GoHighLevel Expert for Med Spas: What to Hire, Verify and Expect

Quick answer

A GoHighLevel expert for a med spa is a named person or small team who builds and owns the technical side of your HighLevel account: workflows, A2P 10DLC texting registration, consent capture, booking-platform connection and, where counsel says it applies, the HIPAA add-on. Verify the person in HighLevel's Certified Admin directory, get account ownership in writing, and expect a three to five week single-location build.

Key takeaways

  • A GoHighLevel expert for a med spa should be a named person you can verify. HighLevel lists Certified Admins in its own directory (directory.gohighlevel.com), the badge is valid for two years from the live proctored exam, and a lapsed subscription removes the person from the directory (HighLevel certifications page, checked 15 October 2026).
  • A badge proves platform knowledge, not med spa competence. HighLevel offers separate A2P Compliance and HIPAA Compliance skills badges, and a med spa expert should be able to show the work behind both, not only the badge.
  • aibrevo publishes $1,499 to $4,999 for a complete single-business CRM setup and quotes a multi-location rollout by number of locations. HighLevel's subscription ($97, $297 or $497 a month, plus $297 a month for the HIPAA add-on) is billed separately and is not the expert's fee.
  • Ask who owns the account. HighLevel documents a sub-account transfer between agencies (Agency Level, Sub-Accounts, Manage Client, Actions, Transfer Sub-account), but only the agency owner, or an admin they authorize, can start it, and a HIPAA-enabled sub-account needs a receiving agency that also has the HIPAA add-on.
  • The HIPAA decision belongs to your counsel, not your builder. The $297 a month add-on cannot be cancelled, refunded, removed or downgraded once enabled, so an expert who pushes it before a written legal opinion is selling, not advising.

Hiring a GoHighLevel expert for med spas usually starts at the same decision point: the CRM is chosen, the front desk is losing inquiries, and the question is who to trust with your client list, your texting number and your consent records. This page answers that one question for med spa owners and practice managers. It covers what the expert does, what the first five weeks look like, what the work costs in published bands, how to verify the person, who owns the account, and which compliance skills matter.

It deliberately does not repeat the build package. The full deliverables table, snapshot versus done-for-you comparison, monthly fee arithmetic and booking-platform sync table live on our GoHighLevel setup for med spas page. Read that for what gets built, and this page for who builds it.

What does a GoHighLevel expert for med spas do?

A GoHighLevel expert for a med spa builds, connects and safeguards the technical layer of your client communication: lead capture, booking, reminders, consent records, texting registration and reporting. You keep the decisions that are yours, such as offers, deposit policy, clinical wording and what counsel says about HIPAA.

The useful way to read a quote is by what the person is accountable for. These are the deliverables an expert should name in writing, and the owner of each one afterward.

Deliverable What the expert is accountable for What stays with the practice
Lead capture and missed-call text-back Forms, ad connections, call routing and a tested instant reply Which treatments to advertise, ad budget
Consultation booking and reminders Calendars, deposit link, confirmation and reminder sequences in generic wording Deposit amount, cancellation policy
Consent capture Separate reminder and promotion checkboxes, custom fields that record them, workflows that check them The legal wording, signed off by counsel
A2P 10DLC registration Brand and campaign submission with opt-in language that matches your forms Accurate legal name, EIN and website
Booking-platform connection Zapier, webhook or API link, and a written map of which system owns which field Vendor access, plan level and fees
HIPAA configuration (if it applies) Add-on purchase under your agency, BAA signature, per-sub-account switch, MFA and user roles The decision itself, from counsel
No-show, review, renewal and reactivation workflows Build, test with dummy contacts, staged go-live Message approval, staff follow-through on replies
Reporting Source to consultation to treatment view Acting on it
Documentation and handoff A written workflow list, recorded walkthrough, named owner The owner actually owning it

An expert is not your medical director, your lawyer or your marketing agency. If a proposal includes “clinical copy”, “compliance guarantee” or “guaranteed bookings”, read that line twice. The setup page’s red-flag table lists the claims a med spa should discount.

GoHighLevel expert, consultant or specialist: is there a difference?

There is no protected title. “Expert”, “consultant” and “specialist” are interchangeable in most marketing, and HighLevel’s only individual credential is Certified Admin, so the label tells you little. What matters is whether the person builds, advises or only resells.

Label you will see What it usually means in practice Question to ask
GoHighLevel expert Hands-on builder, often one person or a small team Who exactly builds my account?
GoHighLevel consultant Audits, advises, writes a plan; may or may not build Do you stay for the build and testing?
GoHighLevel specialist for med spas Claims niche focus Which med spa builds can I see, and which booking platform did each use?
GoHighLevel agency Team plus account management, sometimes a white-label layer Is the person on the sales call the person doing the work?
Freelancer One independent builder What happens if you are unavailable mid-project?

Our comparison of an expert, an agency and a freelancer goes through scope, accountability and risk in detail, and our guide to choosing an agency covers the agency side. For a med spa, one extra filter applies: pick the label whose person will still be reachable when a carrier filters your texts in month three.

What should I expect from a GoHighLevel expert, week by week?

Expect a single-location med spa build to run about three to five weeks, with the expert’s own build work concentrated in weeks three and four. The calendar is longer than the effort because registration, counsel and vendor access run on other people’s schedules.

This table is written from the expert’s side: what you should see them do, and what they will need from you. The task-by-task timeline with waiting dependencies is on the setup page.

Week What the expert delivers What they need from you How you know it happened
1 Discovery call, written scope with exclusions, message classification (reminder versus promotional) Treatment list, policies, current consent wording, booking platform name and plan, counsel’s HIPAA view A written scope you can compare with other quotes
1 to 2 Account structure, users, MFA, sending-domain records, HIPAA steps if applicable Admin access to DNS and website Your name on the account arrangement in writing
2 A2P 10DLC brand and campaign submitted with matching opt-in text Legal business name and tax ID exactly as registered Submission screenshots and the approval status
2 to 3 Booking-platform connection and field-ownership map; data export reviewed Vendor API or webhook request raised in week one Test events arriving in a test contact
3 to 4 Workflows built in draft: lead response, booking, reminders, no-show, reviews, renewals Sign-off on every message Draft workflows you can read, not just a demo
4 Tested with dummy contacts through every branch; staff walkthrough Front desk time A test log listing what was tested and the result
4 to 5 Staged go-live, reactivation last; handoff documentation and recording A named internal owner Documentation, recording and a first-week watch plan

The HighLevel registration step is the most common source of delay: HighLevel’s A2P fee article describes Fast Track processing that targets approval within 3 business days for a clean submission, and a rejection restarts the clock. Our A2P rejection guide covers the usual causes. Also ask the expert to name the one thing they cannot control. A credible answer mentions the booking vendor, counsel or carriers. An answer of “nothing” is a sales line.

How much does it cost to hire a GoHighLevel expert for a med spa?

We publish $1,499 to $4,999 for a complete single-business CRM setup and quote a multi-location rollout by number of locations. HighLevel’s own subscription and usage are separate bills paid to HighLevel. Other providers set their own prices, and template-based setups are commonly sold for $500 to $2,000 (our pricing benchmark), so we sit at or above the typical published price. Our fee covers a named builder, A2P 10DLC filing, number porting, sending-domain authentication, a recorded walkthrough and an account you own. Compare the written scopes.

That is the only price of ours on this page, and it is the same band published on the setup page and the pricing page. Four separate budgets sit behind any quote:

Budget Who bills it What it covers
Expert’s build fee The expert or agency Scope, build, testing, handoff
Ongoing support or retainer, if any The expert or agency Fixes, changes, monitoring; should be priced and named separately
HighLevel subscription HighLevel $97, $297 or $497 a month, and $297 a month for the HIPAA add-on if enabled (HighLevel pricing page, checked 15 October 2026)
Usage HighLevel and carriers Texts, email, numbers, calls, A2P registration fees

HighLevel’s pricing page notes that the Starter plan at $97 a month includes 3 sub-accounts, which matters for the ownership question below. For how scope moves price inside the band, see our implementation cost guide and what a GoHighLevel expert costs. The setup page works through an illustrative monthly HighLevel bill for a HIPAA-ready location.

What should make you pause: a very low fee that excludes A2P registration, a “free setup” that is only a snapshot import, or a retainer that is the real price and is not mentioned until the contract.

How do I verify a GoHighLevel expert’s credentials?

Ask for the person’s full name, search it in HighLevel’s Certified Admin directory at directory.gohighlevel.com, and then ask what the credential does and does not prove. The directory is HighLevel’s own list, so it is a better check than a badge image on a website.

HighLevel’s certifications page (checked 15 October 2026) describes the program this way:

  • Certified Admin is the foundation credential. It is earned through training and a live proctored exam.
  • Validity: the badge is valid for two years from the date the person passes the live proctored exam, and staying certified requires at least two additional skills badges per year.
  • Directory: Certified Admins are listed in the HighLevel Certified Directory. HighLevel says a person’s name is removed from the directory if their HighLevel subscription ends, and that cancelling the certification subscription for more than 90 days requires retaking the live proctor exam to restore the listing.
  • Skills badges: specialized badges include A2P Compliance (messaging compliance and setup, including A2P 10DLC registration) and HIPAA Compliance (compliance essentials, customer data management and bridging agency-specific gaps).
  • Price: HighLevel lists certification at $97 a month or $970 a year, with enterprise pricing for teams of more than 15.

Use these four steps:

  1. Get the full name of the person who will build, as well as the company.
  2. Search the name in the directory. Note which skills badges show on the profile.
  3. If the name is missing, ask. The cause may be an inactive subscription, an unlisted profile (HighLevel says the directory listing is optional for those who only want the courses) or a false claim. All three are worth knowing before you sign.
  4. Ask for one documented med spa build and one story about a failed A2P submission or a booking-platform sync problem, and how it was fixed. A real builder has one.

HighLevel’s own wording is that the exam validates platform skills. That does not confirm that the person has connected Boulevard or Zenoti, set a per-location HIPAA switch for a real practice, or written consent logic that survives a state-law question. Treat the badge as a floor.

On our side, our founder page states that Alpit Patel holds a HighLevel Certified Admin credential (ID 129974508, issued January 16, 2025; see his about page) and that he has personally overseen 320+ GoHighLevel implementations through our partner company autoesta. Check the ID in the directory yourself, and ask any provider the same questions you would ask us.

Expert, agency or freelancer for a med spa: which fits?

A freelancer fits a simple single-location build with a hands-on owner. An agency fits a multi-location group that needs account management. A named expert or small specialist team fits the middle, which is most med spas with a booking-platform sync, consent logic or a HIPAA decision.

Freelancer Named expert or small team Agency
Cost pattern Lowest quotes, widest range Mid, fixed scope typical Highest, often adds a retainer
Key-person risk Highest Moderate Lowest on paper
Who builds The person you met The person you met, plus backup Often someone you did not meet
Med spa depth Varies widely Ask for builds Ask for builds
Best for One location, no HIPAA, no sync Sync, consent logic, HIPAA, one to few locations Many locations, ongoing management

Whatever the label, apply the same tests: a written scope with exclusions, a test log, a handoff you can read, and account ownership on paper. The vetting guide for med spas turns these into a scorecard, a list of red flags, sample contract clauses and a small paid trial project.

Who owns the GoHighLevel account when an expert builds it?

The owner is whoever holds the agency account the sub-account sits in, unless you agree otherwise in writing. Settle account ownership before the build starts.

HighLevel’s structure has an agency account that contains sub-accounts, usually one per business. There are two common arrangements, and each has consequences.

Arrangement How it works Risk for the med spa
Your own HighLevel agency account, expert added as admin You own the account, the billing and the HIPAA add-on; the expert works inside it You carry the cost and must manage user roles; leaving is a user removal
Expert’s agency account, you are a sub-account The expert owns the agency, bills you, and may bundle HighLevel fees Leaving requires a transfer, and the expert controls timing

HighLevel’s Sub-Account Transfer Guide (checked 15 October 2026) describes moving a whole sub-account from a releasing agency to a receiving agency. Key points that affect a med spa:

  • By default only the Agency Owner can request or complete a transfer, and can grant that permission to specific admins.
  • The receiving agency must be active and have capacity, and HighLevel says to confirm required compliance add-ons first. For a HIPAA-enabled sub-account, the receiving agency must have the HIPAA Compliance add-on before the transfer can be completed.
  • A transfer moves the entire sub-account, with contacts, conversations and supported assets staying together. It does not merge sub-accounts or move selected data.
  • Phone numbers transfer with the sub-account only when both agencies use LC Phone. If either uses Twilio, the numbers do not move automatically and the agencies and the Twilio account owner must coordinate separately.

Four things to put in the contract: who is the agency owner of record, who pays HighLevel and how those fees are passed through, the process and timeline to transfer or hand over admin rights on exit, and who owns the phone numbers, sending domain and A2P registration. The wider sub-accounts explainer shows how agency-level and location-level settings fit together, and the handoff checklist lists what to collect on the last day.

What compliance competence should a med spa’s GoHighLevel expert have?

A med spa’s GoHighLevel expert should be able to explain, without a script, how they handle four things: the HIPAA decision, A2P 10DLC registration, text consent, and review and testimonial design. Ask for their process, and treat anything described as “fully compliant” as a red flag. This is general information, not legal advice.

HIPAA and the add-on. HighLevel’s support article says accounts are not HIPAA compliant by default. The add-on costs $297 a month and, once enabled, it cannot be canceled, refunded, removed or downgraded. The article also describes the BAA signed in the platform under Settings, Compliance, and it says HighLevel and the agency are considered business associates while the practice is the covered entity. HighLevel’s article describes both automatic activation after the BAA is signed and a manual per-sub-account switch under Advanced Settings, so an expert should verify the toggle state in each sub-account rather than assume. Whether your med spa is a covered entity depends on conducting standard electronic transactions under HIPAA’s definitions, and cash-pay practices may or may not be. A competent expert asks for counsel’s written opinion first. Our HIPAA answer and HIPAA setup steps go further.

A2P 10DLC. Each texting sub-account needs registration, and campaign descriptions and sample messages have to match what you send. An expert who has handled this can tell you the brand and campaign fees (listed on HighLevel’s fee article) and the reasons registrations get rejected. Our setup page covers the numbers; the A2P registration page for med spas covers the med spa specifics.

Consent. Reminders and promotions should have separate agreement, recorded in custom fields, and workflows should check the right field before each send. The TCPA consent and opt-out guide shows the build. Ask to see how a client who replies STOP to a promotion is still allowed to receive an appointment reminder, or not, and where that rule is written.

Reviews and photos. The review request should go to every completed client, including unhappy ones, and before-and-after photos belong in your charting system, so keep them out of text threads. For ad claims, testimonials and what you can say about prescription treatments, see our med spa text and ad compliance page.

None of this replaces a healthcare attorney. A good expert knows where their job ends and will say “that is a question for your counsel” without being asked.

When is hiring an expert not worth it for a med spa?

Hiring an expert is not worth it when you run one cash-pay location, need no HIPAA configuration or booking-platform sync, have a small client list, and a staff member will own the account weekly. DIY with HighLevel’s own tools is reasonable in that case.

The setup page’s DIY section lists a three-workflow starting path. There is also a middle option: pay for an audit of an existing account instead of a build. Our audit and fix service and the med spa version, audit and fix for med spas, are for accounts that exist but misfire. If you are still deciding between systems, our best CRM for med spas page compares the options, and the Zenoti versus GoHighLevel comparison shows how to split jobs between the two if you already run Zenoti.

How does aibrevo work with med spas?

We work on a fixed, written scope with the HIPAA decision and registrations started in week one, a tested build, and a handoff with documentation. Alpit Patel founded aibrevo in San Francisco in 2021 and has personally overseen 320+ GoHighLevel implementations through autoesta; our own 16-person engineering team, led by CTO Shivam, applies that same approach to every build. autoesta is our partner company that delivers GoHighLevel and AI automation builds.

What you get from us follows the structure of this page: a named builder, a scope with exclusions, account ownership written down before work begins, a test log and a handoff. Published pricing is $1,499 to $4,999 for a complete single-business CRM setup, and multi-location is quoted by number of locations. Where a quote lands inside the single-business band depends on HIPAA setup scope, the booking-platform connection, treatment lines and client-list size. See the GoHighLevel implementation service to start, or send us a message with your treatments, booking platform and number of locations, and we will reply with questions before any quote.

Founder’s note, Alpit Patel. Account ownership is the thing I see people skip when they hire a builder, and it comes up every week. I’d settle account ownership in writing before the build starts. The owner is whoever holds the agency account the sub-account sits in, and a HIPAA-enabled sub-account can only move to an agency that already has the add-on. Then check the builder’s full name in HighLevel’s certified directory. Treat the badge as a floor: it confirms platform skills, not med spa integration work. I founded aibrevo in San Francisco in 2021, and through autoesta I have overseen 320+ GoHighLevel implementation projects across med spas, real estate, healthcare, dental, home services, SaaS and professional-services clients in the US, UK and UAE. FAQs

What does a GoHighLevel expert for med spas actually do?

They design and build the technical layer: lead capture, missed-call text-back, consultation booking, reminders, no-show recovery, membership and package triggers, reactivation, review requests, reporting, A2P 10DLC registration and email authentication. They also connect your booking platform, set up consent fields and, if your counsel says HIPAA applies, configure the add-on. Strategy, offers and copy stay with you.

How do I verify a GoHighLevel expert's certification?

Ask for the person's full name and open HighLevel's Certified Admin directory at directory.gohighlevel.com to find the listing. HighLevel says listing requires an active certification subscription, so a missing name is a question to ask, not proof of fraud. Then ask for the person's skills badges, such as A2P Compliance or HIPAA Compliance, and a documented med spa build.

Is a GoHighLevel consultant different from a GoHighLevel expert?

The titles overlap and neither is protected. HighLevel's only individual credential is Certified Admin. Use the words as a clue to the engagement: a consultant usually audits, advises and writes a plan, while an expert or specialist builds and fixes. Whatever the title, judge the written scope, the named person and the handoff terms.

How much does it cost to hire a GoHighLevel expert for a med spa?

aibrevo publishes $1,499 to $4,999 for a complete single-business CRM setup and quotes multi-location rollouts by number of locations. Where you land depends on HIPAA scope, the booking platform connection, the number of treatment lines and the cleanliness of your client list. HighLevel's own plans and usage are separate. Other providers set their own prices, so compare scopes, not totals.

Should a med spa hire a freelancer, an agency or a single expert?

A freelancer is cheapest and carries the most key-person risk. An agency spreads that risk but can hand your build to someone you never met. A named expert or small specialist team sits between them. For a med spa with a booking-platform sync or HIPAA decision, the deciding factor is written scope, tested work and who owns the account, not the label.

Who owns my GoHighLevel account if an expert builds it?

It depends on how it is set up, so decide before work starts. If the expert builds in their agency account, your business is a sub-account they own. HighLevel supports transferring a sub-account to another agency, but only the agency owner or an authorized admin can start it. Ask for the arrangement and the exit process in writing.

Does a GoHighLevel expert need to know HIPAA for a med spa?

They need to know where HIPAA applies and where it does not. A cash-pay med spa may or may not be a covered entity, so the expert should ask for counsel's written opinion, explain what HighLevel's add-on does and does not cover, and never claim a snapshot makes you compliant. They should also know the add-on is permanent once enabled.

How long does it take a GoHighLevel expert to set up a med spa account?

Plan on three to five weeks of elapsed time for a single location. The build is a minority of that: the rest is waiting on counsel, carrier registration, booking-vendor API or webhook access and your sign-off on message copy. Multi-location builds take longer because each sub-account needs its own registration and testing.
