Med Spa No-Show Deposits and Cancellation Fees in GoHighLevel

For med spa no show deposits, GoHighLevel can take a deposit at booking (flat or percentage) or save a card on file without charging it. The balance becomes a draft invoice staff must send, and no document we opened describes an automatic no-show fee. Disclose the policy before you save the card, per Stripe's guidance.

Part of the guide: GoHighLevel memberships and packages for med spas

Key takeaways

  • Calendar payments offer two card options at booking: Charge upfront, or Collect Card on File, which saves the card without charging and creates no payment transaction.
  • With partial payment on, you set a flat amount or a percentage as the deposit. The remainder is a draft invoice staff send manually from Payments > Invoices, and the client is not notified of it.
  • HighLevel gives you a No-show appointment status and a trigger for it, but no document we opened describes an automatic no-show charge. The fee decision and the collection are staff steps.
  • Stripe says you are responsible for compliance when saving a card, and your terms should state the agreement, timing, amount and cancellation policy, with a record kept. Stripe's dispute categories include no-show codes for Mastercard and American Express.
  • A coupon that reduces a calendar charge to $0 skips card collection, so a 100% coupon can leave you with no card on file.

The problem: a med spa loses a treatment room for an hour when a client does not show, and wants no-show deposits or a card on file to secure the booking or a card on file without surprising anyone. GoHighLevel handles the money capture at booking well. It does not run the policy for you. This post separates what is built in from what staff must do, and covers what to disclose first. It sits under GoHighLevel memberships and packages for med spas and the setup for med spas service page. For the reminder side, which prevents many no-shows, read the appointment reminder and no-show workflow guide rather than a repeat here.

Checked on October 15, 2026 against HighLevel’s calendar payments, deposit, appointment payments tab and workflow articles, and Stripe’s save-and-reuse, card hold and dispute category documentation. The HighLevel articles did not show a last-updated date in the text we read, and one of them describes an older deposit feature, so confirm screens in your account.

What are the ways to secure a med spa booking in GoHighLevel?

Method What the client pays at booking What you hold Fits
Charge upfront The full configured amount Paid in full, transaction created Low-ticket services, consultations with a fee
Partial payment (deposit) A flat amount or percentage Deposit paid, remaining balance as a draft invoice High-ticket treatments
Collect Card on File Nothing A saved card, no transaction Policy-based no-show or late-cancel fee
Card hold (authorization) A temporary hold Not a GoHighLevel calendar option we found Rarely fits future bookings

HighLevel’s calendar payments article describes the first and third. Its partial payment article describes the second. Pick one policy per treatment type. A consultation and a laser package should not share the same rule.

How do you set up med spa no-show deposits at booking?

  1. Connect a payment processor under Payments > Integrations. With more than one gateway, HighLevel says only the default gateway collects calendar payments.
  2. Open the calendar settings, go to Forms & Payments and turn on Accept Payments.
  3. Enter the total amount, currency and description, and choose Test or Live mode.
  4. Tick Accept Partial Payment, choose Flat Amount or Percentage, and enter the deposit.
  5. Save, then book a test appointment with a test card.

Limits from HighLevel’s pages: partial payments do not work with recurring calendars, and some gateways (Razorpay, NMI, Square) are not supported for the Classic Widget and Service menu. The calendar article lists PayPal among the six calendar gateways, while the provider table marks calendars and services as not supported for PayPal. HighLevel’s own pages disagree, so test PayPal in your account or use Stripe.

What happens to the balance. Two entries appear in Payments: a transaction for the deposit and an invoice for the remainder, which stays in draft. Staff must send it from Payments > Invoices, and HighLevel’s FAQ says the booker is not notified about it. The Payments tab article shows a remaining balance in the appointment modal and a Collect Payment button with Charge a Card and Record Manually options, so the front desk can settle it at check-in.

Illustrative arithmetic. A $400 treatment with a 25% deposit takes $100 at booking and leaves a $300 draft invoice. If the client does not show, the $100 is what your policy says it is: retained, credited or refunded. Write that down before launch. The numbers are an example, not a recommended deposit.

How do you save a card on file without charging?

Turn on Collect Card on File in the calendar’s payment settings. HighLevel says the client provides card details during booking, the card is saved for future use, she is not charged, and no payment transaction is created. Three behaviors to know:

  • If you choose Charge upfront and a coupon reduces the amount to $0, card collection is skipped. A 100% promotion on a consultation can therefore leave you with no card on file.
  • HighLevel’s cards on file article says it does not store card data; it fetches the last digits and expiry from the provider, and deleting a card is done through the provider.
  • Saved cards can show as options when staff create payment records for the contact, such as invoices and in-person charges, per the same article.

Does GoHighLevel charge no-show fees automatically?

Not in any document we opened. What exists:

  • A No-show status and trigger. HighLevel’s Appointment Status trigger fires when a status changes, including No-show, and can enroll the primary contact, guests or both.
  • A Send Invoice action. HighLevel’s workflow actions list includes Send Invoice, which sends an invoice built in HighLevel.
  • A Stripe One Time Charge action. It needs a Stripe Customer ID, an amount, a description and a currency, per its help article. It does not take a contact’s saved card by itself. Test it end to end before relying on it.

A conservative design (judgment, not a HighLevel feature):

  1. Front desk marks the appointment No-show. It is a human decision, so edge cases like a client who called late get handled.
  2. The No-show trigger creates a task for the manager with the client, treatment and policy fee, and sends a neutral text.
  3. The manager approves, and staff charge the card from the appointment’s Payments tab or send an invoice.
  4. The workflow adds a note recording who approved and when.

Automating the charge itself is possible, but it moves a disputable decision to a trigger. For most spas the manual approval costs a minute and avoids the worst refund conversations.

What must you disclose before saving a card for a fee?

Stripe’s save and reuse guide is the processor-side source. It says you are responsible for compliance with applicable laws and network rules when saving payment details. It says you can use a saved method only for the usage in your terms, and recommends an explicit consent checkbox. To charge a customer who is not present, it says your terms should include her agreement to you initiating payments, the anticipated timing and frequency, the amount or how it is determined, and your cancellation policy, and that you keep a record of the written agreement.

For a no-show policy, that translates into a block on the booking page, before the card field:

  • The fee amount (or how it is calculated) and what triggers it, such as cancellation inside a stated window or not showing up.
  • That the card on file will be charged, and roughly when.
  • How to cancel or reschedule and by when, and how to contact you.
  • A checkbox the client ticks, with the form submission stored on her contact record.

No primary state source on cancellation or late fees was opened for this post, so it does not summarize state rules. Fee limits and disclosure requirements vary by state and by the services provided, so have counsel review the wording. This is not legal advice.

Can a client dispute a no-show charge?

Yes, and card networks have categories for it. Stripe’s dispute categories page lists, under Mastercard, code 4859 Addendum, No-show, or ATM Dispute, and under American Express, code C18 No Show or CARDeposit Canceled. We did not open the network rule books, so we cannot say how a med spa’s fee would be judged under them. What helps in any dispute is the same evidence: the policy the client saw, her recorded agreement, the booking record, the appointment status and the reminders you sent.

Refunds for calendar payments are handled in Payments > Transactions where the provider supports it, per HighLevel’s Subscriptions page article, which describes refunds as handled there. If your policy retains deposits, say so at booking, because the deposit looks like a charge when she sees it on her statement. Set a recognizable statement descriptor on the product.

Should you place a hold instead of saving the card?

Rarely. Stripe’s card hold documentation says an authorization must be captured before it expires, and for card payments the hold is typically 7 days online, with extended authorization only for certain eligible payments. A hold fits a same-week appointment. For a booking three weeks out, a deposit or a saved card with consent is the realistic choice. HighLevel’s calendar settings, as we read them, offer upfront charge, deposit and card on file rather than holds.

What should the front desk do on the day?

Keep this short, written and rehearsed:

  1. At check-in, open the appointment’s Payments tab and collect the remaining balance (Charge a Card or Record Manually).
  2. If the client does not arrive, wait the window in your policy, then mark No-show.
  3. Let the No-show workflow create the manager task and send the neutral follow-up. Keep treatment details out of the message; our HIPAA FAQ explains why wording matters.
  4. After approval, charge or invoice, and add the note.
  5. If the client calls to dispute, offer the rebooking link first. Our calendar booking setup guide covers the booking page and reschedule link.

Who should set this up?

The calendar deposit is a small job. The policy text, the approval workflow and the testing across processors are where a build earns its fee. It is part of a med spa build in GoHighLevel setup for med spas, and for your account, start at the GoHighLevel service page.

Founder’s note, Alpit Patel. I see no-show fees fired automatically and then disputed. Write the fee policy first, including what happens to a retained deposit. The software captures the money. It does not run the policy. I’d keep the no-show charge behind a manager approval step, because a disputable decision should not sit behind a trigger. Switch on Collect Card on File for any 100% promotion, since a coupon that drops a charge-upfront amount to $0 skips card collection. FAQs

Can GoHighLevel charge a no-show fee automatically?

No document we opened describes an automatic no-show charge. HighLevel provides a No-show appointment status and a workflow trigger for it, so you can alert staff or send an invoice. Charging the saved card or collecting the fee stays a deliberate step by your team under your written policy.

How do I take med spa no show deposits at booking in GoHighLevel?

In the calendar's settings, turn on Accept Payments, enter the total amount and currency, tick Accept Partial Payment and choose a flat amount or a percentage as the deposit. The deposit is charged at booking, and the rest appears as a draft invoice in Payments, Invoices for staff to send.

Can I save a card at booking without charging it?

Yes. Enable Collect Card on File in the calendar's payment settings. The client enters card details during booking, the card is saved for future use, she is not charged, and no payment transaction is created. This suits a no-show policy but you must disclose the policy before saving the card.

Does GoHighLevel remind clients to pay the balance after a deposit?

No. HighLevel's deposit article says bookers are not notified about the pending payment, and the invoice stays in draft until staff collect it. Build a reminder workflow or have staff collect payment from the appointment's Payments tab when the client arrives.

What must a med spa disclose before charging a cancellation or no-show fee?

At minimum, show the policy and the fee before payment details are saved and keep a record of agreement. Stripe's guidance says your terms should cover the customer's agreement to future charges, expected timing, the amount and any cancellation policy. State laws on cancellation fees vary, so have counsel review the wording.

Can a client dispute a no-show charge?

Yes. Stripe's dispute categories list no-show codes for Mastercard and American Express, which shows card networks recognize them. Keep the signed or checked agreement, the booking record and the appointment status. A clear policy shown before the card was saved is your main evidence.

Can I place a hold on the card instead of saving it?

A hold is an authorization that expires. Stripe's documentation says card holds are typically 7 days for online payments, so it does not fit appointments booked weeks out. A saved card with clear consent, or a deposit, is the usual fit for far-out bookings.

Will a coupon affect the deposit or card collection?

It can. HighLevel says that if a coupon reduces a Charge upfront calendar amount to $0, card collection and payment are skipped. If you run a 100% promotion on consultations, switch on Collect Card on File so you still capture a card.
