emails. The XML export includes comments and the first 100 characters of each email, but XML cannot be imported back into Insightly.
Insightly lists CRM at $29, $49 and $99 per user per month billed annually (checked Oct 22, 2026), with no free plan and a 14-day trial, and the number that surprises buyers is the second product: marketing automation is priced per account at $99, $499 or $999 a month depending on how many prospects you keep. Plus also caps records at 100,000 and custom fields at 50. People who search for Insightly alternatives are usually adding up those two bills or running into the caps.
This page lists six alternatives with a per-seat price checked on each vendor’s own page, one strength and one limit for each, what an Insightly export leaves out, and when staying makes sense.
What are the best Insightly alternatives?
The best alternative depends on whether the pain is the CRM seat price, the limits or the marketing add-on, so the table gives each option’s published price and the limit to check first.

Why do people leave Insightly?
The reasons visible on Insightly’s pricing page are plan caps, a separate marketing bill and a missing free tier. The table lists the CRM caps by plan.
| Limit | Plus ($29) | Professional ($49) | Enterprise ($99) |
|---|---|---|---|
| Records | 100,000 | 250,000 | 500,000 |
| File storage | 10 GB | 100 GB | 250 GB |
| Records per import | 25,000 | 50,000 | 50,000 |
| Mass email per day | 2,500 | 5,000 | 10,000 |
| Custom fields | 50 | 100 | 200 |
| Role-based permissions | 2 | Unlimited | Unlimited |

The marketing side is the other bill. Marketing automation is $99 for 2,000 prospects (Plus), $499 for 10,000 (Professional) or $999 for 20,000 (Enterprise) per account per month, with email volume at 5, 10 or 15 times the prospects you buy. An All-in-One bundle is $349, $899 or $2,599 a month, and the page says it saves “up to 30 percent.” AppConnect, Insightly’s integration tool, is $249 a month for 25,000 tasks, with a $3,000 technical setup.
How much do Insightly alternatives cost for 10 users?
At 10 users, CRM and marketing together on Insightly Professional come to about $11,868 a year, close to HubSpot Professional’s price, while the other tools sit far lower. The chart multiplies annual-billing prices by 10 users and 12 months, and adds Insightly’s per-account marketing price once.
The two Insightly marketing bars show why the bundle is the real comparison. If you only need a CRM, Insightly Professional at $5,880 sits near Freshsales Pro. If you need marketing automation in the same system, it moves toward HubSpot’s price with a smaller prospect pool. HubSpot vs Pipedrive and GoHighLevel vs HubSpot compare the destinations on fit.
Insightly vs HubSpot, Pipedrive and Salesforce: which fits which team?
HubSpot fits a team that wants marketing and CRM in one platform. Insightly CRM Professional at $49 per user is much cheaper than HubSpot Professional at $90 plus $1,500 onboarding, so a team that does not use HubSpot’s marketing tools is paying for them. Pipedrive fits a pipeline-first team, and its Growth plan at $39 per seat lists email sync, automations and sequences.
We did not fetch Salesforce pricing in this check, so we do not rank it. GoHighLevel fits when you want unlimited users and email and SMS marketing in one plan and can accept metered usage fees.
What does moving off Insightly cost, and what does the export leave behind?
The export is free and run per object, and the gaps are the activity data. These steps come from Insightly’s help center (checked Oct 22, 2026).
- An administrator grants you export permission first.
- Open the list of records for an object. Click Show Sidebar, then under Import/Export click Export. To export a subset, filter the list, tick the box above the records, click More, then Export.
- The CSV is emailed to you, or you download it from the bell icon in the upper-right corner. The download link expires 30 days after the export.
Insightly says file attachments, events, comments and emails saved to Insightly cannot be exported in CSV. The CSV includes contacts, leads, organizations, opportunities, projects, tasks and their notes, and it is the only re-importable option. An XML export (System Settings, then Data Export) adds comments, users, milestones and the first 100 characters of each email plus headers, but XML cannot be imported back as is. The API is the only route to full email records, and it needs developer skills.
Repeat the export for each object, because there is no single file. Check the destination’s import caps too, since CRM import limits by vendor lists them, and run CRM data cleaning before migration first. If Zoho is the destination, the reverse path is in how to export data from Zoho CRM, and for Pipedrive see how to import contacts into Pipedrive.
When should you stay on Insightly?
Stay when your records and fields fit the plan caps, you use projects and custom objects heavily, and the marketing add-on is either unneeded or already sized right. A migration costs build time, and aibrevo’s CRM implementation cost benchmark lists small Pipedrive builds at roughly $1.5k to $3.5k and HubSpot at $3k to $6k (published price pages, checked Oct 2026). Moving to save a few dollars a seat rarely pays that back.
When to get help
Get help when comments, events and email history that the CSV cannot carry have to be preserved, or when marketing automation has to be rebuilt in a new system. aibrevo implements Salesforce, HubSpot, Dynamics 365, Zoho CRM, Pipedrive, monday.com, Airtable and GoHighLevel, and a move from another CRM into one of those eight is a common request. Insightly itself is quoted per project, and GoHighLevel builds run $1,499 to $4,999 for a full CRM setup at the time of writing.
Book a short call or send a message with your user count and the plan you are on. The Zoho service page, the Pipedrive service page and the GoHighLevel service page cover three common destinations.
