GoHighLevel · Wellness clinic
Clinic with no lead tracking: no-shows down about 55%
Ultra Cryo & Recovery, a cryotherapy and recovery clinic in Auburndale, Florida
Named client build delivered by autoesta, aibrevo's partner company, which builds GoHighLevel and AI automation work. Results are reported by autoesta or the client, not measured by aibrevo. Reporting window: Three months after launch, client-reported. Original write-up on autoesta.com. Results vary by business, lead volume and starting point.
The challenge
The clinic had no system to track leads or appointments. Enquiries came in from a Facebook ad and a booking form, but there was no structured follow-up, no consistent reminder process and no record of where a lead stood, so staff worked from memory. The clinic serves three Central Florida areas, Auburndale, Davenport and Lakeland, and both new enquiries and repeat visits were harder to manage without one system tracking them.
The approach
- 01
One pipeline as the system of record
Built a GoHighLevel opportunity pipeline so every lead from the Facebook ad and the booking form sits in a stage instead of an inbox or someone's head.
- 02
AI response and qualification
AI calling and AI agents respond to each enquiry, ask the qualifying questions and write the answers back to the contact record.
- 03
Routing by service area
n8n reads the service area and sends the lead into the Auburndale, Davenport or Lakeland follow-up sequence, so each lead gets the right message.
- 04
Booking and reminders
Booked visits get confirmations and reminders until the visit happens, which is where the reported no-show reduction came from.
- 05
Staff alerts
Internal notifications tell staff the moment a lead needs attention instead of making them check the pipeline by hand.
- 06
A HIPAA-aware account
Recovery and wellness intake can touch health-adjacent information, so the account was configured with HIPAA in mind, and the AI agent reads and writes GoHighLevel data through the same API layer that runs the n8n automation.
The result
Both figures are client-reported, over the three months after launch. Before this build the clinic had no system tracking leads or appointments, so there is no earlier CRM data to compare against. No raw before-and-after counts are published for either measure, because there is no verified baseline beyond the clinic's own account of the change. Treat the numbers as one clinic's reported experience, not a forecast.
Reporting window: the three months after launch.
