Airtable Consultant: What They Do, How to Verify One and What They Cost
Quick answer
An Airtable consultant designs the data model, automations and interfaces behind your base and hands over something your team can run. Airtable runs a Services Partner programme with a public directory and an Academy with Builder and Admin exams, so you can check a claim before you sign. Published market bands run from $1.5k to $40k+, resting on a single source.
Part of the guide: Airtable pricing and limits 2026
Key takeaways
- Airtable keeps a public Services Partner directory and says partners are accredited after assigned trainings and testing. The directory page I opened on Oct 25, 2026 can be filtered by country, region, city, services, partner size, language, project budget and vertical, and the cards shown carried a Gold Services Partner label (ecosystem.airtable.com, checked Oct 25, 2026).
- Individuals can sit Airtable Academy exams: Builder, Admin, Agentic Systems Design and AI-First Foundations. The Builder and Admin exams are 65 questions with a 75% pass mark (academy.airtable.com, checked Oct 25, 2026). A badge shows the exam was passed, not that a cross-table CRM was ever shipped.
- Published market bands for an Airtable build are $1.5k to $8k small, $8k to $25k mid and $25k to $40k+ enterprise. They rest on one agency page, so treat them as a starting point for a conversation, not a benchmark (aibrevo CRM implementation cost benchmark, checked Oct 15, 2026).
- The one hourly-rate table I could open has offshore freelancers at $20 to $65, mid-level independents at $50 to $150, US specialists at $150 to $200 and senior agencies at $200 to $300+. It is a single agency's marketing page (checked Oct 25, 2026).
- Airtable is the wrong tool when you need ready-made sales features (email sync, dialing, forecasting), when one base would need more than its plan's record cap, or when you need more than 5 API requests per second per base. Ask the consultant to tell you that before they quote.
Searches for “airtable consultant”, “airtable expert for hire” and “airtable implementation partner” come from people who have usually already picked Airtable and now need a person who will build it properly. This page is about hiring: who to hire, what they hand over, how to check their credentials on Airtable’s own pages, what the work costs and when the honest answer is to use a different tool. If you want to build the CRM yourself first, the companion page, Airtable CRM setup, cost and templates, walks through the structure and the plan limits.
What does an Airtable consultant actually do?
An Airtable consultant turns how your business works into a set of linked tables, then builds the views, interfaces and automations your team uses every day, and leaves documentation so you can maintain it. The data model is the part that matters, because a flat table that has to be split into linked tables later means rewriting formulas, automations and every integration that points at it.
| Deliverable | What the consultant is accountable for | What stays with you |
|---|---|---|
| Data model | Which tables exist, how they link, which field types, where rollups and lookups are used | Naming your stages and deciding what counts as a deal, a contact, a customer |
| Views and interfaces | Grid, Kanban and calendar views for working, Interface Designer pages for people who should not see the raw base | Who gets which page |
| Automations | Triggers, actions, duplicate protection, monthly run budget against your plan | Approving what fires emails or messages to customers |
| Integrations | Native sync, Zapier or Make, or the API, with the system of record named for each field | Vendor accounts and their fees |
| Migration | Mapping a spreadsheet or another CRM into linked tables, de-duplication, an import test | Cleaning your own source data |
| Handoff | Documentation, a base map, a named internal admin, training | Naming the admin and following the rules |
Source: aibrevo scope checklist for Airtable builds, Oct 25, 2026. An agency page, Business Automated (checked Oct 25, 2026), makes the same point from the other side: it says a CRM needs linked Contacts, Companies, Deals and Activities tables rather than one flat table, and that this structural knowledge is what you are paying for. That is one agency’s view, but it matches what we see when we are asked to repair a base.
How is a consultant different from a freelancer or a developer?
None of the titles is protected, so read them as a hint about the engagement. A consultant usually designs and advises, and may or may not build. A freelancer is one independent who usually builds. A developer writes scripts, extensions or API code, which most Airtable CRMs do not need. An agency or partner is a company, which says nothing about how good the one person on your account is.
| Label you will see | What it usually means | Question to ask |
|---|---|---|
| Airtable consultant | Designs the model, may also build | Do you stay through build and testing? |
| Airtable expert for hire | A hands-on builder, often independent | Who covers if you are unavailable mid-project? |
| Airtable developer | Scripts, custom extensions, API work | What can the native automations not do here? |
| Airtable automation consultant | Automations and integrations first, data model second | Who owns the data model if you only do the automations? |
| Services partner | A company accredited by Airtable | Which named person works on my base? |
| Agency | Team plus account management | Is the person on the sales call the one doing the work? |
For a single base with an owner who can answer questions the same day, a freelancer is a sensible choice. For a multi-team system or a migration, a small team gives you review and cover.
How do I verify an Airtable consultant?
Check the company in Airtable’s partner directory, then ask the builder about the Academy certification, then ask to see a finished base. Airtable runs all three routes, and none of them replaces looking at real work.
The Services Partner programme. Airtable’s partner page (checked Oct 25, 2026) says Services Partners are accredited by Airtable after completing assigned trainings and testing, and that accredited partners become eligible for lead referrals and subcontracting with Airtable. The programme is free to join, and Airtable reviews applicants on the scope of their capabilities, depth of Airtable expertise and capacity to scale. The services it lists are workflow discovery, solution design, implementation, change management, training and ongoing support.
The directory. The Airtable Services Partner Directory (checked Oct 25, 2026) lets you filter by country, region, city, services, partner size, language, project budget and vertical, and sorts by tier and review count. The cards I could read carried a Gold Services Partner label. I could not see a published definition of the tiers, so I do not state what Gold requires. If a consultant says they are an Airtable partner, find their card.
The Academy exams. Airtable Academy (checked Oct 25, 2026) offers four certifications: Airtable Builder, Airtable Admin, Agentic Systems Design and AI-First Foundations. The Builder and Admin exams are 65 questions with a 75% pass mark. Airtable describes the Builder exam as covering data modeling, workflow design, Interface Designer, automations and AI capabilities. These are individual credentials, so you can ask a freelancer or an agency’s named builder for theirs.
A short script for the conversation:
- Ask for the full name of the person who will build your base.
- Ask whether that person holds the Builder certification and ask when they took it.
- Find the company in the partner directory. If it is not there, ask why. Plenty of good independents are not accredited partners, and an evasive answer is the warning sign, not the missing listing.
- Ask to see one finished base with a similar shape (a linked-table CRM, not a content calendar) and ask how many tables, how many automations and what happens when two records share an email.
- Ask for the story of an automation that broke, and how it was fixed. A real builder has one.
A badge shows training. It does not show that someone designed a cross-table CRM, kept automations under the run limit or handed a base to a team without a developer. For that, you need a sample. We do not claim an Airtable partner tier on this page, and you should put the same questions to us.
What does an Airtable consultant cost?
Published bands for an Airtable build are $1.5k to $8k for a small build, $8k to $25k mid and $25k to $40k+ enterprise, but they rest on a single agency page. That is the Airtable row in our CRM implementation cost benchmark, which says plainly that with one source there is no median and every Airtable figure is single-source. Compare that with Salesforce, where the same benchmark has 16 pages behind the range.
| Size of build | Band in the benchmark | What the source page describes |
|---|---|---|
| Small | $1.5k to $8k | A simple base ($1,500 to $3,000, 2 to 5 days) or a standard CRM, tracker or calendar ($3,000 to $8,000, 1 to 3 weeks) |
| Mid | $8k to $25k | A multi-table system with automations ($8,000 to $15,000, 3 to 5 weeks) or a complex build with integrations and migration ($15,000 to $25,000, 4 to 8 weeks) |
| Enterprise | $25k to $40k+ | Activation across several departments, 8 to 12+ weeks, retainers excluded |
Source: aibrevo CRM implementation cost benchmark, single source (Business Automated, published Mar 21, 2026), which I re-opened Oct 25, 2026. Implementation services only, in US dollars, no Airtable licences.
I did not find a second source I could open that publishes Airtable hourly rates with a method, so I will not turn this into a market average. Two checks help: ask what a quote includes (discovery, testing, training, documentation), and ask whether a retainer is separate. The same agency page lists retainers of $500 to $1,000 a month for basic support up to $3,000 to $5,000 for dedicated development.
Illustrative arithmetic, not a quote. If a standard CRM build takes 40 hours, the hourly bands above give $800 to $2,600 offshore, $2,000 to $6,000 at mid-level independent rates and $6,000 to $8,000 at the US specialist band. That is about where the page’s $3,000 to $8,000 standard-CRM band sits. If the same job grows to 120 hours with a migration and three integrations, the US specialist band gives $18,000 to $24,000, which lands in the page’s $15,000 to $25,000 complex band. Hours, not seats, move the number.
The Airtable licence is a separate bill from Airtable. Per the Airtable pricing page as recorded on our pricing and limits page, Team is $20 and Business $45 per seat per month billed annually, so ten seats cost $2,400 and $5,400 a year. aibrevo quotes Airtable builds per project after a 30 minute call, and we do not publish an Airtable price list.
What should I ask an Airtable consultant before hiring?
Ask questions that expose build experience, because a polished interface demo proves very little.
- Who exactly builds my base, and do they hold the Airtable Builder certification?
- Can I see a linked-table CRM you built, and how many tables does it have?
- How do your automations avoid creating duplicate records, and what happens to them if a field is renamed or a single select option changes?
- Which plan do you expect me to need, and how did you count my records and monthly automation runs?
- How will you move my existing data, and what happens to attachments and linked records?
- How do you document the base, and who can change the structure after go-live?
- What happens after go-live: is support included, and what does it cost?
- When would you advise against Airtable for my case?
A specific, unglamorous answer to the third and eighth questions signals experience. The fourth is not a formality: Airtable counts every trigger as a run, including failed ones, and the plan caps are 25,000 runs a month on Team and 100,000 on Business (Airtable automation support article and pricing page, checked Oct 25, 2026).
What plan limits should the consultant design around?
Four limits shape an Airtable CRM: records per base, automation runs and unique automations, sync limits, and the API ceiling. The first three are in Airtable’s plan sheets, and the fourth is in its developer documentation.
| Limit | Free | Team | Business | Enterprise Scale |
|---|---|---|---|---|
| Records per base | 1,000 | 50,000 | 125,000 | 500,000 |
| Automation runs a month, per workspace | 100 | 25,000 | 100,000 | 500,000 |
| Unique automations per base | 75 | 100 | 150 | 200 |
| Automation run history | 2 weeks | 6 months | 1 year | 3 years |
| Synced tables per base | Not offered | 10 | 20 | 20 |
| Two-way sync | No | No | Yes | Yes |
Source: Airtable pricing page via our limits page, plus Airtable’s automations and sync support articles, checked Oct 25, 2026. Sync is listed for paid plans only, so the Free cell is “not offered”. The automations article says disabled automations still count against the per-base cap until deleted. Older guides, including the agency page cited above, give 50 automations per base, which no longer matches Airtable’s current table.
On the API, Airtable’s developer documentation sets 5 requests per second per base and 50 per second per user or service account, with a 429 and a 30 second wait when exceeded. Our CRM API rate limits comparison works out that updating 50,000 records one request each takes about 2.8 hours on Airtable, and our Airtable limits page works out a little under 7 hours for a full 125,000 record Business base. Sync integrations are capped at 10,000 records per integrated source, which does not apply to base-to-base syncs. A consultant who has not asked about these before drawing tables has not built a large base before.
When is Airtable the wrong tool?
Airtable is the wrong tool when your team needs ready-made sales features or when your data outgrows one base, and a good consultant says so before quoting. Airtable’s own pricing sheet lists database, interface and automation features, not email sync, dialing or forecasting, and Airtable’s sales page says most customers run it alongside an existing CRM rather than replacing it (airtable.com/solutions/sales, checked Oct 25, 2026).
| Signal | What it suggests | Where to read more |
|---|---|---|
| Reps live in email and need logging, sequences and a dialer | A purpose-built CRM, with Airtable kept for back-office tracking | Is monday.com a real CRM? for the same question asked of a work-management tool |
| One base needs more than its plan’s record cap, or an integration needs more than 5 requests per second per base | Split bases, move to Enterprise Scale, or choose a platform with a higher API ceiling | CRM API rate limits compared |
| Your team prefers a visual board with built-in sales views to designing its own schema | monday.com CRM | monday CRM vs Airtable |
| You decided to leave Airtable | A scoped export-and-rebuild project | How to move Airtable to monday.com |
| You want Airtable data in HubSpot | An integration, not a migration | How to connect Airtable to HubSpot |
| You run monday.com and still need an Airtable base | A connection that moves data one way | Does monday.com integrate with Airtable? |
If the real need is a sales CRM that reps use all day, the comparison matrix in how to choose a CRM is a faster starting point than an Airtable build.
What changed when Bending Spoons bought Airtable?
Bending Spoons announced a definitive agreement to buy Airtable on August 4, 2026 and said it completed the acquisition on September 4, 2026; neither announcement mentions pricing, plans or product changes. Our acquisition news page lists what is confirmed: an enterprise value of $1.285 billion, and a pricing page that on October 17, 2026 still showed Team at $20 and Business at $45 per seat. A later October update page records Airtable’s October 12 post saying it is parting ways with a large portion of the pre-acquisition team and that nothing changes regarding plan, price or service offering.
For hiring, the practical effect is small. Ask your consultant what they would do if a plan limit or price changed mid-project, keep a current export of every base, and keep contract terms short enough that a change in Airtable’s pricing does not trap you. An ownership change is not a reason to move on its own. The reasons to move are the ones that existed before: record caps, the API ceiling and missing sales features.
Where do I find an Airtable consultant in the UK?
Search Airtable’s own directory with the country filter set to the United Kingdom, then check each shortlisted firm’s partner card and named builder. I did not count UK partners, so I will not tell you how many there are, and I found no published GBP price for Airtable consulting that I could open, so the dollar bands above are not UK quotes.
Two UK-relevant facts come from Airtable’s own pages. The data residency article (checked Oct 25, 2026) says residency is offered in the United States, Europe and Australia on Enterprise Scale only, and does not list a UK region. And Airtable’s European data residency FAQ (checked Oct 25, 2026) says it offers a Data Processing Addendum, that it has incorporated the EU and UK Standard Contractual Clauses for transfers, and that its EU data centre is in Frankfurt with backups in Ireland. That is Airtable’s description, not legal advice, so your data protection lead should read the signed DPA. aibrevo lists the United Kingdom among the countries it serves; its Airtable builds are done by its in-house team, not a UK partner.
Where do I find an Airtable consultant in Australia?
Use the same directory with the country filter set to Australia, and then ask the same five verification questions. I did not count Australian partners, and I found no published AUD pricing I could open.
Airtable’s data residency article lists Australia as one of three data regions on Enterprise Scale. It adds two cautions worth passing on: selecting a non-US region may be slower than the US, and an organisation cannot span regions (you cannot keep some bases in Europe and others in Australia). It also says base metadata, user and authentication data and some analytics stay in US data centers whichever region you choose, so check that against your own privacy obligations. If your team is in Australia and needs a consultant in your time zone, say so in the first message; time-zone overlap matters more on a build than a badge does.
Ready to scope an Airtable build? Start with the Airtable implementation service, book a 30 minute call or send a message with your record counts, current tools and what should happen when a deal closes. You get scoping questions before any quote, and a written scope with exclusions after the call.
How does aibrevo work on Airtable projects?
aibrevo builds Airtable bases and the automations around them through its in-house CRM team, a 16-engineer group led by CTO Shivam that also works on Salesforce, HubSpot, Dynamics 365, Zoho, Pipedrive and monday.com. We quote each Airtable project after a 30 minute call and do not publish an Airtable price list. If Airtable is the wrong tool for what you describe, we will say so, and we will point you to the comparison or the migration route above instead.
We scope from the data model first, because tables and links drive cost more than seats, and the handoff is written down before work starts: a named internal admin, a base map, a list of what each automation does and the run budget against your plan. Ask any provider, including us, for the named builder and credentials.
Founder’s note, Alpit Patel. A certificate tells you someone passed an exam. It does not tell you whether they have ever had to untangle a base where contacts, companies and deals live in one table. My test is simple: ask to see the base map and ask what the automations do when two records share an email. I founded aibrevo in San Francisco in 2021, and through autoesta I have overseen 320+ GoHighLevel implementation projects across med spas, real estate, healthcare, dental, home services, SaaS and professional-services clients in the US, UK and UAE.
