Med Spa GoHighLevel Reminders Wrong Time Zone? Check These 5 Settings
Med spa GoHighLevel reminders wrong time zone problems usually trace to one of five settings: the workflow Timezone (Account or Contact), the location time zone in Business Profile, the contact time zone shown in the booking widget, the Set Event Start Date action, or the Time Window. This guide shows each, how to confirm it and when to get an expert.
Part of the guide: GoHighLevel audit and fix for med spas
Key takeaways
- Five settings can move a reminder: the workflow Timezone, the location Time Zone in Business Profile, the contact time zone choice in the booking widget, the Set Event Start Date/Time action, and the Time Window. Check them in that order.
- HighLevel says a workflow's Timezone can be Account or Contact, applies to the whole workflow, not single steps, and falls back to the account time zone for contacts with none.
- By default contacts can change the time zone in the booking widget. With Disable Contact Timezone ticked in Business Profile, bookings use the location time zone.
- The Set Event Start Date/Time action uses the account time zone by default, even if the workflow is set to respect contact time zones, per HighLevel.
- View Appointments In only changes how a staff member sees times. HighLevel says it does not affect booking or reminder logic, so it is not the cause.
Your client booked for 2:00 pm and the reminder text said 5:00 pm, or the “see you tomorrow” message landed an hour after the appointment. In GoHighLevel that is almost always a time zone setting, and there are five places it can hide. If your med spa GoHighLevel reminders have the wrong time zone, start here. This guide goes through each one in the order to check them, with the menu path, how to confirm the cause and when to hand it to someone. It is part of aibrevo’s GoHighLevel audit and fix for med spas guide under GoHighLevel expert for med spas.
The problem on this page: reminders and confirmations show or send at the wrong time, and you need to find which setting does it. The build itself, meaning triggers, cadence and no-show recovery, is in the appointment reminder and no-show workflow guide, so it is not repeated here.
Med spa GoHighLevel reminders wrong time zone: which settings can move a reminder?
Five settings. The table lists each with where it lives and what it changes, so you can test them one at a time.
| # | Setting | Where | What it controls | Source |
|---|---|---|---|---|
| 1 | Workflow Timezone (Account or Contact) | Automation, Workflows, open the workflow, Settings tab | When time-based steps run, for the whole workflow | HighLevel Workflow Settings overview |
| 2 | Location Time Zone | Settings, Business Profile, Time Zone field | The account time zone that workflows and bookings fall back to | HighLevel Disable Contact Timezone article |
| 3 | Contact time zone in the booking widget | Settings, Business Profile, General, Disable Contact Timezone | Whether clients can change the zone when booking | Same article |
| 4 | Set Event Start Date/Time action | Inside a workflow | The date and time you set for the event | HighLevel Set Event Start Date article |
| 5 | Time Window | Workflow Settings tab, Communication Settings (or Advance Window in a Wait step) | Hours when texts and emails may send | Workflow Settings overview, Wait action article |
Settings 1 and 2 are the usual culprits for a med spa that has one location. Setting 3 matters for clients who travel or book from another zone. Setting 4 and 5 appear when you built the reminder by hand.
Is the workflow set to Account or Contact Timezone?
Open the workflow, click the Settings tab and read the Timezone dropdown. HighLevel’s Workflow Settings overview says the dropdown sets the time zone for any time-dependent steps. With Account Timezone, time-based actions run on the location’s time zone. With Contact Timezone, they run on each contact’s own time zone. If a contact has no time zone in their profile, the account time zone is used. The setting applies to the whole workflow and not to individual steps.
For a med spa the practical rule is simple. A visit happens at your location, so a reminder timed to the appointment should follow the location. Contact Timezone suits campaigns timed to the client’s own morning, such as a recall text sent at 10 am where the client lives. If your reminders are wrong and the workflow is set to Contact Timezone, many contacts probably have no time zone saved, or have a wrong one. Open a contact and check its time zone field.
Fix: set the reminder workflow to Account Timezone if every appointment is in person at one location, and keep Contact Timezone for recall and marketing sequences. Save and publish. HighLevel does not say how contacts already in the workflow are treated, so confirm with a new test contact.
Is the location Time Zone correct?
Open Settings, then Business Profile, and find the Time Zone field on the right, under Business Physical Address. HighLevel’s article calls the sub-account time zone the one used for booking when contact time zones are disabled, and the workflow falls back to it for contacts without a zone. A location created from a snapshot, or opened by an agency in another zone, can carry the wrong value without anyone noticing. If you have locations in more than one time zone, each location needs its own correct value in its own account.
Fix: correct the Time Zone field, then test a new booking. Check old scheduled reminders for already booked clients too, since they may have been timed under the old value.
Are clients choosing a different time zone when they book?
By default they can. HighLevel’s article says that with the contact time zone enabled, contacts can change the time zone for their appointment in the calendar widget. Its example: a New York contact booking 5 pm with a San Francisco business. With the contact time zone disabled, the appointment is created for 5 pm Pacific. With it enabled and the contact choosing Eastern, the booking is created in their zone and your team sees a different local time. That is how a visitor from out of town ends up with a confirmation that says one time while your calendar says another.
Fix: go to Settings, Business Profile, scroll to the General section and tick Disable Contact Timezone. The dropdown disappears from the calendar widget and bookings use the location time zone. For a spa where every treatment is in person, this is usually the right choice. It is not right if you offer virtual consultations to clients in other zones, in which case keep it on and make sure the confirmation states the zone.
Does the Set Event Start Date/Time action pull the account time zone?
If you used it, yes. HighLevel’s article says that even if the workflow settings are set to respect contact time zones, this action uses your account’s time zone by default, regardless of the contact’s time zone, and that this is specific to this action. A workflow that mixes Contact Timezone on the Settings tab with this action can therefore run two different clocks. Check whether your workflow contains it, and make the two agree.
Is the Time Window pausing the send?
Open the workflow Settings tab and look at Time Window. HighLevel says it restricts when communication actions, such as a text or email, can execute. If an action is due outside the window, it is paused and resumes at the next available time slot. That is correct behavior and the cause of many late reminders: a same-day reminder due at 7 pm with a window ending at 6 pm waits until the next window, which may be after the appointment.
Wait steps have a related option. For a wait tied to an upcoming appointment, HighLevel offers options for a date that has already passed, including skipping outbound communication until the next wait or event-start action. A booking made two hours before the visit has no “24 hours before” moment left, so choose skip rather than send a stale message. The Wait action article does not say which time zone an Advance Window uses, so test it instead of assuming.
Fix: widen the window for appointment reminders or exclude them, and set the past-date option on each reminder wait.
What about quiet hours?
The documented controls are the workflow Time Window and, for bulk sends from Contacts, the Process Between option under Send in Drip Mode, which HighLevel says respects the account time zone and defers messages outside the window or to contacts on DND to the next valid batch. We did not find an account-wide quiet-hours setting in the help articles opened on 2026-10-15, so I will not describe one. Your state’s rules on texting hours are a legal question, so ask a healthcare attorney and then set the window to match.
Is it the staff display, not the reminder?
Sometimes the reminder is right and a staff member’s calendar looks off. Calendar Settings, then Preferences, has View Appointments In. HighLevel describes it as a display setting for the logged-in user that changes how times appear in Calendar View, the Appointment List, Contacts and Conversations. It does not affect availability, booking, scheduling or confirmation and reminder logic. If one person sees different times from another, check that preference before touching workflows.
How do you confirm which setting is the cause?
Use one test contact and change one thing at a time.
- Create a contact with a time zone that differs from your location by at least two hours, using your own phone number.
- Book a test appointment through the same calendar link clients use, then book a second one by hand as staff.
- Open the workflow’s Enrollment History and Execution Logs for that contact. HighLevel records whether each action used the Account or Contact time zone, and the timestamps show when each step is scheduled.
- Compare the scheduled time with the appointment time in the location’s zone.
- Change one setting from the table, book a new test and compare again. Stop when the times line up.
| What you see | Most likely setting | First fix |
|---|---|---|
| Confirmation shows a different time from your calendar | Contact time zone in the booking widget | Disable Contact Timezone |
| Reminders off by the same number of hours for everyone | Location Time Zone | Correct the Business Profile field |
| Reminders right for some clients and wrong for others | Workflow set to Contact Timezone, missing or wrong contact zones | Switch to Account Timezone, or fix contact zones |
| Reminder arrives after the visit | Time Window or past-date wait option | Widen the window, choose skip on the wait |
| Only staff see odd times | View Appointments In | Change the preference |
When should you get an expert?
Get help when the test does not isolate one setting, when you have locations in more than one time zone, when old booked clients already carry wrong scheduled reminders, or when the workflow is tangled with others. Reminder faults often sit next to others, so an audit of the account is usually faster than a one-off fix. If reminders also arrive twice, read duplicate messages, and if a workflow never starts, read workflow not triggering. If texts do not arrive at all, see SMS error codes. To have it fixed and tested, see GoHighLevel audit and fix for med spas or the implementation service.
Founder’s note, Alpit Patel. Reminders going out at the wrong time is one of the most common things I get asked about. Change one setting at a time, and test with a contact set to a different time zone. Check the workflow Timezone and the location Time Zone first. If every visit is in person at one location, Account Timezone and Disable Contact Timezone fit, and Contact Timezone stays for recall sequences. Set the past-date option on each reminder wait, so a late booking does not send a stale message.
