How Do You Export Contacts from Redtail CRM?
Quick answer
In Redtail CRM, select contacts in Contacts or Advanced Search, open Contact Options and choose Exports (a default template) or Custom Exports (your own field list). Small exports download as a CSV for Excel, large ones go to Manage Your Downloads. A full database backup is an admin-only request.
Key takeaways
- Redtail has three ways out: a default export from Contact Options > Exports, a Custom Export built from your own field list, and a full database backup that only an Admin user can request from Manage Your Account.
- Default exports include Default Settings, Email Addresses, Phone Numbers and Primary Addresses, plus templates written for other vendors' software such as Outlook, Laser App and Send Out Cards. Each downloads as a CSV that opens in Excel.
- Custom Export Templates live under Manage Your Account. You name the template, tick the fields, drag them into column order and run it from Contact Options > Custom Exports on any selected group.
- The backup route is the one used for migrations. Wealthbox's guide lists contact details with User Defined Fields, notes and comments, activities, opportunities, seminars and manually tracked accounts as migratable from it, and says only an Admin User can request it.
- Redtail's support pages render only in a browser, so we could not load the article text directly. Steps here come from search-returned article text, a Redtail blog post and Wealthbox's migration article, and need checking against your own menus.
To export contacts from Redtail CRM, select them in Contacts or Advanced Search, open Contact Options and choose Exports. Pick a template and run it, and a CSV opens in Excel. For your own list of fields use Custom Exports, and for the whole database an Admin User requests a database backup from Manage Your Account.
A note on sources: Redtail’s support site (support.redtailtechnology.com) renders only in a browser, so the tools we used could not load the article text. The steps below come from article text returned by search, Redtail’s blog post on custom export templates (which loaded) and Wealthbox’s migration article (which loaded). Check each menu name against your own Redtail screen. All checked October 22, 2026.
Which Redtail export method should you use?
The right route depends on whether you need fields, a bulk edit or a full migration.
| You want | Method | Who can do it | Output |
|---|---|---|---|
| A quick list of emails, phones or addresses | Contact Options > Exports, default template | Permissions not stated in the article | CSV, opens in Excel |
| Exactly the fields you choose, for any group | Custom Export Template, then Contact Options > Custom Exports | Permissions not stated; templates are set up under Manage Your Account | CSV, opens in Excel |
| Data prepared for Outlook, Laser App, Send Out Cards and similar | A vendor-format default export | Permissions not stated | CSV in that vendor’s layout |
| Everything, including notes, activities and opportunities, to migrate | Request database backup | Admin User only | Zip file |
| Bulk edits to existing contacts | Custom export, edit, email import@redtailtechnology.com | Permissions not stated, then Redtail’s team | Secure upload link from Redtail |

How do you export selected contacts in Redtail?
Start in the Contacts section on the left side navigation, and follow the bulk-export steps in Redtail’s support article.
- Find the contacts from Favorites or Contact A-Z, or run an Advanced Search.
- Tick checkboxes beside the names, or click the Select all # contacts link. The Contact Options menu above the results becomes available.
- Choose Exports to open the Contact Exports box, which lists the default exports.
- Pick a template and run it. A small export downloads to your computer as a CSV. A large one may be sent to Manage Your Downloads instead.
The default list includes Default Settings, Email Addresses, Phone Numbers and Primary Addresses. Some templates, such as e-Relationship, Forefield Advisor, Laser App, Outlook, Power Advisor, Send Out Cards and Stamps.com, are formatted for importing into another vendor’s software, so use them only when that vendor is the destination.
Two cautions from the same article. The text mentions that the select-all link may select only the contacts visible on screen at the time you tick it (it gives 150 as the number), so check the selected count before you run the export. It also gives 200 as a figure tied to the download option, but the wording we saw does not make clear what the 200 limits, so we do not state a cap. If your list is large, expect to collect the file from Manage Your Downloads.
How do you build a custom export in Redtail?
Use a Custom Export Template when no default has the fields you need. Redtail’s blog post gives the steps.
- Click your name in the top right menu and choose Manage Your Account.
- In the Manage Templates area, click Custom Export Templates.
- Click New, then enter a Custom Export Name. The template will not save without one.
- Select the fields to include. Each section has a Select menu for choosing All or None.
- Click Save, drag the fields into your preferred column order, and click Save again. The template is then available to your office.
To run it, put the group of contacts on the Advanced Search page (from a Quicklist, a Tag Group, a new search or results sent from another report), select the people, click Custom Exports from Contact Options, choose the template in the Export Contacts box and click Run Custom Export. The post does not list the available fields and states no limits on fields, templates or contacts per export.
To edit a template, open its Actions menu on the Custom Export Templates page and click Edit.
How do you back up or export the whole Redtail database?
Only an Admin User in Redtail can request the full database backup. Wealthbox’s migration article lists the steps:
- Go to Manage Your Account.
- In the Admins Only section, click Dropbox files and Database Backups.
- Click Request database backup in the top right corner.
- When it finishes, a link to the zip file appears on the same screen. Refresh if it does not.
- Download the zip without extracting it.
Wealthbox says its migration brings across contact details including User Defined Fields, notes and comments, activities (future occurrences of recurring activities are not imported), opportunities, seminars and manually tracked accounts such as policies and annuities. Multi-user firms must also send Redtail user names and IDs, since the backup does not contain them. That list describes what Wealthbox imports, not a full inventory of what the backup holds, so ask Redtail if you need something else, such as documents or email history.
What do you do with the export once you have it?
Treat the file as client data. It holds names, emails, phones and addresses for people your firm has a duty to protect, so store it in an access-controlled location and delete stray downloads. Our CRM data migration security checklist covers handling, and CRM data cleaning before migration covers fixing duplicate and malformed rows before you load the file anywhere. Our export guide for 8 CRMs shows how other systems compare. If duplicates are the problem, read how to merge contacts in Redtail first.
Why does a Redtail export show duplicate rows?
Most often the contact is not duplicated at all. Redtail’s duplicate-records article describes duplicate lines in exports and mail merges caused by two entries of the same phone, address or email type on one contact, which you fix by changing one entry’s type. If two separate records exist for the same person, combine them. Our comparison of Wealthbox Pro and Premier is the next read if you are choosing where the data goes.
When to get help
A contact list for a mailing is a self-serve job. Get help when you are moving a practice off Redtail and need contacts, notes, activities and opportunities mapped to a new system, when user IDs and ownership must carry over, or when compliance rules govern what you keep. aibrevo implements Salesforce, HubSpot, Dynamics 365, Zoho CRM, Pipedrive, monday.com, Airtable and GoHighLevel, and quotes Redtail work per project, so migration into one of those eight is the usual request. You can book a short call or send a message, and the HubSpot service page describes how a migration is scoped. For an advisor-focused view of the alternatives, see GoHighLevel for financial advisors.
