Best CRM for Med Spas: Compare Platforms by Clinic Type
Quick answer
The best CRM for med spas depends on what you run today. A dedicated med spa platform (Boulevard, Mangomint, Zenoti, Pabau, Vagaro) is the best fit when you need booking, charting and payments in one record. GoHighLevel fits when lead response and follow-up are the gap. HubSpot fits when a sales team works high-ticket consults. This guide gives a decision tree by clinic size, type and need, with prices from each vendor's own page.
Part of the guide: GoHighLevel expert for med spas
Key takeaways
- Most med spas need a med spa platform first and a CRM layer second. Boulevard, Mangomint, Pabau and Vagaro list booking, forms or charting and payments on their own pages, which a marketing CRM does not provide.
- Prices from vendor pages on 2026-10-15: Mangomint $120 per location plus $10 per user; Boulevard Essentials $143, Premier $234 and Prestige $328 (the last two at a limited-time price); Vagaro $23.99 for the first 6 months of one location plus $10 per bookable calendar; Pabau and Zenoti publish no dollar prices.
- GoHighLevel is $97, $297 or $497 a month, plus $297 a month if you need HIPAA, plus metered texting and calling. It is the best fit when inquiries and lapsed clients are the leak, and a poor fit as the clinical record.
- HubSpot has a free tier for up to 2 users and a BAA path for PHI in its legal catalog, but it is a general CRM. It suits a med spa with a consult sales team, not a treatment-room schedule.
- Whether HIPAA applies to a cash-pay med spa is a legal question (45 CFR 160.103). Ask a healthcare attorney before you pay for compliance features you may not need, or skip ones you do.
The problem this page solves: you are choosing the best CRM for med spas and every vendor calls itself that. Some of them are not CRMs at all, and one of the most-searched options was not built for a treatment room. This guide sorts them by the job they do, then walks you through a decision tree by clinic size, type and need. It is part of our GoHighLevel expert for med spas guide, and it is written as a buyer’s guide, not a pitch for one tool.
Prices and features were read from each vendor’s own page on 2026-10-15. Vendors change plans often, so treat every number as a snapshot and get a written quote.
What is the best CRM for med spas?
The best CRM for a med spa is usually the med spa platform that already holds your schedule, client record and payments, with a marketing CRM added only for a gap it cannot fill. “CRM” means two different things in this market. Boulevard, Mangomint, Zenoti, Pabau and Vagaro are practice-management platforms with client records and marketing built in. GoHighLevel and HubSpot are marketing and sales CRMs that manage leads and communication.
| If your biggest problem is | Start with | Why |
|---|---|---|
| Double-booked rooms, forms scattered, no client chart | A med spa platform | Booking, forms or charting and payments live in one record |
| Inquiries from ads or Instagram sit unanswered | A med spa platform, then GoHighLevel if its texting is not enough | A lead pipeline and missed-call text-back are CRM jobs |
| Clients who had one treatment never return | Your platform’s campaigns first | Test built-in flows before paying for a second tool |
| A consult team closes high-ticket packages | HubSpot or GoHighLevel beside the platform | Deal stages and sales follow-up are CRM jobs |
| Several locations, one brand | Enterprise-capable platform (Zenoti, Boulevard Enterprise, Pabau Enterprise) | Vendors list multi-location plans, usually by quote |
How do the main med spa platforms compare?
Seven options, each described only from its own page. Where a page does not say, the cell says so rather than guessing.
| Platform | What the page says it is | Price shown 2026-10-15 | HIPAA on the page |
|---|---|---|---|
| Mangomint | Booking, payments, memberships, forms and charting, campaigns, retail, staff management in one price | $120 per location plus $10 per user per month; phone $70 per line; marketing from $30 | Not on the pricing page |
| Boulevard | Plans by provider count; Forms and ePrescribe as add-ons | Essentials $143 (up to 5 calendars), Premier $234 and Prestige $328 (limited-time, listed normal $293 and $410), Enterprise by quote | Lists HIPAA compliance; BAA not mentioned |
| Zenoti | Operations, POS, memberships, marketing automation and AI agents for spas and medspas | Quote only | Not on the pricing page |
| Pabau | Scheduling, patient portal, digital records, forms, photos, payments, marketing | Priced by user count, no dollar amounts shown | Lists HIPAA compliance |
| Vagaro | Calendar, SOAP notes, memberships, packages, inventory, online booking | $23.99 a month for one location (6-month rate, standard $30) plus $10 per bookable calendar up to seven | Says independently audited for HIPAA standards |
| GoHighLevel | CRM, funnels, texting, calendars, workflows | $97, $297 or $497 a month; HIPAA add-on $297 a month; usage metered | Add-on with BAA, not compliant by default |
| HubSpot | General CRM with a free tier | Sales Hub free for 2 users; seats from $7 (Starter) to $90 (Professional, $1,500 onboarding) | BAA path in legal catalog |
What each vendor’s page says in more detail
Mangomint. The pricing page lists Forms and Charting, memberships and packages, gift cards, retail and inventory, automated flows and campaigns in the base price. Its FAQ says unlimited text and email appointment confirmations and reminders are included. Two-way calling and texting need the Phone add-on at $70 a month per line. Payment processing is listed at 2.45% plus 15 cents in person and 2.90% plus 30 cents virtual.
Boulevard. Essentials covers up to 5 bookable calendars with 250 free texts. Premier removes the provider cap. Prestige adds Forms and 2,500 free texts. Messages and text marketing are billed by use, automated campaigns are free to send, and extra emails cost $0.01 each after the included 1,000 or 10,000. ePrescribe is $45 per prescriber and the page says it supports EPCS-compliant prescribing.
Zenoti. No prices are published. The page lists scheduling, payroll and commissions, inventory, POS, memberships, marketing automation and an AI phone line, and names medspas among its target customers. Communication costs are billed on consumption. We saw no HIPAA statement on that page, so ask for it.
Pabau. Plans run Solo (1 user) through Enterprise (16 or more), each with unlimited patients. The page lists a patient portal, digital records, forms, photos, two-way SMS and marketing tools in every plan, with add-ons for advanced marketing, care workflows and AI. The page does not use the word charting, so confirm charting depth in a demo.
Vagaro. One-location pricing is $23.99 a month for the first 6 months, then $30, plus $10 per bookable calendar up to seven. Included: SOAP notes, memberships, packages, inventory, unlimited reminders, 1,000 free emails and online booking. Forms and email and text marketing sit under “More tools” without prices, so confirm what is included.
HubSpot. The pricing page lists a free tier for up to 2 users, Starter at $7 per seat, Professional at $90 and Enterprise at $150, with required one-time onboarding of $1,500 for Professional and $3,500 for Enterprise. HubSpot’s legal catalog also prices Starter Core Seats at $20 a month. Our HubSpot pricing and limits page tables seats, workflow caps and API limits. The head-to-head with GoHighLevel for this industry is in GoHighLevel vs HubSpot for med spas.
GoHighLevel. Plans and the HIPAA add-on are on HighLevel’s pricing and support pages. Full fit, cost and setup detail is on GoHighLevel for med spas, so this page does not repeat it.
Which CRM should a med spa choose? A decision tree
Answer in order and stop at the first line that matches.
- Do you have no booking and charting system today (or paper charts)? Choose a med spa platform first. Shortlist Mangomint, Boulevard, Pabau, Vagaro and Zenoti, and ask each for a demo with your own treatment menu. Do not add a CRM yet.
- Do you already have one, and inquiries are slow to get answered? Test the platform’s own texting and campaigns for 30 days. If response time is still the gap, add GoHighLevel for missed-call text-back and a lead pipeline.
- Is your gap lapsed clients? Pull a list of clients with no visit in 6 months from your platform. If its campaigns can message them, you may not need a CRM. If you need multi-step branching, add one.
- Do you sell high-ticket packages through consultations with a sales owner? HubSpot or GoHighLevel can hold the deal pipeline. Choose by who will live in it: a seat-priced CRM for a small team, or a flat-fee tool when many staff need access.
- Do you run three or more locations? Start with enterprise plans from Zenoti, Boulevard or Pabau and ask how reporting and client records span sites. Add a CRM only for a lead pipeline across locations.
- Is HIPAA status unclear? Settle that first with counsel, because it changes which vendors and add-ons you need. See the HIPAA section below.
The same tree by clinic type
| Clinic | Typical best fit | Add a CRM layer when |
|---|---|---|
| Solo injector or one-room studio | One platform with booking, forms and payments (Vagaro, Mangomint) | Ad spend produces more inquiries than you can answer |
| Single-location med spa with 3 to 8 staff | Mangomint, Boulevard, Pabau or Vagaro | You want funnels, a lead pipeline or deeper follow-up logic |
| Med spa inside a physician practice | A platform that supports the clinical record the practice requires | You separate marketing from the chart |
| Multi-location group | Zenoti, Boulevard Enterprise or Pabau Enterprise (quote) | You centralize leads across sites |
| Wellness, IV or weight-loss clinic with refill cycles | Platform with memberships and recurring visits | Recall and reactivation need more than the platform’s flows |
These are decision aids from how the products describe themselves, not results from tested clinics. Judgment, not a sourced rule: choose the platform that holds the schedule and chart first, since moving a client record later costs more than adding a CRM layer.
What does each option cost for a small med spa?
A 4-user, 1-location example from vendor pages, licenses only. This is illustrative arithmetic, not a quote.
The bars are not like for like. A $394 HIPAA-ready GoHighLevel account has no charting, while the platforms in the chart list booking and records. The fair comparison is the combined stack you would run, which is why many owners price “platform alone” against “platform plus CRM.”
Does HIPAA change the choice?
It can. HHS says the HIPAA Rules apply to covered entities and business associates, and that an entity which meets neither definition does not have to comply (HHS, Covered Entities and Business Associates). A health care provider is a covered entity under 45 CFR 160.103 when it transmits health information electronically in connection with a standard transaction such as an insurance claim. A purely cash-pay med spa may or may not meet that. State privacy and medical-board rules apply either way, and this page is not legal advice.
If counsel says you are covered, you need a BAA with every vendor that handles patient data. What the sources say today:
| Vendor | What its own page says about HIPAA |
|---|---|
| HighLevel | Not compliant by default. A $297 a month add-on enables a BAA, encryption, audit logging and MFA enforcement, cannot be disabled once bought, and HIPAA must be switched on per sub-account in Advanced Settings (help article, checked 2026-10-15) |
| HubSpot | Catalog lists PHI under HIPAA as permitted sensitive data; you accept the BAA in account configuration; not available in all areas; the BAA covers only services HubSpot has authorized for PHI |
| Boulevard | Lists HIPAA compliance; the BAA is not mentioned, so ask |
| Pabau | Lists HIPAA compliance and links to a compliance page |
| Vagaro | Says it is independently audited for HIPAA standards, among others |
| Mangomint, Zenoti | No HIPAA statement on the pricing pages we read; ask for their BAA terms |
“HIPAA compliant” on a marketing page is not a BAA. Ask for the agreement itself and which features it covers. The deeper treatment for GoHighLevel is in Is GoHighLevel HIPAA compliant. For how a clinical system (an EMR, the electronic medical record) and a marketing CRM split patient records, read med spa EMR vs CRM.
How do you evaluate a vendor before you buy?
Run the same five-step test on every shortlisted tool.
- Write your top five jobs as sentences, such as “text a client when a membership payment fails.”
- Ask for a demo using your treatment menu, not the vendor’s.
- Get a written quote with provider count, locations, add-ons (forms, phone, marketing, ePrescribe) and processing rates.
- Ask three data questions: can I export my client list, forms and notes, who owns each field, and what happens at cancellation. Note that the HighLevel HIPAA add-on cannot be cancelled once enabled.
- Ask for the BAA if counsel says you need one, and which features it covers.
Where does GoHighLevel fit in this field?
GoHighLevel is the right layer when your leak is before the first booking or after the last visit. It is the wrong layer for the treatment room. Our page on GoHighLevel for med spas has the capability table against Boulevard and Mangomint, the HIPAA steps and a break-even calculation. If you run Zenoti, see Zenoti vs GoHighLevel. If you plan to connect a booking platform to GoHighLevel, the med spa booking software integration page covers sync options. For a person to build and audit it, our GoHighLevel expert for med spas page explains what to ask for, and you can reach aibrevo through GoHighLevel services or contact.
Founder’s note, Alpit Patel. I get asked which CRM is best before the owner knows what problem they are buying for. I’d decide which problem you are buying for before you compare a single tool. The best fit is usually the platform that already holds the schedule, client record and payments, with a marketing CRM added only for a gap it cannot fill. GoHighLevel earns its place when the leak is before the first booking or after the last visit. It is the wrong layer for the treatment room. Run the same test on every shortlisted tool so the comparison stays fair. - GoHighLevel vs HubSpot for Med Spas: Which Fits Which Clinic Blog
In GoHighLevel vs HubSpot for med spas, the choice is usually not either-or, because neither GoHighLevel nor HubSpot books treatments or charts them. GoHighLevel fits a spa whose leak is inquiries, texting and lapsed clients. HubSpot fits a spa with a consult sales team that needs deal tracking and reporting. Below: prices, HIPAA paths and a decision table from each vendor's own pages. - Med Spa EMR vs CRM: What Each One Does and Who Owns Which Record Blog
Med spa EMR vs CRM comes down to two jobs. An EMR or practice-management system holds the clinical and financial record: charts, consents, treatment notes, photos, payments. A CRM holds the relationship record: who inquired, how to reach them, what you sent and where they stand in your pipeline. They overlap on contact details and appointments, so pick one system to own each field. Below is a who-owns-which-record table.
